Wealth management firms · Follow up systems

The plan went out, the investor said he would think, and nobody rang.

A follow-up system for an advisory firm decides what happens after the first meeting: the investor who took the plan home, the one whose onboarding stalled at KYC, and the one waiting on a maturity to land. GullySales writes those steps with your advisers and puts a date and an owner against each.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For wealth management firms

Where it usually goes wrong, and what we would do.

  • “Money that has not arrived yet is the usual reason for silence”

A property sale, a maturity or a bonus is still weeks away and the investor would rather not say so. Asking when the money lands, instead of when he will decide, turns a dead enquiry into a diary entry.

  • “Onboarding stalls at a document, not at a decision”

A nominee detail, a signature mismatch, a KYC that did not clear. Nobody is deciding against you and nobody in the firm owns chasing it either, which makes it the cheapest conversion an advisory firm has.

  • “What you may say while chasing is not unlimited”

Advertisement and conduct rules restrict how returns and performance may be described in any communication, including a follow-up message. Have your compliance officer approve the standing wording rather than assuming the position.

What we do

What we deliver for wealth management firms.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A next date on every proposal

Each plan or proposal leaves with a follow-up date, a named adviser and a note of what will be said, recorded against the investor.

Result: A proposal cannot go quiet unnoticed.

  2. The money question asked on the first call

When the payout, maturity or sale actually completes, recorded so the follow-up arrives when there is money to invest.

Result: Chasing happens when the investor can act.

  3. Onboarding chased as a list of its own

KYC, nominee, bank mandate and signature mismatches tracked apart from the sales pipeline, with one person answerable for them.

Result: Signed investors stop falling out before the money moves.

  4. Wording your compliance officer has cleared

Standing messages for the proposal chase, the review reminder and the reactivation call, written to stay inside the advertisement rules.

Result: Advisers chase without drafting on the fly.

  5. A stop rule, and a revisit list

How many attempts a quiet investor gets, and when the enquiry comes back, because a retirement payout arrives when it arrives.

Result: Nobody is pestered and nobody is forgotten.

  6. A loss reason recorded every time

Fee, a performance comparison, a relative's adviser, or money not yet available, picked from a short list.

Result: You see whether you lose on fee or on timing.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Follow-up routine for advisory firms

Each proposal, onboarding and waiting investor has an adviser, a recorded reason and a date.

Proposal taken home
The adviser rings after the investor has seen the family and asks what is left to decide. Record the question and who else is involved.
Onboarding stalled at KYC
The operations person asks the investor which document is missing and offers a checklist. Record the document, who holds it and when it is expected.
Money not yet arrived
Ask when the maturity, sale or bonus will land and set the follow-up for then. Record the amount range the investor gave, not a projection.
Investor unhappy with the fee
The adviser explains what the fee covers and compares it to the services, in writing. Record the reaction, and do not argue or promise anything about performance.
Referral from an existing client
Thank the client and ask the referred person's preferred time and channel. Record the source and check whether the client has consented to the introduction.
Existing client, review due
Offer a review slot when a life event or a portfolio date comes up. Record the agenda and send only what your compliance allows.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the follow up systems work runs

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

How often can we follow up an investor without becoming a nuisance?
Attach it to something that happened rather than to a calendar. A maturity landing, a tax deadline, a change in a rule he asked about. Agree the next contact at the end of every conversation and the question stops arising.
An investor went quiet after seeing our fee. What now?
Ring and ask what he compared it with, because it is often a distributor's commission he never saw as a cost. Set out in writing what is included and what is not. If he still prefers the other arrangement, say so plainly and leave the door open.
Can we message investors about market movements to keep them engaged?
Be careful. Communication about markets or products is covered by rules on advisers and distributors, and these change. Send only what your compliance officer has approved, and keep client messages about service, documents and meetings rather than performance.
What if a prospect asks for a guaranteed return before signing?
Say plainly that you cannot promise returns and explain what you can do: the plan, the risk discussion and the review process. Record the conversation. If the investor insists, close it politely rather than adjust your message.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
