Packers and movers · Follow up systems

Reply to every enquiry and chase every estimate before the family books a rival.

A follow-up system for a mover is the set of rules for who contacts whom after an enquiry, a survey and an estimate. GullySales writes the messages, the owner for each step and the reminders so a household is never left waiting in silence.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

Packers and movers: show a real physical business scene illustrating Lead capture and quick quote. Bring portal and phone enquiries into one list, with origin, destination, shifting date and source on each.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For packers and movers

Where it usually goes wrong, and what we would do.

  • “The first reply decides the survey”

A family that rang three movers books the survey with whichever one answers with a clear slot. A silent form entry or an unreturned call hands the household to the next firm, so the first reply needs a named person and a rule.

  • “The estimate goes cold in silence”

After the supervisor sends a written estimate, the household compares it with others. A polite check, a short answer to a price question or an offer to revisit the survey keeps the estimate alive when nothing else would.

  • “Survey cancellations waste a half day”

A booked survey that is cancelled late costs the supervisor a slot. A confirmation message and a reminder before the visit let the family reschedule early, so the slot can go to the next household.

  • “Silence after the move is a missed chance”

A delivered move is the moment a customer is most willing to say a kind word. A message on delivery asking for honest feedback, and a calm reply to any complaint, builds the review profile that future households read.

What we do

What we deliver for packers and movers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A response rule for every enquiry

A written rule for who replies to a new call, form or message, and what the reply says.

Result: Each enquiry has a named person responsible for the first reply.

  2. Message scripts

Short texts and call scripts for survey confirmation, estimate follow-up, reminder and post-move thanks.

Result: The desk has wording ready for each stage.

  3. Reminder list for estimates

A list of open estimates with the date sent, the household and the next action.

Result: No estimate sits unanswered without being on the list.

  4. Cancellation handling

A way to confirm a survey the day before and to offer a new slot to a household that cannot make it.

Result: Late cancellations appear on a list for the supervisor.

  5. Complaint and review loop

Steps for what to do when a customer reports damage or delay, and when to ask for a review.

Result: Each complaint has an owner and a recorded reply.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

The points in a move when a family expects to hear from you.

First enquiry
A reply that confirms the localities and date and offers survey slots. Record who replied and when, so no call sits unowned.
Survey booked
A confirmation with the supervisor's name and a request for photographs of bulky items, which cuts surprises at the door.
Estimate sent
A call to ask whether the family has questions, then a note of the answer. Silence means they are comparing, not refusing.
Cancellation or no-show at the survey
One call to rebook and a note of the reason. Do not book the same slot twice for a repeat cancellation.
Move completed
A check on damage or missing items, handled before any request for a review.

Who it is for

This is written for these packers and movers.

  • Households shifting within a city
  • Families moving between cities for a job transfer
  • Bachelors and students moving a room's worth of goods
  • Corporate employees under a relocation policy
  • Car and two-wheeler transport for movers
  • Shops and small offices moving premises
  • Overseas movers sending goods by sea or air
  • People storing goods between moves

Not for

It is not the right fit if.

  • There is no named person for the first reply, and reminders would fire with nobody to act on them.
  • Estimates are not logged, so there is no list of families waiting for a call.
  • You plan automatic messages with no one to handle the replies that come back.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From your recent enquiries, we set the time each arrived against its first reply, using the call log, chats, form entries and portal panel. We also count the follow-ups each one got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Write the templates and first-call questions

The first reply, the quote follow-up and the last attempt are written in your voice and loaded as quick replies. The first-call questions are agreed with your best salesperson.

  4. 4

    Set ownership, tasks and alerts

Named owners, cover for leave and CRM or sheet tasks go live. App alerts, such as IndiaMART's, are switched on for the right phones.

  5. 5

    Track and adjust

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept. How often you are reported to is agreed in writing.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How hard should we chase an estimate?
Chase as far as the household welcomes it, and stop when they say no. Two or three polite, useful contacts that answer a real question are better than repeated calls that only ask whether they have decided.
Can follow-up be automated?
Reminders and confirmations can be, once the rules are clear. Calls about price and damage need a person. Automate the routine messages and keep people for the conversations where the household needs to be heard.
What do we do when a family says they have booked another mover?
Thank them, ask in one line what made the difference and note it. Leave the door open politely. Moves slip and rivals fail, and the family remembers a company that stayed courteous when they come to rebook.
Who should call about a damaged item?
The owner or the supervisor, not the desk, and within the same conversation the family raised it. The reason is that a damage complaint is a trust matter. Record what was agreed and what the insurance papers say.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
