Aluminium fabrication contractors · Follow up systems

Chase every measured site until it is won, lost or clearly waiting.

A follow-up system for an aluminium fabricator is the set of rules for who calls a buyer after a measurement visit, what they say and what they write down. GullySales prepares the rules, the message wording and the record that shows what happened.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For aluminium fabrication contractors

Where it usually goes wrong, and what we would do.

  • “The visit feels like the end of the work”

The fitter measures, gives a rate on the spot and leaves. The buyer has a number, no paper and a competitor coming tomorrow. The silence after that visit is where orders are lost.

  • “A call without a reason sounds like pressure”

Ringing to ask if the buyer has decided gets a short no. A call that brings something, such as a sample finish, a revised glass option or a site the buyer can visit, gets a conversation.

  • “Contractors take longer than owners”

An interior firm may hold your quote until the client approves the budget. Chasing them on a fixed day irritates them, while silence loses you the slot. A rule that fits each buyer type avoids both.

  • “Lost quotes teach nothing when the reason is not recorded”

Price, section, delay or trust: each loss has a cause. Without a note, you repeat the same quote to the next buyer.

What we do

What we deliver for aluminium fabrication contractors.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A written rule for after a visit

Who contacts the buyer, with what, and when the next contact is due, set per buyer type.

Result: Every measured site has a next action and a named person.

  2. Message templates for WhatsApp and calls

Short wording for sending the quote, asking a question and closing politely.

Result: Your team has words ready for each stage.

  3. A reminder list for open quotes

A daily view of quotes with an action due today.

    Result: Nothing waits unseen.

  4. A record of reasons for lost jobs

A short list of lost reasons chosen from a drop-down.

Result: You can count why quotes fail.

  5. A reactivation list for old quotes

Quotes from earlier months where the buyer was never closed, with a respectful message to reopen them.

Result: Old unanswered quotes are reviewed instead of forgotten.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How often should I follow up?
It depends on the buyer. Agree a rule for each type with your team, and record it. We do not set a fixed gap for everyone.
What if the buyer says they are comparing quotes?
Offer to clarify the scope on your quote, and ask what they would like compared. Do not drop your rate in the call; put the difference in sections and glass on paper.
Is it rude to chase an interior contractor?
Not if each contact brings something and they can say not yet. Record their answer and respect it.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
