Diagnostic centres · CRM

Record the enquiry and the referring doctor, and leave the reports in the lab system.

A CRM for a diagnostic centre is the record of enquiries, bookings, referring doctors and corporate accounts, kept apart from the laboratory and radiology systems that hold results. GullySales sets up what to record and who records it, so departments share one view of each enquiry without sharing clinical data.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What CRM means

A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

Last updated 6 Oct 2026. Rules for this trade differ by state and professional body, and they change. We describe restrictions in general terms, so check the current position with your own council or adviser before you publish anything.

For diagnostic centres

Where it usually goes wrong, and what we would do.

  • “The lab system is treated as the CRM”

The laboratory information system starts when a sample is registered. It knows nothing about the caller who asked about an MRI and went elsewhere, and that caller is where the lost bookings sit.

  • “Each department keeps its own register”

Pathology has a notebook, imaging has a spreadsheet and the check-up desk uses WhatsApp. A family that asks about a package and a scan appears three times, or not at all.

  • “Corporate accounts live in one person's inbox”

Camp quotes, rate agreements and HR contacts sit with whoever closed them. When that person leaves, the renewal leaves too.

What we do

What we deliver for diagnostic centres.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. An enquiry record shared by all departments

Name, number, test or package asked about, source and outcome, entered by whichever desk took the call.

Result: A family asking about a package and a scan is one record.

  2. Referring doctor as a fixed field

The doctor's name picked from a list rather than typed freely, so referrals can be counted by doctor and speciality.

Result: You can see who sends imaging and who sends pathology.

  3. Corporate and TPA accounts with a named owner

Each company, insurer and TPA with its rate agreement, contacts, renewal date and the person responsible.

Result: A renewal is not lost when someone resigns.

  4. Stages that match the centre's steps

Enquiry, booked, sample collected or scanned, report delivered, and lost with a reason.

Result: The record shows where enquiries stop.

  5. A privacy line between the CRM and results

What may be recorded, what stays in the lab and radiology systems, and who can see what, agreed with your adviser before anything is set up.

Result: No test result ever sits in a sales record.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to record, and when

What a diagnostic centre should record about every enquiry, and whether it needs software yet.

Test, scan or package asked about
Pick from a fixed list on the first call, such as MRI knee, thyroid profile or senior citizen package. Free text makes it impossible to count which studies people want.
Source and referring doctor
Record Google, Maps, doctor, corporate, camp, WhatsApp or family, and the doctor's name where there is a prescription. This field shows where the money should go.
Outcome and the reason for a loss
Mark whether the enquiry was booked, done, reported or lost. For a loss, add the reason in a word: price, distance, insurer, slot or the doctor's choice.
Insurer, TPA or employer paying
Note the payer before the visit, so the desk knows whether a cashless or corporate rate applies and what the patient must bring.
What never goes in
No results, diagnoses, report PDFs or images. Those stay in the lab and radiology systems with their own access controls and their own retention rules.
Do you need software yet?
A single centre can start with a shared sheet and one owner. Several branches, home collection routes and corporate accounts need a proper CRM linked to billing, chosen with your IT person.

Who it is for

This is written for these diagnostic centres.

  • Standalone diagnostic centres with pathology and imaging
  • Diagnostic centres inside or beside a hospital
  • Multi-branch diagnostic chains
  • Diagnostic centres that run corporate camps
  • Centres with a strong health check-up business
  • Centres serving senior citizens and families

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the crm work runs

  1. 1

    Map the sales process

We record how a deal actually moves from enquiry to close in your business today.

  2. 2

    Configure stages and fields

The CRM's pipeline and fields are built to match that process exactly, not a generic template.

  3. 3

    Set up automations

Reminders, assignment rules and follow-up triggers are configured so routine steps happen without manual effort.

  4. 4

    Test with real deals

We run the configuration against actual current deals to catch gaps before the whole team relies on it.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can our lab software vendor add a CRM module instead?
Ask them, and check two things. It must record people who never booked, not only registered patients, and you must be able to export your data. A module that starts at sample registration misses exactly the enquiries you are losing.
Our desk staff never fill in the source field. How do we fix that?
Make it a required field at registration and keep the list short. Sit with the desk from time to time and show them which doctors and campaigns the field revealed. Staff fill in what they see being used.
How do we bring WhatsApp enquiries into the record?
Log each new WhatsApp enquiry with the test asked about and the outcome, the same as a call. Some WhatsApp API providers connect to a CRM directly, so ask yours. Keep report files out of the CRM even when they arrived in the chat.
Who owns the patient data if we change software?
You do. Before signing with any vendor, get in writing that you can export all enquiry and contact data in a standard format, and that they delete their copy when you leave. Ask your adviser which data protection rules apply to health information.
Why not market each department on its own?
Because the patient sees one centre. A single answer at the front door and a package that spans departments sell more than three separate pitches, and are easier to refer to.
Can we discount packages?
Packages are priced in the market and a clear price helps families compare. Inducements and discounts on health services may be restricted, and the position differs by state and changes. Your adviser should confirm anything promotional.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
