Pet service businesses · Follow up systems

Reminders are welcome here, because the parent forgot the groom was due.

A follow-up system for a pet business handles the boarding enquiry made weeks before a trip, the trial day that never turned into a booking, and the dog overdue for a groom. Pet parents want these reminders. GullySales sets what is sent, when, and who answers the reply.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For pet service businesses

Where it usually goes wrong, and what we would do.

  • “A Diwali boarding enquiry in August needs holding, not answering once”

A family planning travel enquires early, then goes quiet while the trip is confirmed. One reply and silence loses the booking. A note nearer the dates, mentioning how many runs are left, brings them back.

  • “The overdue groom is your largest missed revenue”

A double-coated dog seen once and not since is not a lost customer, just a forgotten one. A message saying the coat will be starting to mat brings most of them back, because the parent knows it is true.

  • “The evening message decides the booking”

Parents message after work, often late. A reply the next morning arrives after the parent has booked the salon that answered at nine. Agree who is on the phone in the evening and what they are allowed to confirm.

What we do

What we deliver for pet service businesses.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Grooming due reminders sent per pet

A message timed to each pet's own grooming cycle and coat type, mentioning the dog by name rather than announcing an offer.

Result: Regulars come back without anyone having to remember.

  2. A holding routine for early boarding enquiries

A planned second and third contact for parents who enquired well before their travel dates, with a note on remaining availability.

Result: An early enquiry turns into a confirmed booking.

  3. Trial day follow-up the same evening

A call or message after a daycare trial, with a photograph from the day and a direct offer of the boarding dates discussed.

Result: The trial converts while the parent is still reassured.

  4. Evening and weekend message cover

A named person responsible for messages arriving after closing hours, with the answers they can give without checking.

Result: The nine o'clock enquiry is not lost by morning.

  5. A stop rule for enquiries that go cold

An agreed number of attempts, after which the contact moves to a list used only for seasonal boarding reminders.

Result: Nobody is pestered, and nobody is quietly dropped.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Follow-up routine for pet services

Each enquiry, trial day and overdue pet has a message that names the animal and offers a slot.

Boarding enquiry for festival dates
Reply the same day with availability, then send a second note near the dates mentioning how many kennels remain. Record the pet, breed, vaccination papers and travel dates.
Trial day or daycare visit done
Message the parent that evening with how the dog behaved and one thing the dog enjoyed. Offer a slot for the next visit and record the temperament notes.
Grooming overdue
Check each pet's coat and last groom, and message when the next one is due, using the pet's name. Offer two slots and record the owner's preference.
Training course enquiry, no sign-up
Ask what the dog's issue is, sit-down or leash, and when the owner is free. Send the batch timings once and then wait for them to reply.
Vaccination certificate missing
Message the parent before the stay with what the certificate must show, the date of the last shot and where to send a photo. Hold the booking, not the dog.
Pet picked up after boarding
Send a note the day after with how the pet is settling and a photo if the parent agreed. Record any diet or behaviour comments for the next stay.

Who it is for

This is written for these pet service businesses.

  • Dog grooming salons

  • Pet training academies
  • Mobile grooming services
  • Veterinary clinics offering allied services
  • Pet taxi and transport services
  • Multi-service pet care centres

Not for

It is not the right fit if.

  • Your enquiries are not logged anywhere, so there is nothing to follow up on.
  • Nobody is available to answer the reply a reminder would bring, so the message would start a conversation that stalls.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From your recent enquiries, we set the time each arrived against its first reply, using the call log, chats, form entries and portal panel. We also count the follow-ups each one got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Write the templates and first-call questions

The first reply, the quote follow-up and the last attempt are written in your voice and loaded as quick replies. The first-call questions are agreed with your best salesperson.

  4. 4

    Set ownership, tasks and alerts

Named owners, cover for leave and CRM or sheet tasks go live. App alerts, such as IndiaMART's, are switched on for the right phones.

  5. 5

    Track and adjust

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept. How often you are reported to is agreed in writing.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Will pet parents find reminders annoying?
Not if the message is about their pet. A note that a Shih Tzu is due for a groom, or that the vaccination record expires before the boarding dates, reads as care. A generic discount message to the same list reads as spam.
A parent enquired about Diwali boarding in August and went quiet. What now?
Contact the parent again as the dates approach with something factual, such as the runs still free for that week. Travel plans firm up late, and the centre that stayed in touch is the one they book.
Do pet parents mind a message after boarding?
Most are glad to hear their pet was cared for. Keep it to the pet's name, how the pet did and what to watch for at home. Skip offers in that message. Put anything about the next stay into a separate note, sent only if they replied warmly.
What if the parent says they use another groomer?
Thank them, note the reason if they gave one, and stop. Do not argue for your price. If they mention a coat or skin problem, you can offer a check next time. Keep their details only for a gentle reminder if they have asked.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
