Eye hospitals · Follow up systems

The cataract patient who said 'after Sankranti' needs a call after Sankranti.

A follow-up system for an eye hospital decides what happens to each patient who was advised something and has not done it yet: the cataract patient waiting for a festival, the camp attendee told to come in, the glaucoma patient who missed a review. GullySales sets who calls, what is said and where each call is written down.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For eye hospitals

Where it usually goes wrong, and what we would do.

  • “Eye disease does not hurt while it gets worse”

Glaucoma and diabetic retinopathy take sight without pain, so a patient who feels fine skips the review. Without a call, the next visit comes when they notice something is missing.

  • “Injections come in a series”

A retina patient who misses one injection in a course has not cancelled. They are waiting for someone to tell them it matters, and the desk needs a list of who is due and who did not come.

  • “Families decide surgery around the calendar”

Harvest, a wedding, the son's leave, an auspicious month. A patient who names a date has told you when to call, and that date belongs in the record.

What we do

What we deliver for eye hospitals.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A due list for each department

Glaucoma reviews, injection dates, post-operative visits and children's follow-ups pulled from the OPD record into one list the desk works through.

Result: Missed visits show up as names, not as a vague feeling.

  2. Callback owners by kind of patient

Counsellors for patients advised surgery, the retina coordinator for injections and the camp team for camp attendees, each with a list of their own.

Result: Every advised patient belongs to someone.

  3. Words for each call

Short scripts for each situation that remind the patient and ask what is holding them back, with no pressure and no clinical claims, read by your medical director.

Result: Staff call without sounding like a sales line.

  4. Every attempt on the record

The date, the channel, what the patient said and the next date, written on the patient's enquiry record rather than in a staff member's notebook.

Result: The next caller knows what was said last time.

  5. Follow-ups compared with the baseline

Advised patients called, booked and seen, by department, compared with the figures recorded before the routine started.

Result: You see whether the calls bring patients back.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Follow-up routine for eye patients

What the hospital does next for each patient who was advised something and has not done it yet.

Advised cataract surgery, said after the festival
The counsellor notes the date the family named and calls after it, asking whether the lens and the surgery date can now be settled. Record the reason given and the new date.
Sent to another department, did not go
The OPD coordinator calls the same week the optometrist referred them, explains why the check was advised and books the slot on the call. Record the department and the outcome.
Camp attendee advised to come to the hospital
The camp team calls each name on the camp sheet, mentions the camp and the village, and gives the transport details if the hospital provides them. Record who agreed and who did not.
Glaucoma or retina patient who missed a review
The department coordinator calls, says the review is due and books it. For an injection series, call before the due date as well. Record why the visit was missed.
Operated on one eye, second eye not booked
Before the last post-operative visit ends, the counsellor asks about the second eye and books it if the surgeon advised it. If not, write the reason and a date to ask again.
Patient who said no
Thank them, record the reason, such as cost, fear or another hospital, and stop calling. Ask whether they would like a reminder when their next eye check is due.

Who it is for

This is written for these eye hospitals.

  • Multi-speciality eye hospitals
  • Eye hospitals with community outreach
  • Eye hospitals attached to medical colleges
  • Charitable and trust-run eye hospitals
  • Corporate and chain eye hospitals
  • Eye hospitals with optical and pharmacy services

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the follow up systems work runs

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Won't elderly patients find repeated calls annoying?
A call with a reason is not annoying: the review is due, the date they named has passed, the next injection is close. Calls without a reason are. Agree with the patient or family which number to ring and which time of day suits them.
Who should own follow-up, the OPD desk or the departments?
The department that advised the next step. The OPD desk is busy with the people standing in front of it. Give each department coordinator a due list of their own, and leave the desk to handle first-visit enquiries.
Can we send follow-up reminders on WhatsApp instead of calling?
For a date or a reminder, yes, if the patient agreed to WhatsApp at registration. For a patient putting off surgery or missing injections, ring, because the reason they give is the thing you need to hear.
When do we stop following up a patient who keeps postponing?
Set a stop rule: a fixed number of attempts, then close the record with the reason. Before closing, ask whether they want a reminder for a routine check later. A patient whose sight is at risk should hear from their doctor, not only from the desk.
Can we publish testimonials or before-and-after results?
Medical council rules restrict testimonials and result advertising for doctors, and the position differs and changes. We publish neither without your adviser's say-so. A clear explanation of the service does the same work.
Can we run discounts on surgery packages?
Packages with clear prices help families compare. Inducements and discounts on procedures may be restricted, so we keep to plain packages and your adviser confirms anything promotional.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
