Dental clinics · Buyer journey
Map what happens between a toothache and a booked appointment.
Buyer journey mapping for a dental clinic traces the steps a patient takes, from a symptom or a search to a call and a booking. These steps differ sharply between an emergency and a planned treatment like implants. GullySales maps each journey and fixes the step where patients are lost.
Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What buyer journey means
The buyer journey is the sequence of steps a customer actually takes, from first hearing about you to deciding to buy, which is rarely a single visit or call. GullySales maps this sequence for your business and checks that something useful happens at each step instead of only at the final call.

For dental clinics
Where it usually goes wrong, and what we would do.
“Emergency and planned treatment are different journeys”
A toothache is decided in minutes on Maps and reply speed, while implants are compared over weeks across two or three clinics.
“The quote stage is where many journeys stall”
A patient quoted for aligners often goes home to think, and without a follow-up call the journey simply ends there.
“A referred patient still checks reviews before calling”
Even a patient sent by a friend looks at recent reviews first, a step easy to miss when mapping only the referral itself.
What we do
What we deliver for dental clinics.
Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.
Journey maps for emergency and planned treatment
Two separate step-by-step maps, one for a same-day toothache call and one for a considered treatment like implants, from first search to booked appointment.
Result: The front desk knows which patient needs a slot now and which needs a call back.
Drop-off point identified in the quote stage
A review of recent enquiries showing where patients quoted for treatment go quiet, using your call log and WhatsApp records.
Result: You know which stage of the journey is actually losing patients.
Follow-up trigger built into the quote step
A simple rule and reminder so a treatment quote given over the phone or WhatsApp gets a scheduled follow-up call instead of being left open.
Result: A quoted patient who was still deciding gets one more chance to book.
Referral journey checked for the missing review step
A look at what a referred patient actually does before calling, including checking reviews, so the referral process accounts for that step.
Result: A referred patient finds a clean, recent profile instead of an outdated one.
Journey findings turned into page and call fixes
A short list of changes to the website, profile and front desk script based on where each mapped journey breaks down.
Result: The clinic acts on the map instead of filing it away.
How the result is measured
- Drop-off rate by step
- Time from first contact to sale
- Steps with no content
Recorded as a baseline before work starts, so every later report has an honest comparison.
Stages of the patient's journey
A patient reaches the chair by one route for a toothache and by another for an implant, and each route has its own stages.
- Pain or a plan
- Toothache sends someone to search tonight, while an implant may be thought about for months. Keep two lists in your enquiry sheet, one for urgent and one for planned.
- Searches and reads reviews
- They look for the treatment and the locality, then read reviews. Make sure your treatment page and Maps listing name the treatment, the clinic hours and the dentist's registered qualification.
- Calls or messages
- The first question is almost always price. Prepare a plain reply explaining that the cost depends on an examination, and offer a consultation, noting the treatment asked about.
- Consultation and X-ray
- The dentist explains what is needed. Give a written treatment plan with the steps in order, in words the patient can repeat at home.
- Takes the quote home
- The family discusses it and may compare another clinic. With the patient's agreement, note the date they said they would decide and what question was open.
- Treatment and recall
- After the last visit, the patient drifts away. Book the next check-up before they leave the chair, and keep the recall in your own diary.

- Implant and oral surgery centres
- Cosmetic and smile-design clinics
- Paediatric dental clinics

Not for
It is not the right fit if.
- The clinic records no enquiry sources, so a journey map would be built on guesses.
- There are too few patients to see a pattern in where they hesitate.
- Nobody at the clinic will act on what the map shows.
How it works
How the buyer journey work runs
The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.
- 1
Understand the sales process
We walk through how a sale happens today, from the person who first answers an enquiry to the one who closes it.
- 2
Audit the data
Website analytics, call logs and CRM records are put together to see where people drop out. Where records are thin, we say so and mark the gap rather than guess.
- 3
Interview buyers and staff
Recent customers, and some who did not buy, plus the team who speak to them, explain the reasons behind the numbers.
- 4
Build the map
Stages, touchpoints, decision-makers and drop-off points are set out in one document everyone reads the same way.
- 5
Fix and measure
Each fix is made against the stage it addresses, and the drop-off at that stage is compared with the baseline afterwards.
Where this fits
Three pieces of sales work, in this order.
This work sits inside sales process design, at stage 1, prospecting and lead generation. The audit comes before it, and sales management keeps it running.
Step 1
Sales audit
Find where deals are being lost and what to fix first.
Start here if you cannot say where orders are lost.
Step 2 · you are here
Sales process design
One written way to sell, from first enquiry to repeat order.
Start here if every salesperson sells differently.
Step 3
Sales management
A target, a review routine and someone who owns the number.
Start here if the team has targets and no routine.
