Medical supplies distributors · Referral marketing

Get introduced to the next hospital by the people who already trust your delivery.

Referral marketing for a medical supplies distributor is making it easy for hospitals you already supply, manufacturers' managers, consultants and fellow suppliers to introduce you to buyers who have not yet picked a distributor. GullySales builds the referral list, the introduction note and the record of who sent whom.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What referral marketing means

Referral marketing in a regulated practice is being the one a physician, a colleague or a former patient names, without being paid to, because paying for a referral is restricted in most of these professions. GullySales builds the ask into the moment a patient is satisfied and into the note that goes back to the referring doctor, and it never involves a fee.

For medical supplies distributors

Where it usually goes wrong, and what we would do.

  • “Referrals happen by accident and are never counted”

A purchase manager mentions you to a colleague at a sister hospital. Nobody records it, so you cannot thank her or learn what she said.

  • “The people who plan new hospitals are never asked”

Project consultants, architects and biomedical engineers specify equipment for new wards. A distributor they have never met does not make the list.

  • “A doctor cannot be paid for a recommendation”

Professional rules for doctors are strict about commissions and gifts from suppliers. A referral programme that rewards doctors puts both sides at risk.

What we do

What we deliver for medical supplies distributors.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A map of referral sources by type

Hospitals you supply, manufacturers' area managers, consultants, biomedical engineers and the chemists you serve, each marked with what they can introduce you to.

Result: You know whom to ask, and what to ask for.

  2. An introduction note that is easy to forward

A short message and a one-page profile a purchase manager can pass to a colleague in two taps, with your licences, brands and delivery area.

Result: A referrer does not have to explain you.

  3. A moment-to-ask for each source

A rule for when to ask: after a clean delivery, a successful installation or a renewed rate contract, and who makes the request.

Result: The ask comes when goodwill is highest.

  4. A thank-you that stays within the rules

A plain written thanks, a call or a mention to the manufacturer, and a policy that excludes cash, gifts and commissions for clinical and purchasing staff.

Result: You say thank you without creating a problem for anyone.

  5. A source field on every new account

Each new buyer's record carries who introduced you, so referral sources are counted next to marketplaces and calls.

Result: You see which relationships bring new accounts.

  6. A manufacturer relationship routine

A short record for each principal's area manager of the accounts opened, the volume grown and the leads passed, shared on the manager's request.

Result: The manager has a reason to send you the next lead.

How the result is measured

  • Referrals received
  • Referral conversion rate
  • Cost per referred customer

Recorded as a baseline before work starts, so every later report has an honest comparison.

How referrals work in this trade

Who introduces a medical supplies distributor to a new hospital, what prompts them, and how to thank them within the rules.

A hospital that already buys from you
A purchase manager who is happy can introduce you to a sister unit or a group hospital. Ask after a clean delivery, send a forwardable note and record the source.
A manufacturer's area manager
The principal receives enquiries from your territory and decides who gets them. Share a short record of accounts opened and respond to a passed lead the same day.
A hospital project consultant or architect
People planning a new ward specify what is bought. Meet them with an installation and service answer ready, and offer a combined quotation for the opening list.
A biomedical engineer
The person who services equipment knows which distributor answers a breakdown call. Be reliable on spares and visits, and he will name you when a new unit is bought.
A chemist or surgical store you supply
Outlets near clinics hear which doctors are expanding. Answer their stock queries the same day, and ask them to mention you when someone enquires about bulk supplies.
What never to do
No cash, gifts or commission to a doctor, a purchase officer or a store keeper for an introduction or an order. Rules differ by body and state, so ask your adviser.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the referral marketing work runs

  1. 1

Understand your margin and customer relationship

We agree what reward is genuinely sustainable and appropriate for your business and customer type.

  2. 2

    Audit existing informal referrals

We check how much word of mouth already happens, to size expectations for the formal programme realistically.

  3. 3

    Design the offer and mechanism

A specific reward and an easy sharing method are built and tested.

  4. 4

    Implement and promote

The programme is surfaced at the right moments in your customer journey.

  5. 5

    Measure and adjust

We track referrals and conversions, adjusting the reward or promotion if uptake is low.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Can we pay a doctor or a hospital purchase officer for sending us orders?
No. Rules for doctors differ by body and state and are strict on commissions, and paying a purchasing employee for an order risks bribery. Say thank you in words, keep your service excellent and check anything beyond that with your own adviser.
How do we track who sent whom?
Add one field to the new-account record, source, and fill it when the account is opened. Ask the buyer on the first call how they heard of you. A simple sheet with a name and a date is enough to begin.
Is it right to ask the manufacturer's area manager for leads?
Yes. Principals receive enquiries from hospitals in your territory and pass them to a distributor. Ask in a meeting, show the accounts you have opened, and respond to each lead the same day, so the manager is not embarrassed.
We supply a hospital that is happy. How do we ask for an introduction?
After a clean delivery or a renewed contract, ring the purchase manager and ask whether a sister unit, a colleague or a group hospital might want the same service. Offer to send a short note she can forward. Do not push for a name on the spot.
Is IndiaMART worth keeping as a medical supplies distributor?
Keep it if your records show hospital and clinic orders from it. Screen every enquiry for buyer type, items and quantity, and judge the listing on orders won. If most calls are individuals and rival traders, cut the plan and put the money into your own product pages.
Our principal controls the product claims. What can we put on our own site?
Use what the manufacturer has approved for the product, its label wording and the images it allows, and nothing stronger. Ask the regional manager for written permission before you reuse brand material. Your own value is stock, delivery, installation and service, so write about those.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
