Wedding planners · WhatsApp marketing

Be the planner whose WhatsApp reply carries the whole family forward.

WhatsApp marketing for a wedding planner is using the app families already live in to answer enquiries, share portfolios, circulate proposals and keep the booking moving. GullySales works on the business profile, the quick replies, the catalogue and the rules for when a message is welcome.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For wedding planners

Where it usually goes wrong, and what we would do.

  • “Wedding families run on WhatsApp groups”

The couple, the parents and a cousin in Dubai all sit in groups where a planner's proposal is forwarded, discussed and judged. A PDF with no clear name, or a message with no summary, gets lost between the aunt's greeting and the caterer's quote.

  • “The first message shapes the shortlist”

A couple who messaged four planners reply to the one who asks about date, city and guest count in plain words. A long brochure with no question reads as a mass forward and falls to the bottom of the chat.

  • “Broadcasting to every contact backfires”

Sending a festival greeting with a package offer to past families, vendors and strangers on one list makes the number look like spam. Wedding enquirers and past clients need separate lists and different messages.

  • “Staff phones hold the relationship”

When the enquiry is on a coordinator's personal number, the family goes with that person if they leave. A business number with shared access keeps the conversation with your company.

What we do

What we deliver for wedding planners.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. WhatsApp Business profile

A complete profile with your name, wedding types, cities served and a clear description, using the business features the app offers.

Result: A family sees a planning company, not a personal number.

  2. Quick replies for common questions

Saved answers for budget range, destination options, rituals handled, vendor relationships and how the advance works.

Result: The first reply is clear and consistent across the team.

  3. Catalogue by wedding type

Portfolio items for destination, traditional, intimate and NRI weddings, each with guest count, rituals covered and the logistics handled.

Result: Parents and couples can browse work that matches their plan.

  4. Proposal-sharing routine

A short summary message followed by the proposal file, named with the family and date, with a call booked to walk through it.

Result: The proposal is read, not buried in a forwarded chat.

  5. Lists and consent rules

Separate lists for new enquirers, booked families, past clients and vendors, with a record of who agreed to receive updates.

Result: Messages go only to people who expect them.

  6. Handover rules for the team

Who answers, who owns a conversation, what is moved to the CRM and what happens when a coordinator is away or leaves.

Result: The conversation stays with your company.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

These are the messages a wedding planner should send and the details to hold.

First reply to an enquiry
Thank them, name the planner who will handle it, and ask for date, city, guest count and budget in one message so they answer in one go.
Proposal summary note
Send a short note with the document: what is included, what is not, and the next decision. Families forward the note before they open the file.
Venue availability check
Tell the family which dates a venue has confirmed as free. It saves them ringing around and shows you do the groundwork.
Guest logistics update
After booking, share transfer and room plans in the family group. It shows the work you do beyond decor and reassures the paying parent.
Consent to message
Record that the family agreed to WhatsApp contact and which number, including a relative's. It keeps later messages welcome.

Who it is for

This is written for these wedding planners.

  • Full-service wedding planners
  • Destination wedding planners
  • Décor-led planners and designers
  • Budget and intimate wedding planners
  • Planners specialising in regional and community weddings
  • Wedding coordinators for the day of the event
  • Planners handling guest hospitality and logistics
  • Planners serving NRI families
  • Multi-city wedding planning companies

Not for

It is not the right fit if.

  • You have no record of which families agreed to be messaged, so sending a broadcast would reach people who never asked.
  • Your proposals run to many unlabelled files, so a message would deliver a confusing attachment rather than a clear plan.
  • Nobody monitors the number in the evening, which is when couples reply, so the conversation would stall.

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

Read the chats you already have

We read how customers write to you, which questions repeat and where a chat goes quiet. The repeated questions decide what gets automated first.

  2. 2

Sort the list and the permission

Contacts who asked to hear from you are separated from numbers that only sit in a phone book. We agree the wording new contacts will see before they say yes.

  3. 3

Choose the app or the API

One phone and a small team can stay on the ordinary app. Several people on one number, templates or a CRM link need the API through a provider, which is its own piece of setup work.

  4. 4

Write the replies and the plan

The greeting, away message, saved replies and handover rule are written in your words and approved by you. The message plan and its templates follow.

  5. 5

    Connect the record and test

Each link carries its source line and each chat lands in the CRM. We test on real phones, including a customer who asks for a person.

  6. 6

    Read the unanswered questions

A question the first reply could not answer becomes a new saved reply or a fixed handover. Stop requests are watched too, with the number's quality rating where the API is used, since both show a message plan that has gone too far.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we send offers to past couples on WhatsApp?
Only to people who have agreed to hear from you. Ask for permission in your contract and after the wedding, keep the messages relevant, and check the platform's current rules before sending anything in bulk.
Should we use the WhatsApp Business app or the API?
The app suits a small team answering enquiries by hand. The API suits a larger team with higher volume and automated flows. We look at your enquiry load first and check the platform's current rules and costs.
How do we share a proposal without it being forwarded around?
You cannot control forwarding, so write the proposal for it. Put the fee and vendor costs on the first page, name the file clearly and book a call so you can explain it in your own voice.
Can we add family members to a WhatsApp group with the couple?
Ask the couple first and add only people they name. A group helps when a wedding is booked and many relatives need logistics, but a group formed too early exposes your fee to people who did not request it. Keep the sales conversation in one thread and start the group after the advance.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.

Your next practical step

Tell us what you are trying to grow, and we will read it before we call.
