Property management companies · Lead generation

Answer the owner asking what the flat would rent for, then answer again.

Lead generation for a property management company means the owner who is thinking of handing over a flat, a shop or a building and asks someone. GullySales sets up the sources, records every owner enquiry with the owner's situation, and keeps the follow-up going after the first rent estimate.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What lead generation means

Lead generation is the combined work of every channel that brings in a new enquiry, whether from search, adverts, referrals or a stall at an exhibition. GullySales runs these channels together and reports the number of enquiries each one produced, not the activity behind it.

For property management companies

Where it usually goes wrong, and what we would do.

  • “The first answer is a rent figure and then silence”

An owner asks what the flat would fetch, gets a number on WhatsApp, and is not contacted again. The decision takes weeks, and the firm that rings back in week three is the one that is remembered.

  • “Brokers are the largest source and the least recorded”

A broker mentions you to an owner on a site visit, and nothing is noted. Without a record of who sent whom, you cannot thank a broker or see which ones send real work.

  • “Some enquiries should be declined and the firm declines none”

A single studio three hours out, a flat in dispute, a landlord who wants a price war. Each costs time. A written rule on what you take saves the day for the owners you want.

What we do

What we deliver for property management companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Owner enquiry record with the situation written down

A sheet or CRM entry holding the property, locality, whether the owner lives abroad, current tenant and the reason for enquiring.

Result: Every owner enquiry has a home and a history.

  2. Rent estimate routine that ends in a call

A short checklist for the estimate, a call booked with the owner and a second contact scheduled, so the figure is never the last message.

Result: No estimate goes out without a follow-up.

  3. Broker referral record

A list of brokers, builders and advisers with date, name of owner referred and outcome, so each source is visible.

Result: You know which brokers send real work.

  4. An intake rule for properties you take and decline

One page setting out the localities, property types and conditions you work with, with a polite message for the ones you decline.

Result: Your team stops spending a day on a flat that was never a fit.

  5. Owner-to-owner referral ask

A message to owners who have stayed through a renewal, asking whether they know another owner who needs a manager.

Result: Satisfied owners have an easy way to pass your name on.

  6. Lead source report

Enquiries and signed properties by source, set against the baseline recorded before work began.

Result: You see where signed properties came from.

How the result is measured

  • Enquiries generated
  • Cost per enquiry
  • Enquiries by source

Recorded as a baseline before work starts, so every later report has an honest comparison.

Where enquiries come from

A property manager hears from owners, brokers and tenants, and each source needs the owner's situation written down.

Rent estimate request from the website
A form and a call. Ask the locality, property type and who lives there now, then call the owner before sending a figure.
Broker or builder referral
Note who introduced whom and the date. Tell the broker the outcome, and keep their future sale out of the conversation with the owner.
Owners' group or building WhatsApp group
A member asks who manages flats well. Answer once, helpfully and without a sales pitch, and note the name if the owner reaches out.
NRI owner searching from abroad
The first message may arrive at night in India. Reply with who you are, what you handle and when a call is possible, in writing, in their time zone.
Inherited or newly bought property
A family with a flat and no plan. They need a call that explains the choices, not a brochure, and a note of the date when you should check in.
Tenant enquiry on a listing
A tenant who asks about a flat is a vacancy to fill, not an owner. Keep it in the tenant record, and note if the tenant mentions another owner who might need a manager.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the lead generation work runs

  1. 1

    Understand your capacity

We agree how many enquiries your sales team can actually handle well, so the system is not built to overwhelm it.

  2. 2

    Audit current sources

We check what already brings in enquiries today, even informally, before adding anything new.

  3. 3

    Strategise the channel mix

Content, search and paid channels are chosen based on where your buyers already look.

  4. 4

    Implement capture and follow-up

Pages, forms and a follow-up process are built and connected end to end.

  5. 5

    Measure and optimise

We track enquiry volume and quality and adjust the channel mix to match.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How do we stop giving rent estimates to people who never call back?
Keep the estimate short and tie it to a call. Ask for the locality, property type and phone number first, and send the figure on the call, not before. Owners who will not take a call were not going to sign.
Should we take a single flat far outside our area?
Decide before the enquiry arrives. Write the localities you serve and the travel you accept, and refer the rest to a firm that works there. A property you cannot visit is a complaint waiting.
A tenant says their landlord may sell. Is that a lead?
It is a warning, not an enquiry. Note it, and do not approach the owner through the tenant. If the owner calls, the record will show you saw it coming and can plan the vacancy.
How do we record an owner who came from one of our own owners?
Write the referring owner's name on the new enquiry on the first call. When the new owner signs, say thank you to the referrer in your own words. Check with your adviser before offering any payment.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
