Medical supplies distributors · Sales management

Read the quotes, the lost orders and the outstanding before you set the next target.

Sales management for a medical supplies distributor is reviewing the work of your reps and counter staff against the enquiries received, the quotes sent and the orders that came, and coaching on what the records show. GullySales sets up the review sheet, the questions to ask and the owner for each follow-up.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What sales management means

Sales management is the ongoing work of reviewing a sales team's pipeline, calls and targets, and stepping in on deals that are stuck. GullySales sets the review rhythm and the reports a sales manager needs to run this without relying on gut feel.

For medical supplies distributors

Where it usually goes wrong, and what we would do.

  • “The target is a sales figure and the mix is ignored”

A rep reaches his number with gloves at the lowest rate while equipment and diagnostic lines, where the margin sits, go unsold. Nobody looks at the split.

  • “Reps keep the hospital relationships to themselves”

The manager learns about an open quote when the buyer rings to complain. By then the rate has been given and the follow-up missed.

  • “Collection is treated as accounts' job”

The rep who sold on long credit never hears that the invoice is overdue. The same hospital gets a fresh quote while last quarter's bill is unpaid.

What we do

What we deliver for medical supplies distributors.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A one-page review sheet for each rep

Enquiries received and answered, quotes sent and open, orders won, lost reasons and follow-ups due, read from the CRM or the rep's own sheet.

Result: The review rests on records and not on recollection.

  2. A product mix view next to the sales figure

Consumables, equipment and diagnostics shown separately for each rep and territory, read from billing, so the manager sees where the margin is.

Result: A good number on gloves is not mistaken for a good territory.

  3. A weak-account list from invoices

Institutions whose orders have narrowed to one line or whose gap between orders has stretched, handed to the rep with a specific question to ask.

Result: The rep calls with something to ask, not to say hello.

  4. Outstanding read next to sales

A report joining each rep's accounts to their open invoices, so credit and the next quote are discussed together.

Result: Sales stop being booked into accounts that do not pay.

  5. A coaching note after each review

One thing to work on for each rep, written down, with the date it will be looked at again and who will check it.

Result: Feedback stays specific and is followed up.

  6. A routine for a rep who leaves

A handover checklist covering accounts, open quotes, promises made and the buyer's preferred contact, completed before the last day.

Result: A departure does not take the accounts with it.

How the result is measured

  • Target achievement
  • Pipeline coverage
  • Stuck deals resolved

Recorded as a baseline before work starts, so every later report has an honest comparison.

What the sales manager reviews

Six things to review with each rep, where each one lives in your records, and what to do when it looks wrong.

Requirement lists received and answered
Count from the shared record or WhatsApp business inbox. If lists sit unanswered, find out who was away and agree who covers; do not let the rep alone decide which to reply to.
Quotes sent and still open
List open quotes with their date and the next call. A quote with no call date is already lost. Assign each one a name and a day before the review ends.
Quotes that became orders
Match quotes with invoices from Tally or Busy, by buyer and item. Look at which product lines convert and which are quoted often and rarely ordered.
Reasons for losing
Read the lost-reason notes for the winner, rate, stock, credit or relationship. If one reason repeats, change that, whether it is the credit policy or the stock held.
Follow-ups due and overdue
Open the follow-up dates in the record and read the overdue ones aloud. Reassign any that have slipped twice, so the buyer meets a different person rather than a silence.
Repeat orders and accounts gone quiet
From invoices, list institutions whose last order is older than their usual gap. Give each to a rep with a question: which line moved, and to whom?

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the sales management work runs

  1. 1

    Assess current management practice

We look at what cadence, if any, currently exists and where it breaks down.

  2. 2

    Set the rhythm

The touchpoints are agreed and scheduled in writing before the first review.

  3. 3

    Run or coach the cadence

We either run the reviews and one-on-ones directly, or coach your manager to run them.

  4. 4

    Address performance directly

Issues are raised as they appear, not left until a review period.

  5. 5

    Report to the owner

A summary keeps ownership informed without needing to sit in every review.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

How should we run the sales review?
Sit with each rep and the record in front of you, not the memory. Go through open quotes, lost orders and accounts that have gone quiet. Pick a rhythm the team can keep. A grand meeting that gets skipped is worse than a short one that happens.
Who should attend the review besides the rep?
The sales manager and, for accounts with overdue invoices, someone from accounts. The owner joins for rate contracts and the largest hospitals. Keep the room small. A crowd turns a review into a defence.
A rep does not record anything. What do we do?
Make recording the condition of the review: if it is not in the record, it did not happen. Keep the fields few, let him log from a phone and sit with him once to fill it in. If he still refuses, that is a management issue.
How do we set targets without benchmarks?
Use your own last financial year by territory and product line, adjust for stock and territory changes, and agree it with the rep. Avoid copying a figure from another distributor. A target the rep cannot reach is ignored.
Is IndiaMART worth keeping as a medical supplies distributor?
Keep it if your records show hospital and clinic orders from it. Screen every enquiry for buyer type, items and quantity, and judge the listing on orders won. If most calls are individuals and rival traders, cut the plan and put the money into your own product pages.
Our principal controls the product claims. What can we put on our own site?
Use what the manufacturer has approved for the product, its label wording and the images it allows, and nothing stronger. Ask the regional manager for written permission before you reuse brand material. Your own value is stock, delivery, installation and service, so write about those.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
