Dental clinics · Lead generation

Get new patients for the treatments that leave your chairs empty.

Dental marketing ideas that bring new patients all start from one enquiry route per treatment, such as implants, aligners or root canals, rather than waiting for general walk-ins. GullySales works on the treatment pages, the enquiry routes and the record that shows which source each patient came from.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What lead generation means

Lead generation is the combined work of every channel that brings in a new enquiry, whether from search, adverts, referrals or a stall at an exhibition. GullySales runs these channels together and reports the number of enquiries each one produced, not the activity behind it.

For dental clinics

Where it usually goes wrong, and what we would do.

  • “An enquiry for a treatment is worth more than a general call”

A patient who types dental implants near me has already decided to act and is choosing a clinic. A patient asking for the clinic timings may only be checking the address. Counting both as one kind of lead hides which source fills the treatments that carry the most chair time.

  • “The chair has a gap, and the effort should know which one”

A clinic with free afternoons for orthodontic reviews needs different enquiries from a clinic whose implant surgeon is booked out. Pointing effort at a treatment with no spare chair time brings patients who then wait, and a patient kept waiting calls the next clinic.

  • “Enquiries arrive through four doors and only one is recorded”

Calls, WhatsApp messages, the website form and walk-ins each reach a different person at the clinic. If only the call register is kept, nobody can tell whether the treatment page or the Maps profile sent the patient, and spending decisions follow guesswork.

  • “A request for the cost is a lead that has barely started”

The patient asking what aligners cost is comparing a few clinics before giving a name. A reply that explains what the consultation covers, and why a figure follows the examination, keeps the clinic in the comparison without quoting blind.

What we do

What we deliver for dental clinics.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A page for each priority treatment

Each page carries the dentist's qualification, what the first visit involves and a clear way to book, written around the question a patient types.

Result: Every enquiry names the treatment it is about.

  2. A source field on every enquiry

One short field on the enquiry record for how the patient found the clinic: Maps, website, WhatsApp, Practo, referral or walk-in. The front desk asks and writes it down.

Result: You can read which source brought which treatment.

  3. A list of chair gaps kept by the clinic manager

A one-page list of the treatments and sessions that have spare chair time, used to decide where enquiry effort goes.

Result: Effort follows the free chair, not the loudest source.

  4. A booking step that asks for little

A form or WhatsApp message asking for name, number and the treatment of interest, with no clinical detail requested online.

Result: A patient can ask without sharing a dental history on a web form.

  5. Wording for the price question

A short script for the front desk when a patient asks the cost: what the consultation covers and why the figure follows the examination.

Result: Price calls move to a booked visit instead of ending at a number.

How the result is measured

  • Enquiries generated
  • Cost per enquiry
  • Enquiries by source

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture on enquiry

Note these on the first call so the right chair time is offered.

Treatment asked about
Root canal, implant, aligner, scaling or a child's check-up, taken first, so the call is routed to the right dentist and slot.
Is it a pain or a plan
An aching tooth is booked for the next opening, while an aligner enquiry is a planned consultation, and the desk marks which.
Where they heard of the clinic
A search, the map, a family member or another doctor, asked on every call so the source sheet shows what fills the chairs.
Locality or workplace
The area a caller lives or works in, noted for branch choice and for the locality pages worth writing.
Whether a quote was asked for
A caller who asks the cost first needs a follow-up call set, since price calls do not always become a booking on their own.
Preferred day and time
Noted in the first message, it turns an enquiry into a booking the desk can hold.

Who it is for

This is written for these dental clinics.

  • Single-dentist clinics
  • Multi-chair general dental clinics
  • Orthodontic and aligner-only practices
  • Implant and oral surgery centres
  • Cosmetic and smile-design clinics
  • Paediatric dental clinics
  • Dental clinics inside a multi-speciality centre
  • Multi-branch dental groups
  • New clinics in their first year

Not for

It is not the right fit if.

  • The dentist has no open chair time, so more enquiries would only be turned away.
  • Nobody answers the clinic phone at busy hours, so calls would be missed before they are recorded.
  • The plan is to collect any enquiry from a discount offer, whether or not the clinic does that treatment.

How it works

How the lead generation work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Understand your capacity

We ask how many enquiries your team can answer well, who answers after hours, and what a good enquiry looks like. Without this, the system fills a funnel nobody is watching.

  2. 2

    Audit current sources

We read your call log, WhatsApp chats, enquiry sheet and platform dashboards. The baseline is recorded: enquiries by source, reply time, conversion and cost per order.

  3. 3

    Strategise the channel mix

Search and maps are chosen for people ready to buy, ads for people who are not yet looking, and content and referrals for trust.

  4. 4

    Implement capture and follow-up

Pages, forms, tags, the lead record and the first-reply message are built and tested end to end. We submit test enquiries ourselves before any media money is spent.

  5. 5

    Measure and optimise

Enquiries are traced to source and judged by what became orders, not by volume alone. Channels that fill the sheet with poor enquiries are cut back. How often you are reported to is agreed in writing.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 1, prospecting and lead generation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

What are the best dental marketing ideas to get new patients?
Start with ideas that catch people already looking: a complete Maps profile, a page per treatment and a fast reply on WhatsApp. Then add a referral ask after a good visit, a school or RWA talk, and one search campaign for a treatment with free chair time.
Can we run advertisements to collect enquiries?
Yes, for a treatment where patients already search and a chair is free. Advertising rules differ by profession and state, so check with your own council or adviser before any wording goes live, and keep claims about results or other clinics out of it.
Which treatment should we start with?
Start with the one where chair time is free and the dentist wants more cases. We list treatments by spare capacity with the clinic manager, then build the page and the enquiry route for that treatment first.
Does the enquiry form need the patient's dental history?
No. Ask for the treatment, a name and a phone number, and leave the history to the first visit. A long form puts people off, and clinical details collected in a marketing form need careful storage. Check data rules with your own adviser.
Should we offer discounts to get new patients?
Check first. Dental councils restrict some offers, and a discount draws people who compare on price alone. A clear first-visit page and a fast reply win more bookings than an offer. Ask your own adviser what your council allows.
Can patients refer friends, and can we reward them?
Ask satisfied patients and nearby doctors to refer, and thank them in words. Do not pay or give gifts for referrals. What a dentist may offer for a referral is set by the council's rules, so check them with your own adviser.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
