Pharmaceutical distributors · WhatsApp marketing

Take orders, confirm delivery and send trade updates on the channel chemists already use.

WhatsApp marketing for a pharmaceutical distributor means using one business number to take chemists' lists, confirm orders and send trade updates. GullySales works on setting up that number, the replies and the record behind it.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

Pharmaceutical distributors: show a real physical business scene illustrating Batch and expiry stock. Hold stock by item, batch, expiry and warehouse, and offer the earliest-dated batch first at billing unless the counter deliberately picks another one.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For pharmaceutical distributors

Where it usually goes wrong, and what we would do.

  • “Chemists already send lists on WhatsApp”

A chemist photographs a handwritten list and sends it to the delivery boy or the salesman. That habit is the starting point. The problem is that the list sits on a personal phone and is entered into billing whenever someone remembers.

  • “Updates for the trade are not promotions for the public”

A message that a seasonal range is in stock, sent to chemists who asked for it, is trade information. A forwarded message with prices that reaches the public is a different matter, so keep the list to known trade contacts.

  • “A broadcast to everyone annoys everyone”

Sending the same message to chemists, hospitals and company managers wastes the reader's time. Groups by buyer type, with a clear way to stop messages, keep the channel welcome and keep the number from being reported.

What we do

What we deliver for pharmaceutical distributors.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A business number and profile

A dedicated number with business name, hours and a short description of supply to the trade.

Result: Chemists have one number to send orders to.

  2. An order-entry routine

Who reads the list, who enters it and how the confirmation goes back.

Result: Each list becomes an entered order.

  3. Reply templates

Short saved replies for order received, item short, delivery slot and payment reminder.

Result: Staff reply in the same words each time.

  4. Contact groups by buyer type

Chemists, hospitals and companies kept apart, with consent noted.

Result: Messages go only to people who agreed.

  5. A message log

Orders and conversations linked to the chemist record.

Result: The owner can read an order history on request.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

What a stockist sends and receives on WhatsApp with the trade.

Order list from a chemist
Saved to the record and read back line by line, so a missing item is caught before delivery.
Delivery confirmation
Sent after the round, listing what was delivered and what is short. The chemist replies if anything differs.
Quotation request from a hospital
Reply with the format and documents required, and log the request against the purchase officer's name.
Territory interest note for a company
A short message with godown, staff and district served, sent only to the manager who handles appointments.
Permission to send trade updates
Asked once and recorded with the date. Only agreeing chemists receive notices on delivery rounds or holiday closures.

Who it is for

This is written for these pharmaceutical distributors.

  • General pharma stockists supplying chemists across a city
  • Company-appointed C&F and redistribution stockists
  • Hospital and institutional medicine suppliers
  • Cold-chain stockists for vaccines, insulin and biologics
  • Ayurveda and herbal medicine distributors
  • Surgical and OTC range distributors serving chemists
  • Generic medicine suppliers to retail and institutional buyers
  • Veterinary medicine distributors serving animal clinics

Not for

It is not the right fit if.

  • Staff use their own phones for orders, and the chemist's thread would leave with the person.
  • You plan to send medicine offers to a broad list, which is outside what a stockist should circulate.
  • Nobody reads WhatsApp orders after the desk closes, and an evening list would not be acted on.

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

Read the chats you already have

We read how customers write to you, which questions repeat and where a chat goes quiet. The repeated questions decide what gets automated first.

  2. 2

Sort the list and the permission

Contacts who asked to hear from you are separated from numbers that only sit in a phone book. We agree the wording new contacts will see before they say yes.

  3. 3

Choose the app or the API

One phone and a small team can stay on the ordinary app. Several people on one number, templates or a CRM link need the API through a provider, which is its own piece of setup work.

  4. 4

Write the replies and the plan

The greeting, away message, saved replies and handover rule are written in your words and approved by you. The message plan and its templates follow.

  5. 5

    Connect the record and test

Each link carries its source line and each chat lands in the CRM. We test on real phones, including a customer who asks for a person.

  6. 6

    Read the unanswered questions

A question the first reply could not answer becomes a new saved reply or a fixed handover. Stop requests are watched too, with the number's quality rating where the API is used, since both show a message plan that has gone too far.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Do we need the official business API?
A business app is enough to begin with. The API suits higher volume and brings its own conditions, so check the platform's own pages for its current rules and fees before you decide.
Can we send offers to all chemists?
Only to those who have agreed to hear from you, and check the platform's current rules on bulk messages. Keep messages to trade information and avoid anything that promotes a medicine to the public.
What if staff use their own phones?
Move the orders to the business number and treat personal phones as a fallback only. Otherwise the chemist's order history and habits leave the business with the person who owns the phone.
Can we send a price list to chemists on WhatsApp?
To chemists who ordered from you and agreed to receive it, yes, as a trade document. Do not circulate prices or offers on medicines to the public. Rules differ by state, so check your adviser on wording.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
