Chartered accountants and accounting firms · WhatsApp marketing

Use WhatsApp for the conversations clients already have with the firm.

WhatsApp for a CA firm covers how the office receives enquiries, collects documents and answers routine questions on the channel clients already use. GullySales sets up the business number, replies and records, and keeps broadcasts within what the platform and the Institute allow.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For chartered accountants and accounting firms

Where it usually goes wrong, and what we would do.

  • “Clients send documents on WhatsApp whether the firm planned for it or not”

Photos of bills, bank statements and notices arrive on a partner's personal number and sit among family messages. When that partner is unavailable, nobody else can find them. A shared business number with a clear owner ends this.

  • “A slow reply to the first message loses the enquiry”

An owner who asks whether the firm handles a GST notice is probably asking two firms at once. The first to answer with a sensible question gets the call. An auto-reply that acknowledges the message and says who will respond keeps the thread.

  • “Broadcast lists carry risk”

Sending a message to a long list of past and potential clients can look like solicitation, and the platform has its own rules on consent and bulk messaging. Check the platform's current rules and the Institute's guidance before sending to anyone who has not asked.

  • “Confidentiality travels with the phone”

Financial documents on a staff member's personal phone remain there after they leave. Decide what may be received over chat, who has access to the business account and how documents are moved into the firm's own storage.

What we do

What we deliver for chartered accountants and accounting firms.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Business account set-up

A WhatsApp Business profile with the firm's name, address, hours and services, on a number the firm controls.

Result: Clients message one number that belongs to the office.

  2. Greeting and away replies

Short automatic replies acknowledging a message and stating office hours and who will respond.

Result: Every first message receives an answer.

  3. Quick-reply set

Saved answers to routine questions, such as documents needed for a filing, written for staff to send and edit.

Result: Staff answer routine questions the same way each time.

  4. Document handling rules

A written note on what may be received over chat, where files are saved and how they are removed from phones.

Result: Client papers are in the firm's storage, not on a phone.

  5. Consent-based update list

A list of clients who agreed to receive compliance reminders, with the wording of the message agreed against current guidance.

Result: Reminders go only to people who asked for them.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

Set the messages a firm sends to the clients and prospects already in touch.

First reply to an enquiry
A greeting naming the firm, asking the work needed and the business type, and saying which partner will respond.
Document checklist for a return
A prepared list of papers sent when a client books a filing, approved by the partner.
Meeting confirmation
A message with the date, address and the people the client should bring, sent once a call is booked.
Filing acknowledgement
A message with the acknowledgement attached once a return or form is filed, so the client has proof.
Update to a referrer
A short message to a banker or lawyer that their client has been met, with no detail of the matter.

Who it is for

This is written for these chartered accountants and accounting firms.

  • Sole practitioner chartered accountants
  • Small and mid-sized CA partnership firms
  • Statutory and internal audit practices
  • GST and indirect tax specialists
  • Company secretaries in practice
  • Accounting and bookkeeping service firms
  • Firms serving startups and funded companies
  • Firms serving NRIs and cross-border clients
  • Second-generation practices modernising their client base

Not for

It is not the right fit if.

  • Your partners would answer from personal phones with no shared record, so chats could not be traced to a client.
  • You hope to send offers to a list of people who have not agreed to hear from the firm.

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

Read the chats you already have

We read how customers write to you, which questions repeat and where a chat goes quiet. The repeated questions decide what gets automated first.

  2. 2

Sort the list and the permission

Contacts who asked to hear from you are separated from numbers that only sit in a phone book. We agree the wording new contacts will see before they say yes.

  3. 3

Choose the app or the API

One phone and a small team can stay on the ordinary app. Several people on one number, templates or a CRM link need the API through a provider, which is its own piece of setup work.

  4. 4

Write the replies and the plan

The greeting, away message, saved replies and handover rule are written in your words and approved by you. The message plan and its templates follow.

  5. 5

    Connect the record and test

Each link carries its source line and each chat lands in the CRM. We test on real phones, including a customer who asks for a person.

  6. 6

    Read the unanswered questions

A question the first reply could not answer becomes a new saved reply or a fixed handover. Stop requests are watched too, with the number's quality rating where the API is used, since both show a message plan that has gone too far.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we send due-date reminders to all clients?
Send them to clients who agreed to receive them. A reminder about a deadline that applies to their business is service, not solicitation, but you should still keep the wording informative and check the platform's current rules.
Should partners use their personal numbers?
Better not. Business conversations on personal numbers leave with the person. A firm number with a named owner keeps records and lets staff cover absences.
Can WhatsApp replace email for engagement letters?
Use it to send and chat, but keep the signed engagement letter in the firm's records. The chat is a convenient route, and the document is what the firm and the client rely on.
What must stay off WhatsApp?
Returns, financial statements, bank details and anything confidential belong on a secure channel. Use chat for dates, checklists and acknowledgements. Confidentiality duties apply to every medium, so agree limits with your partners and check your institute's current guidance.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
