Organic farms · Follow up systems

Make sure no enquiry, trial box or skipped delivery goes quiet without a reply.

A follow-up system for an organic farm is the set of messages and reminders that carry a buyer from first enquiry through the first deliveries and past a skipped box. GullySales works on writing those messages, deciding who sends them and when each is due.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For organic farms

Where it usually goes wrong, and what we would do.

  • “The first three deliveries decide the subscription”

A new household judges the farm on those boxes. A message before the first delivery, a note in the box and a check-in after the third turn a trial into a habit. Nothing complicated, only done every time.

  • “A skip is a signal, not a pause”

When a customer skips, they may be away, or they may be losing interest. A short, kind message asking if they would like to change the box, rather than a silence, tells the two apart and keeps the door open.

  • “An enquiry that waits is an enquiry lost”

Someone messages from a society group in the afternoon. The farm is in the field until evening. A saved first reply that goes out at once, and a person assigned to follow up, stops the buyer going to the next farm.

  • “Store buyers need a different rhythm”

A shop that has listed your produce needs a note when stock is ready, a call when a delivery is late and a check when sales slow. Following up in the shop's own pattern shows you are a supplier, not an occasional visitor.

What we do

What we deliver for organic farms.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A first-three-deliveries sequence

The messages before, during and after a new customer's first boxes, written for WhatsApp.

Result: A new customer hears from the farm at each step.

  2. A skipped-delivery message

A short, warm note that asks whether to change the day, the box or pause, without pressure.

Result: A customer who skips is asked, not left.

  3. A first-reply routine for enquiries

A saved reply and a named person responsible for each new enquiry.

Result: No enquiry waits for the farm to come in from the field.

  4. A trade follow-up pattern

A set of reminders for store and restaurant buyers around stock, delivery and review of the listing.

Result: Each trade buyer hears from you at the right moments.

  5. A simple tracker for who is due a message

A list showing each buyer's next message and who sends it.

Result: The team knows what is due without asking.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Will this feel like spam?
Not if each message answers something the customer cares about and goes only to people who agreed to hear from you. We keep messages short, useful and few.
Who sends the messages?
Your team, from your own number, using the wording we write. We set up the schedule and the reminders, but we do not message your customers for you.
What about customers who stop replying?
Ask once more, kindly, then stop. Respect the silence and note it on the record. A customer who stops hearing from you for a while may come back when a crop they like returns.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
