Astrologers · Follow up systems

A quiet follow-up keeps the family without pressing a worried one.

Follow-up for an astrologer is what happens after birth details are sent, after a sitting is given and after a family goes silent. GullySales writes the messages, fixes the points at which each is sent and keeps the tone respectful of a family's private matter.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For astrologers

Where it usually goes wrong, and what we would do.

  • “Silence has several meanings”

A family that stops replying may have fixed the date elsewhere, may be waiting for an elder's view or may be dealing with a bereavement. One polite message is courtesy. A string of reminders on a sensitive matter is pressure.

  • “The deadline belongs to the family”

A match before a meeting, a muhurta before a house move: the date the family named decides when a follow-up is useful. Once that date has passed, the message changes from a nudge to a question about whether they still need you.

  • “The sitting is where the relationship starts”

Few families hear from a practitioner once the chart has been handed over. A short message confirming the notes arrived, and a door left open for questions, is what brings a household back for its next occasion.

What we do

What we deliver for astrologers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A follow-up plan by stage

What is sent after birth details arrive, after a fee is quoted, after a sitting and after silence, each with its purpose written down.

Result: No stage is left to memory.

  2. Message wording in the family's language

Short messages in Kannada, Tamil, Telugu, Hindi or English, polite and plain, with no urgency and no hint of fear.

Result: A message reads as courtesy.

  3. A reminder set against the family's date

The day the family needs an answer noted on each enquiry, with the reminder placed before it and not after.

Result: The family hears from you while it still matters.

  4. A rule for when to stop

How many times a family is contacted before the enquiry is closed with thanks, and what is never sent to a family in mourning or distress.

    Result: Nobody feels chased.

  5. A check-in after the sitting

A short message confirming the notes reached the family and inviting questions, with no request for a review or a purchase in it.

Result: Families leave feeling attended to.

  6. A log of what was said and when

Each contact entered in the family's record with the date and the reply.

Result: Whoever picks up the next call knows the history.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

Know what to say at each point after a family first writes.

Acknowledgement of birth details
A short reply saying the details are received, the fee for the consultation asked about and when you can sit, sent before any chart work begins.
A missing birth time
A gentle request to confirm the time, with a suggestion to ask the elders or check the hospital record, since a guess changes the chart.
The date the family gave
A reminder set against the ceremony or meeting they named, so a muhurta is fixed in time and not left to the last day.
A check after the sitting
A message asking whether the family has any question on what was discussed, with no offer of a puja or remedy.
A last message to a quiet family
One polite note saying the offer to sit remains open, after which you stop, because pressing a worried family causes harm.

Not for

It is not the right fit if.

  • You cannot reply in the family's own language, so a follow-up would arrive in words they do not trust
  • You intend to use the follow-up to sell a puja or remedy, which this page does not write
  • You have no record of what each family asked, and a message that repeats the wrong occasion would damage the trust you have

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From your recent enquiries, we set the time each arrived against its first reply, using the call log, chats, form entries and portal panel. We also count the follow-ups each one got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Write the templates and first-call questions

The first reply, the quote follow-up and the last attempt are written in your voice and loaded as quick replies. The first-call questions are agreed with your best salesperson.

  4. 4

    Set ownership, tasks and alerts

Named owners, cover for leave and CRM or sheet tasks go live. App alerts, such as IndiaMART's, are switched on for the right phones.

  5. 5

    Track and adjust

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept. How often you are reported to is agreed in writing.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

How many follow-ups are too many?
For a private or worrying matter, one polite message after the family goes silent is enough. Add a second only if the occasion date is still ahead. After that, close the enquiry gracefully and leave the door open.
Should we follow up a family that did not book?
Once, asking whether they still need the sitting. People go quiet for reasons that have nothing to do with you. If they say they have decided otherwise, thank them, note it and do not message again.
Can a follow-up include a remedy or puja offer?
Not in a follow-up. Mixing a sale into a message that follows a private sitting reads as pressure and invites complaints. Keep it to the sitting, the notes and the next consultation, and describe any remedy only when the family asks, saying plainly that it is optional.
Should we follow up a family that did not book?
Once, politely, and then stop. A family that has not booked may be waiting for a meeting or a decision at home, and repeated messages feel like pressure. Leave the door open and let them return when the date is near.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.

Your next practical step

Tell us what you are trying to grow, and we will read it before we call.

Eight short steps, mostly taps. Skip anything you would rather answer on the call.
