Online marketplaces · Follow up systems

Follow up with sellers and buyers at the moments they are about to drift away.

A follow-up system for a marketplace is a set of rules for who contacts a seller or buyer after sign-up, after a lead, after an order and after silence. GullySales writes those rules and the messages, so nobody falls through between the app and the sales team.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For online marketplaces

Where it usually goes wrong, and what we would do.

  • “A seller who signs up and hears nothing never lists”

The moment after registration is when a seller is keenest to learn. If the next contact comes after a long gap, they have forgotten the platform or taken a different offer.

  • “A seller who misses a lead needs a prompt, not a penalty”

When a lead arrives and the seller does not reply, a WhatsApp reminder in their language reaches them where they already look. A silent drop in their ranking teaches them nothing.

  • “A buyer who enquired but did not order has a reason”

The seller did not pick up, the price was unclear or the buyer found someone else. A short follow-up asking what happened gives the platform a reason it can fix.

  • “Repeat buyers are forgotten between orders”

A buyer who had a good plumbing visit will need an electrician later. Without a reminder, they search again and find a competitor.

What we do

What we deliver for online marketplaces.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Seller follow-up sequence

A set of calls and messages from sign-up through first listing to first order, with the owner of each step named.

Result: Every new seller has a next contact scheduled and an owner.

  2. Lead reminder messages

WhatsApp templates sent to a seller when a buyer lead arrives, written in the seller's language.

Result: A seller is reminded of a waiting lead in words they understand.

  3. Buyer follow-up after enquiry

A short check-in for a buyer whose enquiry did not turn into an order, asking what stopped them.

Result: Lost enquiries have a recorded reason.

  4. Repeat order nudges

A message to past buyers suggesting a related service at the right time for them.

Result: Past buyers are reminded of services they may need next.

  5. Escalation rule for silence

A rule for what happens when a seller or buyer does not respond to a set number of attempts.

Result: An unanswered account is closed or paused by rule.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

How many times should we follow up with a silent seller?
Set the number in advance and record it in a rule, then stop. A seller who has been contacted several times without reply is better handled in a clean-up list. We help you pick a limit that suits your team.
Are automated messages allowed?
Messaging platforms have their own rules on templates and consent. Check the platform's current rules and get the person's agreement before sending business messages. We write messages to fit those limits.
Who owns follow-up, sales or support?
Name one owner per stage. Sales owns the path to the first order and support owns problems after it. A shared stage with no owner is where people get lost.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
