Student housing developers · CRM

Keep every family, every bed and every payment on one record.

A CRM for student housing is a single record of each enquiry from first call to move-in, holding the family, the college, the room type and the payment status. GullySales sets up and fits the record to how your warden and booking desk already work.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What CRM means

A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

For student housing developers

Where it usually goes wrong, and what we would do.

  • “Notebooks and WhatsApp hold the booking”

A booking written in a notebook and a token confirmed on a chat leaves nobody sure which bed is taken. When two staff promise the same room to two families, the complaint reaches the college group.

  • “Payment status is half the record”

A family has paid the token, not the first term, and has sent no documents. Staff need to see that at a glance, or they will chase the wrong person and miss the one who has not paid.

  • “Seasons make people forget”

A family enquired in March, asked to be called after results and was not called. A record with a dated next step does what memory cannot when the desk is flooded in July.

  • “Mid-year vacancies need a list”

When a student leaves, the bed must be offered to the next family. Without a waiting list, the offer goes to whoever rings first and the best-fit family never hears.

What we do

What we deliver for student housing developers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A pipeline built around beds

Stages from enquiry to visit, token, full payment, documents and move-in, each with an owner.

Result: Every family sits at a named stage with a named person.

  2. Fields for college, course and room type

The details that decide the booking, entered once and searchable.

Result: You can list every family from a given college.

  3. Reminders that fall due

Dated next steps for calls, payments and document collection, shown on the desk's daily list.

Result: No family is forgotten after promising a callback.

  4. A waiting-list view

Families who wanted a bed and found none, ranked by need and move-in date.

Result: A vacated bed is offered from a ready list.

  5. Staff access and a hand-over routine

Who can see and change what, and how a record passes between the front desk, the warden and the owner.

Result: A change of staff does not lose the booking history.

  6. Reports in plain language

Enquiries, visits, tokens and beds filled, by college and by source, read straight from the record.

Result: The owner can see where beds came from.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the CRM work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Map the sales process

We record how a deal actually moves from enquiry to close in your business today.

  2. 2

    Configure stages and fields

The CRM's pipeline and fields are built to match that process exactly, not a generic template.

  3. 3

    Set up automations

Reminders, assignment rules and follow-up triggers are configured so routine steps happen without manual effort.

  4. 4

    Test with real deals

We run the configuration against actual current deals to catch gaps before the whole team relies on it.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales management. A target, a review routine and someone who owns the number.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3 · you are here

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Is a spreadsheet enough?
For one small hostel, for a while. It stops working when several people edit it, when payments need tracking or when the waiting list grows. We tell you honestly which stage you are at.
Which CRM do we use?
One that fits your size and budget, and that your staff will actually open. We compare options with you and set up the one you choose; we do not push a product.
How is student data protected?
Limit access to staff who need it, keep parents' and students' details out of shared chats and follow the data protection law as it applies. Check your obligations with your own adviser.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
