Diagnostic franchise networks · WhatsApp marketing

Use the app patients and doctors already open to book, confirm and answer.

WhatsApp marketing for a diagnostic network means using the app for booking requests, preparation notes, confirmations and doctor updates, within consent and platform rules. It is the channel on which prescriptions are photographed and sent. GullySales sets up the business account, the replies and the rules for handling health information.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For diagnostic franchise networks

Where it usually goes wrong, and what we would do.

  • “The prescription arrives as a photo”

A patient sends a picture of the doctor's note and asks the price. A staff member who reads it, lists the tests and replies with the package, slot and fasting note wins the booking. A reply that says 'call us' loses it.

  • “Consent comes before broadcasts”

Sending promotions to people who did not ask for them damages trust and may breach platform rules. Collect clear opt-in at booking, say what you will send and let people stop. Check the platform's current rules.

  • “Doctors use it for quick questions”

A clinician may message a centre to ask whether a test is available or how to order it. A separate number or labelled contact for doctors, with a named responder, keeps these from sinking among patient chats.

  • “Report sharing needs a rule”

Sending reports over a chat shares private health data. Decide how the network shares them, to whom and after what check, and write the rule. Check with your adviser about the obligations that apply.

What we do

What we deliver for diagnostic franchise networks.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A business account set-up

Profile, catalogue of packages, greeting and away messages for the centre or network.

Result: A profile showing name, area, hours and booking route.

  2. Quick replies for common questions

Saved replies for tests, packages, fasting, home collection and timings.

Result: A list of replies that every staff member uses.

  3. A booking flow

A script that takes the test list, address and slot and confirms in a single message.

Result: Each booking ends in a confirmation message.

  4. A doctor contact route

A named contact and a short guide for clinics to ask about tests.

Result: Clinics have one number and one person.

  5. An opt-in and report-sharing rule

A written rule for collecting consent and for sending reports.

Result: Staff know what may be sent and to whom.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

Ask for these on chat, and send these back.

Prescription photograph
Patients send the prescription as an image. Confirm which tests are needed, give the preparation note and delete the image after the booking is made.
Area and preferred window
For home collection, ask for the locality and a preferred window. Reply with only the slots the centre can honour.
Consent to receive messages
Record that the patient agreed, with the date. Do not add past patients to broadcast lists without it.
Doctor quick-contact route
A saved number for clinic queries, with a named person. Doctors use chat for short questions, so reply on the same day if possible.
Report-sharing rule
Decide whether reports are sent by chat, a portal or collected, and tell the patient the method at booking. Do not send reports to a group.
Quick replies for timings and prices
Saved answers on hours, packages and preparation, checked against the current price list before use.

Who it is for

This is written for these diagnostic franchise networks.

  • Pathology lab collection centre networks
  • Radiology and imaging centre franchises
  • Home sample collection brands
  • Diagnostic centres inside clinics and pharmacies
  • Preventive health check package providers
  • Corporate health check and camp providers
  • Speciality test brands such as genetics or allergy testing
  • Master franchise holders managing centres in a city

Not for

It is not the right fit if.

  • Several staff share one phone, so a patient's prescription image could be seen by people who should not see it.
  • You plan to send offers to every past patient, which would reach people who never agreed to hear from the centre.
  • No rule exists for sending reports, so a staff member could send one to the wrong number.

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

Read the chats you already have

We read how customers write to you, which questions repeat and where a chat goes quiet. The repeated questions decide what gets automated first.

  2. 2

Sort the list and the permission

Contacts who asked to hear from you are separated from numbers that only sit in a phone book. We agree the wording new contacts will see before they say yes.

  3. 3

Choose the app or the API

One phone and a small team can stay on the ordinary app. Several people on one number, templates or a CRM link need the API through a provider, which is its own piece of setup work.

  4. 4

Write the replies and the plan

The greeting, away message, saved replies and handover rule are written in your words and approved by you. The message plan and its templates follow.

  5. 5

    Connect the record and test

Each link carries its source line and each chat lands in the CRM. We test on real phones, including a customer who asks for a person.

  6. 6

    Read the unanswered questions

A question the first reply could not answer becomes a new saved reply or a fixed handover. Stop requests are watched too, with the number's quality rating where the API is used, since both show a message plan that has gone too far.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we send offers to all past patients?
Only to those who agreed to receive them. Send a first message asking permission, honour a request to stop and check the platform's current rules and your adviser's guidance on health advertising.
Should reports be sent on WhatsApp?
That is a policy decision with privacy implications. If you do, define who sends, how the recipient is verified and what is recorded. Check with your own adviser before settling the rule.
Who should answer the chats?
Someone trained on the replies and on what not to say, such as interpreting results. At a busy centre, split the duty so the counter is not also the chat desk.
Should the chat number be the same as the centre phone?
Use a separate business number for chat, owned by the centre or head office and not by a staff member's phone. Patients send private images, so access must be controlled. Review who has the device and what happens when someone leaves.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
