Dental clinics · Referral marketing

Turn a happy patient's family into your steadiest source of new patients.

Referral marketing for a dental clinic means making it easy for an existing patient to bring in a family member or friend. Referred patients convert faster and trust the clinic before the first visit. GullySales builds the ask and the tracking so referrals do not go unnoticed.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What referral marketing means

Referral marketing in a regulated practice is being the one a physician, a colleague or a former patient names, without being paid to, because paying for a referral is restricted in most of these professions. GullySales builds the ask into the moment a patient is satisfied and into the note that goes back to the referring doctor, and it never involves a fee.

Last updated 8 Nov 2026. Rules for this trade differ by state and professional body, and they change. We describe restrictions in general terms, so check the current position with your own council or adviser before you publish anything.

For dental clinics

Where it usually goes wrong, and what we would do.

  • “The ask needs a specific moment, not a waiting room poster”

Asking right after a good outcome, like a completed smile makeover, gets more referrals than a general sign on the wall.

  • “Referred patients still need a fast reply”

A referral is warmer, not automatic, and a slow reply can still lose a patient who was ready to book.

  • “Tracking the source matters for family clinics especially”

A clinic that has grown on word of mouth for years often cannot say which patients came from which family, until it records it.

What we do

What we deliver for dental clinics.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A referral ask built into the right moment

Wording and timing for asking a satisfied patient, right after a good outcome such as a completed smile makeover, instead of a general waiting room sign.

Result: The ask reaches a patient while the good experience is still fresh.

  2. A fast-reply routine for referred enquiries

A rule that a referred patient's call or message gets the same quick response as any other enquiry, since referral alone does not guarantee a booking.

Result: A warm referral is not lost to a slow reply.

  3. A referral field added to your patient record

A simple field in the CRM or register recording which existing patient or family sent each new one, built for clinics that have grown on word of mouth.

Result: You can finally see which patients and families are bringing in others.

  4. A thank-you note for a completed referral

A short written thank-you to a patient who referred someone, with no gift, discount or reward attached, once the referred patient has actually booked and been seen.

Result: A patient who refers others feels noticed, not taken for granted.

  5. Count of referrals against other enquiry sources

A monthly tally of how many new patients arrive by referral compared with search or ads, added to your existing reporting.

Result: Referral marketing gets judged on real numbers instead of a feeling.

How the result is measured

  • Referrals received
  • Referral conversion rate
  • Cost per referred customer

Recorded as a baseline before work starts, so every later report has an honest comparison.

How referrals reach a dental clinic

A dental clinic is recommended by patients' families, by other doctors and by the people who work nearby.

The family of a treated patient
A parent whose child has had a check-up tells other parents at school. At the end of the visit, give a card with the clinic name and area, and say family members are welcome.
Physicians and paediatricians
A doctor sends a patient when a tooth or gum problem shows up in a check. Send a short note on the cases you treat and how you reply, and thank the referrer with the outcome in general terms, never a patient's details without consent.
Orthodontists, implantologists and other specialists
A general dentist refers a case the dentist does not treat. Agree in writing who handles follow-up, so the patient is not lost between two clinics.
Schools and employers nearby
A school or company with a health day may invite a dentist to speak. Offer a talk on oral hygiene with no price list or treatment offers, and let anyone interested ask for the card afterwards.
The how-did-you-hear field
Add a how-did-you-hear field to the new-patient form, with a line for the referring name. Fill it at the first visit, not from memory later.
What never to do
Never offer a discount, gift or cash for a referral without checking your dental council's current rules. Do not share a patient's treatment or photos to attract another.

Who it is for

This is written for these dental clinics.

  • Single-dentist clinics
  • Multi-chair general dental clinics
  • Orthodontic and aligner-only practices
  • Implant and oral surgery centres
  • Cosmetic and smile-design clinics
  • Paediatric dental clinics
  • Dental clinics inside a multi-speciality centre
  • Multi-branch dental groups
  • New clinics in their first year

Not for

It is not the right fit if.

  • The clinic plans to pay patients or other doctors for each referral, which dental council rules may not allow.
  • Patients are not asked how they found the clinic, so referrals would go unrecorded.
  • The clinic has not had a happy patient to ask yet, being new.

How it works

How the referral marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

Read the margin and the relationship

We work out what a new customer is worth and what you can pay to get one, then check whether customers know others like themselves.

  2. 2

Find the referrals you already get

Your invoices, call notes and WhatsApp threads show who already sends people to you, and who they are. That sets the starting point and the first people to ask.

  3. 3

Write the offer and the rules

The reward, the definition of a valid referral and the payout steps are agreed in writing before anything is shown to customers.

  4. 4

Build the share path and the record

The message, the link or code and the referral sheet are built. Your team tests a referral end to end, from forward to reward.

  5. 5

Start with your best customers, then widen

The first asks go to people who have already praised you. What they say about the offer decides what changes before it reaches the wider base.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 7, after the sale. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Should we offer a discount for referrals?
No. A discount or gift for a referral can be read as an inducement, and the dental code restricts it. A written thank-you is enough.
How do we track referrals without a big system?
A simple question at booking, asking who referred them, recorded in the same sheet as other enquiries.
Can we ask for a referral while a patient is in the middle of braces?
It is better after a visible step, such as the day the brackets come off or a check-up goes well. In the middle of treatment the patient is still uncomfortable and unsure of the result. Leave the clinic card at the desk and wait for the patient to mention a friend.
A dentist friend wants to send us implant cases and take a share of the fee. Is that allowed?
Rules on sharing fees between dentists differ by state and council and change, so check with your own dental council and a legal adviser before any such arrangement. Until then, thank a referring colleague with a clinical note on the case, and send the patient back for routine care.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
