Event management companies · WhatsApp marketing

Turn the chat where families already ask for quotes into a clear booking channel.

WhatsApp marketing for an event company means using the chat, the business profile and the catalogue to receive enquiries, share portfolios and send quotes. GullySales sets up a business profile, saved replies and a record of each chat, and checks the platform's current rules on messaging before any broadcast.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For event management companies

Where it usually goes wrong, and what we would do.

  • “The enquiry already arrives on WhatsApp”

A venue manager forwards a number, a past client shares a contact and a bride messages after an Instagram reel. The first reply sets the tone, and a chat answered late or with a single line loses to a planner who sends a portfolio link.

  • “Personal numbers hide the business”

When coordinators use their own phones, the chat history leaves with them. A business number with agreed greetings and labels keeps the conversation with the company, not with one employee.

  • “A PDF quote lost in a family group”

A quote shared in a group with parents, cousins and the couple gets forwarded, edited in people's heads and argued over. A clear single message with the options and a next step keeps the decision in one place.

  • “Broadcasts need permission”

Sending an offer to every contact in the phone annoys people who only enquired once. A message to a past client about a new package works when they agreed to hear from you, and the platform's current rules apply.

What we do

What we deliver for event management companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. WhatsApp Business profile

Business name, description, address, working hours and a catalogue of event types with photographs.

Result: A new enquirer sees a real company before the first reply.

  2. Saved replies for the first contact

Greeting, questions about date, city, guest count and budget, and a portfolio link, written in your voice.

Result: The first answer is complete and consistent across the team.

  3. Labels for enquiry stage

Chat labels such as new, quote sent, site visit and advance paid, matched to your CRM stages.

Result: The team sees where each chat stands at a glance.

  4. Quote message format

A fixed layout for sending a quote on chat, with the options, the advance and the date-hold note.

Result: The family receives the same clear structure each time.

  5. Opt-in list of past clients

A record of who has agreed to receive updates, with the occasion they booked.

Result: Messages about new packages go only to people who said yes.

  6. Chat record into the CRM

A habit and a template for pasting the key facts of a chat against the client record.

Result: Nothing agreed on a chat is lost when the coordinator changes.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

What to send and record when the enquiry comes in on WhatsApp.

First message from the family
Reply with the planner's name, then ask the date, the city and the guest count. Save the answers as labels so the chat becomes a record.
Label for the stage
New, quote sent, visit planned, advance awaited, booked. The coordinator changes it after each step, so anyone can see where the chat stands.
Quote message
Send a short summary and the itemised PDF together, with the date the quote is valid to. It keeps the number from being lost in a family group.
Venue and stage photographs
Share two photographs of the hall from your own earlier event. Record which went, so the next reply does not repeat them.
Opt-in from past clients
Note when a past client agreed to hear about your work and send only to those on the list. Check the platform's current rules.
Call requested in the chat
Record the time the client asked for and who promised the call. It stops a request being buried in a busy thread.

Who it is for

This is written for these event management companies.

  • Wedding planning companies
  • Corporate and MICE event agencies
  • Exhibition and trade show organisers
  • Birthday and private party planners
  • Destination wedding specialists
  • Government and institutional event contractors

Not for

It is not the right fit if.

  • Every coordinator uses a personal phone and none will move to a business number, so history would leave with each person.
  • You have no one to reply in the evening, so a clear WhatsApp channel would only show the delay.
  • Your contact list has no record of consent, so broadcasts to it would reach people who never agreed.

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

Read the chats you already have

We read how customers write to you, which questions repeat and where a chat goes quiet. The repeated questions decide what gets automated first.

  2. 2

Sort the list and the permission

Contacts who asked to hear from you are separated from numbers that only sit in a phone book. We agree the wording new contacts will see before they say yes.

  3. 3

Choose the app or the API

One phone and a small team can stay on the ordinary app. Several people on one number, templates or a CRM link need the API through a provider, which is its own piece of setup work.

  4. 4

Write the replies and the plan

The greeting, away message, saved replies and handover rule are written in your words and approved by you. The message plan and its templates follow.

  5. 5

    Connect the record and test

Each link carries its source line and each chat lands in the CRM. We test on real phones, including a customer who asks for a person.

  6. 6

    Read the unanswered questions

A question the first reply could not answer becomes a new saved reply or a fixed handover. Stop requests are watched too, with the number's quality rating where the API is used, since both show a message plan that has gone too far.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Should we switch from personal numbers to a business number?
Yes, for the company's own enquiries. Staff may still use personal phones for site work, but the enquiry number should belong to the business so the history stays with you.
Can we send bulk messages to our whole contact list?
Check the platform's current rules first, and message only those who have agreed. A short, relevant note to past clients usually reads better than a mass broadcast, and we help you set up the opt-in.
Is the WhatsApp API needed?
Only if several people must answer from one number or you want automated flows. A small team can start with the Business app and move up when the volume demands it.
Can the coordinator use their own phone for client chats?
Use a business number the company owns. When a coordinator leaves, a personal phone takes the whole conversation history with it. A shared business number keeps the quote and the date discussion where the next person can read it.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
