Aesthetic, hair and cosmetic clinics · Email marketing

Email is not the channel that closes here, and it still has two jobs.

Email for an aesthetic clinic carries the slow work WhatsApp is wrong for: treatment plans, EMI paperwork, package reminders and the maintenance sitting due a year later. GullySales writes those sequences, keeps clinical detail out of subject lines, and triggers them from the CRM rather than from memory.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What email marketing means

Email marketing is sending planned messages to a list of past and prospective customers who have agreed to hear from you. It suits offers, updates and staying in touch with someone who is not ready to buy yet. GullySales writes and schedules these emails and tracks who opens, clicks and enquires.

Last updated 5 Oct 2026. Rules for this trade differ by state and professional body, and they change. We describe restrictions in general terms, so check the current position with your own council or adviser before you publish anything.

For aesthetic, hair and cosmetic clinics

Where it usually goes wrong, and what we would do.

  • “WhatsApp does the talking, so email carries the documents”

A patient will not read a long message on WhatsApp, but will open a plan, a consent form and an EMI sheet. Say the short thing there and attach the rest here.

  • “A subject line can out a patient to their family”

Hair transplant plan for you, sitting in an inbox opened on a shared laptop, is a confidentiality problem. Subject lines stay plain and the detail stays inside.

  • “The maintenance sitting is a year away and nobody remembers it”

Laser touch-ups, aligner retainers and transplant reviews fall due long after a patient has stopped thinking about you. A dated email is the cheapest booking your clinic will get.

What we do

What we deliver for aesthetic, hair and cosmetic clinics.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A plan and consent pack sent after every consultation

The written treatment plan, the EMI terms and the consent form emailed the same day, in one message the patient can forward at home.

Result: The family discussion happens over your document.

  2. Sitting and package reminders on a dated schedule

Messages for the next sitting, the missed sitting and the retainer or touch-up due a year on, triggered from the CRM rather than remembered.

Result: Sold packages get finished and old patients come back.

  3. Subject lines and previews checked for confidentiality

Nothing in a subject line naming a treatment, clinical detail kept inside the message, and a rule about which addresses a clinic may write to.

Result: A shared inbox does not turn into a complaint.

  4. A list cleaned and consented

Old contacts checked against who actually agreed to be written to, with an unsubscribe on every message and the branch recorded against each patient.

Result: You write to people who want to hear from you.

  5. A report on what the list produced

Opens, replies, and the sittings and plans booked from email, set against the baseline taken after we have read your brief and spoken to you.

Result: The list gets judged on bookings.

How the result is measured

  • Open rate
  • Click rate
  • Enquiries from email

Recorded as a baseline before work starts, so every later report has an honest comparison.

What must be in place first

What an aesthetic clinic needs in place before it emails a single patient.

Consent written at registration
Use only patients who gave an email and agreed to reminders on the registration form. Tick that box in the practice software so the list can be filtered by it. Enquirers who never registered stay off.
Clinical detail kept out of the mailing tool
Photos, diagnoses, prescriptions and treatment notes stay in the practice software. The mailing tool holds a name, an email address and a stage, and nothing a stranger could read as a medical record.
Lists split by treatment stage
Enquiry, plan signed, mid-package and maintenance due are separate lists. A patient waiting out a hair transplant should not receive a laser offer, and a lapsed enquirer should not receive a package reminder.
An advertising-rules check before any treatment mail
Advertising rules for doctors and clinics differ by state and by council, and they change. Show each treatment mail to your own council guidance or adviser first. No result claims, no photos of outcomes.
EMI and plan details written as plain text
The plan mail carries the quote, the lender's name and the instalment dates as readable text, so the patient can show it to family. Check each figure against the signed plan before sending.
A named coordinator who takes the replies
Replies go to a coordinator who can book a slot and answer a plan question. A clinical question gets a call from the doctor's team, never an answer typed into an email thread.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the email marketing work runs

  1. 1

    Understand your list

We review who is on the list, how they got there, and how long it has been since they last heard from you.

  2. 2

    Audit past sends

We check open and click rates from past emails to see what has and has not worked.

  3. 3

    Segment and plan

The list is split into meaningful groups and a sending calendar is agreed.

  4. 4

    Implement content and automation

Emails are written, scheduled and, where useful, set to trigger automatically based on behaviour.

  5. 5

    Measure and optimise

We track performance and adjust subject lines, timing and content based on what the list responds to.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Do Indian patients even open clinic emails?
For anything with a document attached, yes. Plans, bills, EMI approvals and consent forms get opened because the patient needs them. Skin-tip newsletters mostly do not, so the programme is not built on those.
Can we email our old patient list with an offer?
Only patients who agreed to hear from you, and the wording needs care. Discount messaging about medical treatment runs into the restrictions your doctors work under, so your adviser should see it. A reminder about a sitting that is due is the safer and better use of that list.
Can we send a patient their reports or prescription by email?
Treat these as medical records, not marketing. Check how your own practice software and your adviser say records may be shared, and prefer a secure patient link or collection at the clinic. Never attach them to a campaign mail.
What should we do when a patient replies to a clinic email with a medical question?
Do not answer the medical point in writing. Reply with thanks, offer a call or a consultation slot with the doctor, and note the question in the patient's record so the doctor sees it before the call.
Can an aesthetic clinic show before-and-after photos?
With care. The National Medical Commission (NMC) rules for doctors and the Dental Council code for dentists restrict advertising that promises results or solicits patients. Each photo needs written patient consent, honest context such as the number of sessions, and no wording that suggests the same result for everyone. We check each one with your doctor before it is used.
Should we offer free consultations to get more leads?
Usually not as the headline. Free consultations fill the diary with people who were curious, not decided. A modest fee adjusted against treatment, or a clearly stated price basis, brings fewer and far better leads.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
