Medical supplies distributors · CRM

Keep every quote, rate contract and open payment against the hospital it belongs to.

A CRM for a medical supplies distributor is the record of every institution you sell to, the quotes you have sent them, the rate contracts you hold and the orders that followed, kept apart from your billing software. GullySales sets up the fields a distributor needs and gets reps and counter staff to keep it current.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What CRM means

A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

For medical supplies distributors

Where it usually goes wrong, and what we would do.

  • “Billing software holds invoices, not intentions”

Tally or Busy tells you what was sold. It does not show the quote that is still open, the demonstration promised for Friday or the purchase manager who has just moved hospitals.

  • “The relationship sits in a rep's phone”

When a rep leaves, the buyer's WhatsApp history and the rate promised go with him. The new rep starts the account from nothing.

  • “A rate contract expires without anyone noticing”

The end date is in a signed copy in a cabinet. The renewal goes to whoever called the hospital first, and the rival who called first gets it.

What we do

What we deliver for medical supplies distributors.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A record per institution and per buyer

The hospital or lab, the purchase manager, the store keeper and the signing authority, with the items each buys and the supplier used today.

Result: A new rep can pick up the account from the record.

  2. Quotes logged with version and validity

Each quote carries items, rates, validity date and a note of what was promised, linked to the buyer and to the rep who sent it.

Result: Nobody quotes a rate that expired last quarter.

  3. A link between orders and outstanding

The CRM shows the account's open invoices read from your billing software, so the sales call knows what is owed before the next order is discussed.

Result: Sales and accounts stop pulling the same customer in different directions.

  4. Rate contract and tender dates with reminders

End dates, notice periods and renewal documents entered at signing, with a reminder set early enough to prepare the delivery record.

Result: Renewal starts from your timetable, not the hospital's.

  5. Lost quotes with the reason

Every lost quote recorded with the winner if known and the stated reason: rate, stock, credit or relationship.

Result: You read the pattern before you cut a rate.

  6. A short training for reps and counter staff

A one-page guide on what to enter and when, and a check from the sales manager on what is missing, so the record stays honest.

Result: The system is used, not admired and abandoned.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to record, and when

What a medical supplies distributor should record for every institution and quote, and whether it needs software yet.

Institution, buyer role and signing authority
Record the hospital or lab, the purchase manager, the store keeper and who signs. When the purchase manager changes jobs, update the record and call the successor in the same week.
Items, pack sizes and quantities asked
Log what was asked, in the buyer's words, with gauge, size and pack. Mark items you did not stock. That list becomes your next order to the principal.
Quote version, rate and validity date
Save each version sent and the date it lapses. When a buyer says a rival quoted less, you can see what you offered and when.
Credit terms agreed and open invoices
Enter the credit period agreed for the account and the outstanding from billing. Look at both before the next quote, so a slow payer is not quoted on the best terms.
Rate contract end date and delivery record
Store the end date, the revision clause and a running note of supplies made and complaints. Prepare the renewal papers before the hospital opens a fresh enquiry.
Do you need software yet?
A shared sheet is enough while one person handles every account. Move to a CRM when several reps share institutions, or when you cannot say which quotes are still open.

Who it is for

This is written for these medical supplies distributors.

  • General consumables and disposables distributors
  • Surgical and OT supply distributors
  • Hospital equipment dealers selling beds, monitors, suction and oxygen systems
  • Home healthcare suppliers selling or renting wheelchairs, beds and concentrators
  • Diagnostic kit and reagent distributors serving labs
  • Orthopaedic support, brace and rehabilitation product suppliers
  • Single-brand authorised distributors covering a district
  • Sub-stockists supplying chemists and surgical stores

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the crm work runs

  1. 1

    Map the sales process

We record how a deal actually moves from enquiry to close in your business today.

  2. 2

    Configure stages and fields

The CRM's pipeline and fields are built to match that process exactly, not a generic template.

  3. 3

    Set up automations

Reminders, assignment rules and follow-up triggers are configured so routine steps happen without manual effort.

  4. 4

    Test with real deals

We run the configuration against actual current deals to catch gaps before the whole team relies on it.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Can a spreadsheet do the job for a distributor our size?
Yes, while one person handles every account. Move to a CRM when several reps share institutions, when quotes get lost or when renewals pass unnoticed. Before then, a clean sheet with the same columns is a better start than software nobody opens.
Our reps will not update it. What then?
Keep it to a few fields that matter, let them log from a phone, and have the sales manager open the record in every review. A rep who sees that the review uses the record keeps it. One who sees it is ignored stops.
Much of our selling happens on WhatsApp. Does it count?
It does, and it is where the quotes and the rate promises live. Agree that every requirement list received on WhatsApp is logged with its buyer and items the same day. Some CRMs link to WhatsApp, but a habit works before software does.
Who owns the data if a rep leaves?
The company, and it should say so in the rep's offer letter. Keep buyer details in the shared record, not on personal phones alone, and change the access when someone leaves. Check the wording of the letter with your own adviser.
Is IndiaMART worth keeping as a medical supplies distributor?
Keep it if your records show hospital and clinic orders from it. Screen every enquiry for buyer type, items and quantity, and judge the listing on orders won. If most calls are individuals and rival traders, cut the plan and put the money into your own product pages.
Our principal controls the product claims. What can we put on our own site?
Use what the manufacturer has approved for the product, its label wording and the images it allows, and nothing stronger. Ask the regional manager for written permission before you reuse brand material. Your own value is stock, delivery, installation and service, so write about those.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
