Preschool franchises · Follow up systems

Call back the family who toured and the teacher who asked about owning a centre.

A follow-up system for a preschool franchise is the set of messages and calls that follow an enquiry, a tour or a franchise conversation until the family decides or declines. GullySales writes the steps, the wording and the owner of each so no enquiry is left to chance.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For preschool franchises

Where it usually goes wrong, and what we would do.

  • “The tour does not end the sale”

A family leaves after a pleasant visit and goes home to compare. If the centre hears nothing further, the family hears nothing either. A follow-up the same evening, in the centre's own voice, keeps the room in memory.

  • “Waiting lists go cold”

A parent told to check back after a seat opens rarely does. A centre that notes the child's age and calls when the next intake approaches turns a polite no into a later yes.

  • “Owner leads need a different rhythm”

A prospective centre owner is raising money, finding space or leaving a job. Pestering them loses trust, and silence loses the lead. The follow-up should offer something useful each time: a visit to a running centre or a call with an existing owner.

  • “A decline carries information”

A family that chooses elsewhere may say why: distance, fee, timings. Recording the reason tells the brand whether the problem is the price, the location or the way the tour is conducted.

What we do

What we deliver for preschool franchises.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A tour follow-up message

A short note after the visit thanking the family, answering the question raised and offering the next step.

Result: Each family who toured receives a message that mentions something they asked.

  2. A waiting-list routine

A record of children whose seat is not yet available and a prompt to contact them when a place opens.

Result: The head sees who to call when a seat frees up.

  3. An owner follow-up path

Steps for candidates: documents sent, a call with an existing owner, a site visit, a decision call.

Result: Every candidate has a next step and a named person.

  4. Decline and lost-reason capture

A short question asked kindly of families who do not join, recorded in the CRM.

Result: Reasons for leaving are visible by centre.

  5. Reminders for open days and registration dates

A prompt to families and candidates before each event, in plain language.

Result: Invitations reach people before the date, not after.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

Send follow-ups tied to what the family has seen and still has to decide.

After an enquiry call
A short message with the tour slots and a line on what the family can see at the centre. Written by the counsellor in their own name.
After a tour
A thank you naming something the parent asked about, and the documents needed for admission. It shows the question was heard.
Waiting list update
A message to a family on the waiting list when a seat is likely to open, with a request to confirm interest. Records who replied.
Before registration dates
A reminder to families who toured, stating the registration period set by the centre. Send only to those who agreed to messages.
Franchise candidate after a centre visit
A note from the franchisor's contact answering the questions raised at the visit, with an invitation to speak to a current centre owner.

Who it is for

This is written for these preschool franchises.

  • Play school and nursery brands
  • Montessori-based preschool franchises
  • Preschool brands run from a home or a villa
  • Preschool wings opened inside existing schools
  • Daycare and early-learning combined brands
  • Brands with franchise rights for a city or district
  • Preschool brands in apartment complexes and gated communities
  • International early-learning methods sold through franchise

Not for

It is not the right fit if.

  • No one at the centre is named to send the messages, so a family that toured would hear nothing
  • Your parents were not asked for consent to be messaged, and reminders would breach the platform's rules

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From your recent enquiries, we set the time each arrived against its first reply, using the call log, chats, form entries and portal panel. We also count the follow-ups each one got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Write the templates and first-call questions

The first reply, the quote follow-up and the last attempt are written in your voice and loaded as quick replies. The first-call questions are agreed with your best salesperson.

  4. 4

    Set ownership, tasks and alerts

Named owners, cover for leave and CRM or sheet tasks go live. App alerts, such as IndiaMART's, are switched on for the right phones.

  5. 5

    Track and adjust

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept. How often you are reported to is agreed in writing.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How many follow-ups are too many?
We do not set a number. Follow up while each message adds something the family needs, and stop when they ask you to or choose another centre.
Who sends the follow-up?
The person the family met, where possible. We write the wording and the schedule and let the centre head or counsellor send it in their own name.
What should we send a family that chose another centre?
Send a brief, courteous note wishing them well and leaving the door open, then record the reason if they shared it. Do not push. The reason is useful to the brand and a considerate close is remembered by the neighbourhood.
A parent replied late at night. Should the reply go out at once?
Reply the next working morning from the centre number, in the counsellor's own name. A late-night reply sets an expectation the centre cannot keep. Note the time the message arrived so the tour can be offered at the first available slot.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
