Corporate event organisers · WhatsApp marketing

Use WhatsApp for the thread where the brief, the photographs and the changes live.

WhatsApp marketing for a corporate event organiser is the use of WhatsApp Business to take enquiries, share plans and photographs and stay in touch between events. GullySales works on the profile, the replies and the permissions behind it.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For corporate event organisers

Where it usually goes wrong, and what we would do.

  • “Briefers prefer a thread to a long email”

An HR or admin manager in India will message a venue list, a photograph and a question in one thread. The organiser who answers there, with the plan attached, stays in the conversation. One who asks for an email loses the moment.

  • “The same chat mixes the client and the crew”

Event days run on groups with vendors, venue staff and client contacts. If client messages sit among crew groups, a request is missed. Keep client threads separate from operations.

  • “Bulk messages to companies need care”

Sending the same promotional message to a long list of HR heads reads as spam and may break the platform's rules. Messages should go to people who have asked, or who know you, and check the platform's current rules.

  • “The business profile is a small website”

A catalogue of event types, a short description, working days and a link to cases tell a new contact what you do before they type. A bare number tells them nothing.

What we do

What we deliver for corporate event organisers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A WhatsApp Business profile set up properly

Business name, description, catalogue of event formats, address and hours, matched to your website.

Result: A profile that matches your site and lists every format.

  2. Quick replies for first questions

Saved replies for date, guest count, city and budget range, so every enquiry gets the same clear first answer.

Result: Saved replies that cover the first five questions.

  3. A routine for plans and photographs

How a one-page plan and event photographs are sent, in what format and with what note, so a forwarded message reads well to finance.

Result: A plan format that reads well on a phone.

  4. A permission record for contacts

A note of who agreed to hear from you, and about what, kept in the CRM and not in a phone.

Result: Each contact shows when and how they agreed.

  5. A separate line for clients and crew

Client threads on the business number and crew groups elsewhere, so no brief is lost among run-sheet messages.

Result: Client messages sit apart from operations chat.

  6. A log from chat to record

A habit of entering each enquiry from WhatsApp into the lead sheet the same day.

Result: Every WhatsApp enquiry appears on your lead sheet.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

Know what to send, and when, in a client's WhatsApp thread.

First reply to an enquiry
Thanks for the brief, a request for guest count, city and month, and the name of the person who will reply.
One-page plan as a PDF
Sent after a call, in a format that opens on a phone, so a forward to finance reads cleanly.
Venue photographs for approval
Three or four images with the hall capacity, sent in the thread where the client's team can respond.
Change request logged
A line confirming a change to guest count or date and who approved it, kept for the final bill.
Permission note
The date and wording of a contact's agreement to hear from you, copied into the CRM the same day.

Who it is for

This is written for these corporate event organisers.

  • Organisers of annual days, town halls and employee engagement events
  • Product launch and dealer meet specialists for manufacturers and consumer brands
  • Offsite and incentive trip organisers for sales teams
  • Corporate gifting and conference-support companies that run events
  • Organisers for IT and BPO companies with large employee bases
  • Organisers focused on pharma, insurance and banking meets
  • Boutique agencies that run a few brand events a year
  • Organisers that manage events on behalf of an advertising or PR agency

Not for

It is not the right fit if.

  • You have no agreed contact who has asked to hear from you on WhatsApp, so a message would arrive unwelcome
  • Your crew and clients share one number, and a client thread would be lost among run-sheet messages
  • You plan to send contracts and invoices there, when your finance process needs a signed record

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

Read the chats you already have

We read how customers write to you, which questions repeat and where a chat goes quiet. The repeated questions decide what gets automated first.

  2. 2

Sort the list and the permission

Contacts who asked to hear from you are separated from numbers that only sit in a phone book. We agree the wording new contacts will see before they say yes.

  3. 3

Choose the app or the API

One phone and a small team can stay on the ordinary app. Several people on one number, templates or a CRM link need the API through a provider, which is its own piece of setup work.

  4. 4

Write the replies and the plan

The greeting, away message, saved replies and handover rule are written in your words and approved by you. The message plan and its templates follow.

  5. 5

    Connect the record and test

Each link carries its source line and each chat lands in the CRM. We test on real phones, including a customer who asks for a person.

  6. 6

    Read the unanswered questions

A question the first reply could not answer becomes a new saved reply or a fixed handover. Stop requests are watched too, with the number's quality rating where the API is used, since both show a message plan that has gone too far.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we send event photographs to prospects?
Share photographs the client has agreed may be shown. Strip guest faces where you can and keep client names off unless allowed.
Should we use broadcast lists?
Use them for people who have asked to hear from you, such as past clients, and keep the message useful. Check the platform's current rules, and do not use them for cold outreach.
Can we use WhatsApp for contracts and invoices?
Use it to alert and discuss, but keep contracts, GST invoices and approvals in the email and documents procurement expects. The chat is the conversation; the file is the record.
Can the same WhatsApp number serve a client thread and the on-site crew?
It can, but it should not. Client messages carry the brief and changes, and crew messages carry call times and run-sheet updates. On event day the second drowns the first. Use a business number for clients and a separate group or number for crew.

How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
