Operations consultants · Follow up systems

Give every proposal a reason to call, so silence stops meaning the matter is closed.

A follow-up system for an operations consultant is the routine that keeps an enquiry or proposal moving after the first conversation. GullySales builds the reasons to call, the messages and the reminders around the way owners really decide.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For operations consultants

Where it usually goes wrong, and what we would do.

  • “The proposal goes into a family discussion”

The owner shows it to a partner, a son or an accountant. A follow-up that only asks whether it has been read arrives in the middle of that discussion and adds nothing to it.

  • “A reason beats a reminder”

A new case note in the owner's sector, or an answer to a worry raised in the first call, gives the contact a point. Just checking gives the owner a reason to delay.

  • “Silence has several meanings”

It can mean the budget is not cleared, the plant is busy, or the owner has chosen someone cheaper. Asking which one, politely, turns a dead file into information.

  • “Dormant contacts are not dead”

An owner who said not now last year may now have the lost order or the new branch. A message that mentions their sector reaches them at a better moment.

What we do

What we deliver for operations consultants.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A follow-up plan for each stage

What to send after the first call, after the diagnostic and after the proposal, with a reason built into each message.

Result: Each stage has a prepared message with a clear purpose.

  2. A reason-to-call library

Case notes, checklists and sector pages kept ready, matched to the sector of each open contact.

Result: You always have something relevant to send.

  3. WhatsApp and email message templates

Short messages written in your voice, to be adjusted before sending.

Result: A follow-up takes a minute and still sounds like you.

  4. A lost-proposal review

A short question asked of an owner who declines, recording the reason.

Result: Reasons for loss are on file, not guessed.

  5. A dormant-contact list

Past enquiries sorted by sector and by the reason they stopped.

Result: You can reopen a conversation with a line about their own business.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Will follow-up feel pushy to an owner?
Not when each message carries something useful. A relevant note about their sector is welcome; a bare reminder is not.
When should we stop following up?
When the owner says no, or when two relevant contacts have drawn no reply. Then move them to the dormant list and return when something changes.
Can this be automated?
Reminders can. The message content should stay personal, because an owner can tell a template from a considered note.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
