Outsourced accounting and bookkeeping firms · Reputation management

Answer a review about a late return without ever revealing the client's books.

Reputation management for an outsourced accounting firm is asking happy clients for reviews within the platform's rules and replying to every review, good or bad, without disclosing a client's financial details. Owners read a one-star review about a missed GST date more closely than the praise. GullySales builds the replies, the asking routine and the fix-it process behind each complaint.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What reputation management means

Reputation management is watching what is said about your business across Google, social media and review sites, and responding to it before it changes a buyer's mind. GullySales monitors mentions, drafts responses to negative reviews and flags recurring complaints back to your team.

For outsourced accounting and bookkeeping firms

Where it usually goes wrong, and what we would do.

  • “A client's late papers become your one star”

The return was late because bills arrived on the due date. You cannot say so in public without exposing the client, so the review stays unanswered.

  • “A firm that holds data cannot argue in the open”

Confidentiality limits what you can say. A reply that states figures or filing dates breaches the trust the review questions.

  • “Reviews name a junior who has since left”

The five-star review from last year names an accountant who is no longer with you. A new buyer asks for her and finds she is gone.

What we do

What we deliver for outsourced accounting and bookkeeping firms.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A reply format for each kind of review

Wording for praise, a late filing, a billing complaint, a staff change and a review from someone who was never a client, none of which discloses client details.

Result: Every review gets a calm reply from a named person.

  2. An asking routine within the rules

A moment after a clean close or a notice resolved, a person who asks, and a direct link or QR to the profile, with no reward or selection of who is asked.

Result: Reviews arrive from real clients without breaking the platform's terms.

  3. A fix-it log behind the complaints

Each complaint recorded with its cause, such as late documents, a staff change or a scope gap, and the change made inside the firm.

Result: The same complaint stops returning.

  4. A check on old listings and profiles

Reviews on JustDial, Sulekha and old profiles found and answered, and duplicate listings claimed or reported.

Result: Reviews that were invisible get an answer.

  5. A response to reviews in other languages

A reply in the reviewer's language where a native speaker checks the accounting terms.

Result: A shopkeeper who reviewed in Kannada sees a reply in Kannada.

How the result is measured

  • Average rating
  • Response time to reviews
  • Negative mentions resolved

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to do with each review

The reviews an outsourced accounting firm gets, how to reply, and what to fix inside.

A late filing or missed deadline
Reply with an apology for the experience and an offer to talk by phone. Do not state dates or figures in public. Inside, check whether the papers arrived late and fix the document routine.
Praise that names an accountant
Thank the client and the person. Make sure the next client team still has someone who knows the file, since a named reviewer who has left makes the review awkward.
A complaint about the fee
Reply politely and invite a call, without quoting the scope or the fee. Inside, check whether the scope was written clearly and whether an extra was explained before it was billed.
The reviewer was never a client
Report it through the platform if the person has no record with you. Reply once, briefly, saying you cannot find the account. Never accuse a rival or name anyone.
A review about slow replies
Reply with a call offer and name a person to ring. Inside, look at who answers calls and WhatsApp on deadline days, and what happens when that person is on leave.
A review in Hindi or Kannada
Reply in the same language, checked by a native speaker. Do not paste a translated template. Ask for the person's number only if the platform's rules allow it.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the reputation management work runs

  1. 1

    Understand current perception

We start by actually searching your business name and reviewing what a stranger would currently see.

  2. 2

    Audit existing mentions

We catalogue reviews, mentions and search results, flagging anything negative or inaccurate.

  3. 3

    Plan responses

A calm, factual response is prepared for anything that needs one, agreed with you before posting.

  4. 4

    Implement monitoring

Ongoing checks are set up so new mentions are caught promptly rather than discovered by accident.

  5. 5

    Measure and report

Sentiment and response times are reported, with your business name searched again to see what has moved.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Can we ask every client for a review?
Ask every client you are comfortable asking, and ask at the same moment each time. Do not pick only the happy ones, do not offer a discount or a gift, and check the platform's current rules. Gating the ask to likely five-star clients breaks them.
How should we reply when a client's complaint is unfair?
Keep it short and private. Thank them for the feedback, say you take the filing seriously and invite a call. Defending yourself with facts in public shows the next buyer that you will do the same with their records.
A review names one of our staff. What should we do?
Reply to the client without repeating the staff member's name unless you have checked with the person. For praise, share it with them. For a complaint, talk to the person privately and look at the cause, such as workload at month-end.
Can we get a bad review taken down?
Only if it breaks the platform's rules, for instance a fake or abusive review. Report it and expect a decision from the platform. Nobody can promise a removal, so reply well and let the next reviews say more.
We are run by chartered accountants. Can we advertise?
Only within what your professional body allows, and those rules differ by body and change, so check with your own council or adviser before anything is published. A plain website, correct directory details and articles that share knowledge are the usual starting points. Firms run by non-members of the profession should still ask what applies to their CA partners.
Should we put our fees on the website?
Do not publish a rate. Publish what moves it: the number of bank accounts, the volume of bills, the software, any backlog and whether payroll is included. An owner who sees the drivers understands why a quote differs and rings you to get one.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
