OTT content studios · CRM

Keep every platform conversation in one place that outlasts a job change.

A CRM for an OTT content studio is a record of every contact at a platform, brand or aggregator, with the project pitched, what was said and who owns the next move. GullySales works on the fields, the pipeline stages and the habit of keeping the record current.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What CRM means

A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

For OTT content studios

Where it usually goes wrong, and what we would do.

  • “The relationship lives in one producer's phone”

Contacts, notes and the last conversation sit in a single producer's messages and memory. When that producer is on a shoot or leaves, the studio cannot see who liked what. A shared record turns a personal contact into a studio asset.

  • “A pitch moves through stages a spreadsheet hides”

A project goes from logline sent to script request, pilot, internal review, greenlight talks, contract and delivery. Each stage has a different owner on the platform side. A pipeline view shows which projects are stuck at which stage.

  • “One executive, several projects”

The same platform contact may be reading a crime drama, a comedy and a documentary from one studio. Without a record that links them, the studio contradicts itself, for example by offering the same lead actor to two projects.

  • “Brand and licensing leads need their own track”

A brand-funded series and a catalogue licensing sale follow different paths from an original commission. Mixed into one list, they confuse everyone who reads it. Separate pipelines keep each readable.

What we do

What we deliver for OTT content studios.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Field and stage design

Fields for contact, platform team, language, project, rights held and next step, with stages for each type of deal.

Result: A layout your team can fill in without a manual.

  2. Import of existing contacts

Contacts gathered from email, chats and sheets, then matched and cleaned.

Result: One list with duplicates removed.

  3. Pipelines for originals, brand and licensing deals

Three separate views, each with its own stages.

Result: A board showing where each deal stands.

  4. History record per contact

A page holding every message sent, call held and promise made.

Result: A page a new person can read before a call.

  5. Entry habit guide

A short note on what to log after each call or meeting and who logs it.

Result: A rule your team can follow every time.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

Fields worth keeping

The fields a studio's pitch record needs and who fills each one.

Contact role and platform
Filled by the producer who met them. It shows whether the person commissions, acquires or advises.
Project pitched and version sent
Filled when a pitch goes out. It stops a contact receiving the same bible twice and shows which version they hold.
Stage
Introduced, sent, read, meeting, under consideration or passed, kept by the business head so the pipeline is honest.
Last conversation and next step
A line written after each call, with an owner for the next move so a job change does not lose the thread.
Deal type
Original, acquisition, brand-funded or licensing, set when the record is made. Each type has its own stages.
Confidentiality note
A flag for what the contact may and may not be told, drawn from your agreements, so nobody reveals a project by mistake.

Who it is for

This is written for these OTT content studios.

  • Studios producing scripted web series for national platforms
  • Regional-language originals studios
  • Short-form and micro-drama studios
  • Documentary and true-crime series producers
  • Studios that run their own channels or apps
  • Branded-series studios working with consumer brands
  • Studios licensing finished catalogue to platforms

Not for

It is not the right fit if.

  • One producer handles every relationship and the thread lives in their head, with no one else to read the record
  • The studio has not pitched anything yet, so the record would be empty
  • Your team will not write notes after calls, and a record without notes is only a contact list

How it works

How the CRM work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Map the sales process

We sit with the people who sell and write down how a deal moves from enquiry to payment, including where it stalls.

  2. 2

    Agree stages, fields and owners

Each stage gets a name your team already uses and a proof that the deal has left it. We agree which fields are required at which stage, and who may change what.

  3. 3

    Build on a copy

Pipeline, fields and views are built on a trial copy where the CRM offers one, or in a separate pipeline where the plan allows. Live work stays untouched.

  4. 4

Connect channels, then switch on automations

Channels are connected first. Each automation is then switched on separately, so a misfiring rule is easy to find.

  5. 5

    Test with real deals

The people who will use the CRM run open deals through it. Gaps are fixed before the whole team switches over.

  6. 6

    Switch over and trim

Once real use shows which fields stay empty and which stages nobody uses, those are cut and the handover record is updated.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales management. A target, a review routine and someone who owns the number.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3 · you are here

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Which CRM tool do you use?
We work in the tool you already have, or help you choose a simple one such as HubSpot or Zoho CRM. The structure matters more than the product, so we set that first.
Is a CRM too heavy for a small studio?
A small studio needs fewer fields, not no record. Start with contact, project, last conversation and next step, and add a field only when a real question demands it.
Who owns the record when a producer leaves?
The studio, not the producer. Contacts and notes belong to the business, so name an owner for each deal and a second reader. When someone leaves, reassign their deals before their access ends and add a note on each relationship.
Can we keep scripts in the CRM?
Keep a link to the controlled file, not the file. A script held in a CRM is copied to every user and every sync. Store the version number and the date sent, and keep the document itself in the studio's protected storage.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
