Pet service businesses · Referral marketing

A vet's receptionist is often asked for a boarding name, so be the name they give.

Pet parents ask each other and they ask their vet. Referral marketing for a pet business means being the name given when somebody asks where to board a dog. GullySales builds the vet and pet shop relationships, the ask to your own customers, and the record of who is actually sending people.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What referral marketing means

Referral marketing is asking an existing customer to recommend you to someone they know, usually with a reward for both sides. It differs from a loyalty scheme because it brings in a new customer rather than a repeat purchase. GullySales builds the ask and the reward into a point where a customer is already satisfied.

For pet service businesses

Where it usually goes wrong, and what we would do.

  • “The vet is often the first person asked”

A parent needing boarding for a senior dog on medication asks their vet first. Being a clinic's recommended centre means proving your staff can give a tablet on time, not buying a listing.

  • “Apartment pet groups pass names around constantly”

A resident asking for a groomer in their building group gets three names within the hour. Your existing customers in that block are the ones typing them, which is why the ask at pickup matters more than any post.

  • “Paying a vet per referral puts the vet in an awkward place”

A vet recommending a boarding centre is giving clinical advice about an animal in the vet's care, and a fee muddies that. Earn the referral by reporting back on the pets referred, and both sides stay comfortable.

What we do

What we deliver for pet service businesses.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A vet and pet shop contact list for your area

Clinics, pet stores, breeders and trainers within reach of your centre, with a named person at each and a note of who has sent you anybody.

Result: You know which door to knock on this week.

  2. A one-page introduction a clinic can hand over

A sheet with your routine, the staffing at night, the vaccination rule and a direct number, made to sit at a reception desk.

Result: The receptionist has something to give the anxious owner.

  3. Reporting back on every referred pet

A short note to the referring vet on how the pet settled and anything noticed during the stay, sent after the pet goes home.

Result: The clinic keeps sending pets because it hears what happened.

  4. A referral ask at pickup

A card or a message the parent can forward to their building group, given when they collect a happy dog.

Result: The recommendation goes out while the parent is still telling people.

  5. Referral sources recorded on every new enquiry

One question at booking about who sent them, entered against the enquiry rather than left unasked.

Result: You can tell a working relationship from a polite one.

How the result is measured

  • Referrals received
  • Referral conversion rate
  • Cost per referred customer

Recorded as a baseline before work starts, so every later report has an honest comparison.

How referrals reach a pet business

A pet parent trusts the answer to one question: who looks after your dog when you are away?

The vet near you
Visit the clinic with a one-page sheet on your boarding or grooming, the vaccination papers you ask for and how you handle a sick animal. A vet recommends a place seen first-hand, not one read about.
The pet shop and the feed store
The counter sees every new puppy owner. Leave a small stand of cards, visit the shop so the staff know your face, and agree what, if anything, is given back in a way that suits both.
The admin of the apartment pet group
Ask the admin whether you may post once, introduce yourself and answer questions. Many groups remove sellers, so follow the group's rules and let the members who use you do the recommending.
The breeder
A breeder wants the puppies to go to homes that will look after them. Offer to share your boarding and training details with each new owner, with the breeder's agreement and the breeder's name recorded.
What never to do
Never name a vet or a shop as your recommender on a board or a post without asking them first. Some clinics do not want to appear to endorse a boarding centre, and a name used unasked ends the relationship.

Who it is for

This is written for these pet service businesses.

  • Dog grooming salons
  • Pet boarding and daycare centres
  • Pet training academies
  • Mobile grooming services
  • Veterinary clinics offering allied services
  • Pet taxi and transport services
  • Multi-service pet care centres
  • Cattery and exotic pet boarding

Not for

It is not the right fit if.

  • You have not yet met the local vets or pet shops, and an introduction needs a relationship first.
  • Your boarding assessment is not written down, so you could not explain to a referrer why a dog was declined.

How it works

How the referral marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

Read the margin and the relationship

We work out what a new customer is worth and what you can pay to get one, then check whether customers know others like themselves.

  2. 2

Find the referrals you already get

Your invoices, call notes and WhatsApp threads show who already sends people to you, and who they are. That sets the starting point and the first people to ask.

  3. 3

Write the offer and the rules

The reward, the definition of a valid referral and the payout steps are agreed in writing before anything is shown to customers.

  4. 4

Build the share path and the record

The message, the link or code and the referral sheet are built. Your team tests a referral end to end, from forward to reward.

  5. 5

Start with your best customers, then widen

The first asks go to people who have already praised you. What they say about the offer decides what changes before it reaches the wider base.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 7, after the sale. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

How do we get a vet to recommend our boarding centre?
Show the vet the thing they are worried about. Invite them to see the runs, explain how medication is given and recorded, and report back on the first pets sent. A clinic risks its own name on a recommendation, so it wants evidence rather than a commission.
Should we run a refer a friend discount?
A small credit against the next groom works for customer referrals and is easy to run at the counter. Keep it away from vets and clinics, where a payment for a recommendation raises a professional question their own council may have a view on.
How should we post in an apartment pet group without being removed?
Read the group's rules first and ask the admin before posting. Introduce yourself once, say what you do, and answer questions after that. Do not post offers repeatedly. Let customers speak for you, and thank anyone who does.
A referred dog fails our assessment. How do we tell the person who sent it?
Tell the owner first, plainly, what you saw and what you need before you can take the dog. Then thank the referrer for sending the family, without sharing details of the dog. A kind refusal protects the dogs you already have.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
