Laboratory and scientific equipment suppliers · WhatsApp marketing

The reorder arrives as a photograph of an empty reagent box.

A laboratory technician sends a picture of a label and asks for the same again. A lab in-charge sends a photograph of a broken part. WhatsApp is now where most of this trade's daily business starts, but it is not a procurement record. GullySales sets up the business account and the rules around it.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For laboratory and scientific equipment suppliers

Where it usually goes wrong, and what we would do.

  • “Answer the photograph with a catalogue number”

A technician sending a picture of an empty box cannot raise a purchase order from a chat reply. Send back the catalogue number, the pack size and a proper quotation the store can attach to the file, and the reorder actually happens.

  • “Anything agreed on WhatsApp has to exist somewhere else”

A delivery date or a rate promised in a chat does not survive an audit at either end. Repeat it in a signed quotation or an email, because the purchase officer needs a document and you will need one too if there is a dispute.

  • “The service desk is currently an engineer's personal number”

Labs message the engineer who came last time. When the engineer resigns, the complaint history and half your accounts walk out with the handset. A business number the whole service team can answer keeps the account with the firm.

What we do

What we deliver for laboratory and scientific equipment suppliers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A WhatsApp Business account for enquiries and service

One firm number with the profile, product groups and address set up, answerable by more than one person and separate from personal phones.

Result: A customer's messages reach the company rather than an individual.

  2. A catalogue of the routinely ordered items

Consumables, glassware and fast-moving items loaded with catalogue numbers, pack sizes and specification links, so a technician can pick from a list.

Result: Reorders arrive with the correct item code already attached.

  3. Saved replies that turn a chat into a quotation

Prepared responses that acknowledge the message, ask for the pack size and quantity, and issue a formal quotation against the enquiry record.

Result: A casual message becomes a document the store can act on.

  4. A service complaint route with a reference number

A way for a lab to report a breakdown on the business number and receive a complaint reference, with the call logged against the installation.

Result: A breakdown is tracked rather than remembered.

  5. Consent and restraint on broadcasts

A list limited to contacts who agreed to receive product news, with an opt-out on every send, and a rule against blasting purchase officers with offers.

Result: Your messages are still read by the people who matter.

  6. Chat conversations logged to the customer record

A short routine for copying what was agreed on WhatsApp into the quotation or service record, so the account history is complete.

Result: The account file does not live in one salesman's phone.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What must be in place first

What a laboratory supplier settles before the technician's first photograph arrives.

A company number for the sales desk
Put the business number on the quotation footer, the delivery challan and the invoice. When the engineer who held the old number leaves, the college's purchase officer should still reach the same desk.
Catalogue of routine items only
List pipette tips, filter papers, buffer solutions, glassware and similar reorder items with catalogue numbers, pack size and brand. Leave out instruments that need a specification and a quotation.
Opt-in for reorder reminders
Ask the store in-charge to confirm in writing, on the purchase order or by reply, that reminders may go to the number. Record who gave it. A shared lab number belongs to the department, so name a person.
Which messages need a template
A reply inside an open chat is free text. A reminder you start yourself, such as a calibration due note, needs an approved template. Check WhatsApp's current business policy and pricing before planning volumes.
The route from chat to quotation
Write the rule that a chat becomes a quotation on letterhead with a number, validity date and GST details before any price is treated as agreed. Chats can be asked about at audit; the quotation is what the purchase section files.
Opt-out and a human reply
Every broadcast carries a way to stop, and every automatic reply names who will answer. A lab running a time-bound experiment should reach a person, not a menu.

Who it is for

This is written for these laboratory and scientific equipment suppliers.

  • Laboratory instrument dealers and distributors
  • Authorised importers of foreign scientific instruments
  • Scientific glassware and plasticware suppliers
  • Chemical, reagent and culture media suppliers
  • Consumables and disposables suppliers on monthly reorder
  • Indian makers of ovens, incubators, furnaces and water baths
  • Lab furniture, fume hood and clean room suppliers
  • Calibration, service and maintenance contractors
  • Turnkey lab set-up contractors for new colleges and hospitals

Not for

It is not the right fit if.

  • The service engineer's personal phone is the only service line, so complaints would be lost when the engineer is off duty.
  • You want to accept formal orders from government colleges by chat, which their purchase rules do not allow.

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

Read the chats you already have

We read how customers write to you, which questions repeat and where a chat goes quiet. The repeated questions decide what gets automated first.

  2. 2

Sort the list and the permission

Contacts who asked to hear from you are separated from numbers that only sit in a phone book. We agree the wording new contacts will see before they say yes.

  3. 3

Choose the app or the API

One phone and a small team can stay on the ordinary app. Several people on one number, templates or a CRM link need the API through a provider, which is its own piece of setup work.

  4. 4

Write the replies and the plan

The greeting, away message, saved replies and handover rule are written in your words and approved by you. The message plan and its templates follow.

  5. 5

    Connect the record and test

Each link carries its source line and each chat lands in the CRM. We test on real phones, including a customer who asks for a person.

  6. 6

    Read the unanswered questions

A question the first reply could not answer becomes a new saved reply or a fixed handover. Stop requests are watched too, with the number's quality rating where the API is used, since both show a message plan that has gone too far.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we accept an order placed on WhatsApp?
Treat it as an enquiry, not an order. Issue a quotation and ask for the purchase order, because a government or hospital store cannot pay against a chat message and your own accounts will need the document at the end of the year.
Is it worth broadcasting new product announcements to our customer list?
Sparingly, and only to people who agreed to it. A specification sheet sent to a professor who asked about that instrument is welcome. The same message sent to every purchase officer in your list gets the number blocked, and that number is also your service line.
A college purchase officer wants to join our WhatsApp group. Is that sensible?
A group blurs private rates, because every member can see what others are told. Offer a one-to-one chat from the sales number instead, and send each institution only its own quotation. Keep group chats for service coordination within one customer.
Should the service engineer reply to complaints from a personal phone?
No. A complaint on a personal number has no reference and leaves with the engineer. Route it to the business number, give it a reference at the first reply, and log it so the department head can be told its status without ringing around.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
