Farm equipment and tractor dealers · CRM
Know which farmers to ring in May without asking the salesman who left.
A CRM for a tractor dealer is the one record of every farmer who has enquired, bought, financed or serviced a machine, kept where the whole sales desk can see it. GullySales sets up that record with the fields the trade needs, such as village, crop and planned purchase date, and trains the desk to keep it current.
Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What CRM means
A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

For farm equipment and tractor dealers
Where it usually goes wrong, and what we would do.
“The season is the only deadline”
A farmer who is ready in June will not wait for a call in July. The list of who to ring in which month has to exist before the season starts.
“Sales and service are two separate registers”
The workshop job cards and the sales enquiry book never meet. For example, a ten-year-old tractor comes in for service while the farmer who asked about a replacement last month sits in the other book, and nobody joins the two.
“Finance status lives on the executive's phone”
The sales desk does not know which file is with the bank, which is waiting for a land record and which was sanctioned last week, so it cannot tell the farmer anything.
What we do
What we deliver for farm equipment and tractor dealers.
Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.
Farmer record with village, crop and machine
Name, phone, village, acreage, crop, the tractor he owns now and the one he asked about, with the date of each contact.
Result: Anyone at the desk can pick up the conversation where it stopped.
Stages from enquiry to delivery
Enquiry, demonstration, quote, finance file, sanction, booking and delivery, each with who moves it forward.
Result: The owner sees where each farmer is, without asking around.
Finance file tracker
Each loan file with the finance company, the documents collected, the documents awaited and the date it was last chased.
Result: A stalled file is chased on a named document, not left to chance.
Link between workshop and sales
Job card details such as the machine's age and hours passed to the sales desk, so owners due for replacement or an attachment get a call.
Result: Service customers become sales conversations at the right moment.
Pre-season call lists
Lists built from the register by village, crop and planned month, ready before sowing and harvest begin.
Result: The team rings a prepared list instead of starting from a blank page.
Pipeline report
Enquiries, demonstrations, files and deliveries counted from the record against the baseline.
Result: The owner sees the season's pipeline in one page.
How the result is measured
- Enquiries logged in the CRM
- Data completeness
- Reports generated from CRM data
Recorded as a baseline before work starts, so every later report has an honest comparison.
What to record, and when
What a tractor dealer should write down about each farmer, and whether software is needed yet.
- Village, taluk and acreage
- Record where the farmer lives and how much land he works. It tells you which camp or demonstration to invite him to, and whether a 35 horsepower machine or a 55 is the honest answer.
- Crop and sowing or harvest month
- Write the main crop and the month he needs the machine. A call in the right month is a service. A call in the wrong month is an interruption.
- Machine owned and its age
- Note brand, horsepower and year of the tractor he runs now. A ten-year-old machine is a replacement conversation, and the workshop job card often holds this answer already.
- Finance route and file stage
- Record whether he pays cash, takes a bank loan or a finance company loan, which executive holds the file and which document is outstanding. The date of the last chase goes beside it.
- Source and referrer
- Write how he reached you: walk-in, hoarding number, camp, manufacturer lead or a named owner. A referrer's name is how you thank him later and see where sales really come from.
- Do you need software yet?
- A shared sheet works while one person enters and one person reads. Move to a CRM when two showrooms, the workshop and the sales desk all need the same farmer's history. Do not buy it before the sheet is being kept.

How it works
From your first message to the first report.
No open-ended retainer. Every step gives you something in writing.
First
Your brief
You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.
After the brief
A conversation and a written scope
We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.
Before work starts
Baseline recorded
The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.
After the baseline
The first fix goes live
The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.
As agreed
Report against the baseline
What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.
At renewal
Renew on the numbers
The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.
How the CRM work runs
- 1
Map the sales process
We record how a deal actually moves from enquiry to close in your business today.
- 2
Configure stages and fields
The CRM's pipeline and fields are built to match that process exactly, not a generic template.
- 3
Set up automations
Reminders, assignment rules and follow-up triggers are configured so routine steps happen without manual effort.
- 4
Test with real deals
We run the configuration against actual current deals to catch gaps before the whole team relies on it.
Why us
Why owners pick GullySales over an agency.
Marketing and sales, as one job
Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.
The person on the first call does the work
No account managers in between. You are never handed to someone you have not met.
A baseline before anything starts
Your numbers are written down on day one, so every later report compares against something honest.
The fee in writing, split three ways
Our time, your media spend and production on separate lines. You always see what goes to us.
No guarantees we cannot keep
The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.
One office, and we say so
