Fitness equipment dealers · Follow up systems

Chase every quote with a message that sounds like a dealer, not a robot.

A follow-up system for a fitness equipment dealer is a set routine for what you say, to whom and when after a visit or a quote. GullySales writes the messages and the checklist so no showroom visitor or gym quote goes quiet.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For fitness equipment dealers

Where it usually goes wrong, and what we would do.

  • “The family says they will think and nobody calls”

Buying a treadmill is a household decision. A polite message the same evening with the quote and one useful fact keeps your name in the conversation while the family talks.

  • “A gym quote needs a reason to reply”

A bare check on whether the owner got the quote earns silence. A follow-up that offers a site walk or answers the question the owner raised earns a response.

  • “Delivery and installation need a message too”

After an order, the buyer wants to know the delivery day and who will come. A short confirmation prevents the anxious call and the unhappy review.

  • “Service reminders are a second sale”

A message sent when annual service is due brings the customer back before the machine fails. Without it, they find another technician.

What we do

What we deliver for fitness equipment dealers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A showroom follow-up message

A short note sent the same day with the machine tried, the quote and your contact.

Result: Visitors receive something to show the household.

  2. A gym quote follow-up sequence

A set of messages for different outcomes: no reply, a price question, a competitor quote, a delay.

Result: Each reply fits where the owner actually is.

  3. Order and installation updates

Messages for booking, dispatch, installation and a check after the first use.

Result: Buyers know what is happening without calling.

  4. A service renewal reminder

A message and a simple offer sent as service falls due.

Result: Customers book service before they need a repair.

  5. A follow-up checklist for staff

A daily list of quotes to chase and customers to call.

    Result: Nothing waits unseen.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

The messages a fitness equipment dealer sends from the first quote to the service call.

After a showroom visit
A message the same day to the visitor who said they would think, naming the machine tried and offering the quote. Without it nobody calls and the visit is lost.
Gym quote chase
A note to a gym owner after the quote, with a reason to reply such as a layout change or a revised option. A bare 'any update' gets no answer.
Order confirmed and delivery update
A message confirming the machine, the delivery route and who will install it. Delivery and installation promises slip when no one writes them down.
After installation
A message asking whether the machine works as the buyer expected and noting the date of the first service. It opens the review request and the service contract.
Service renewal reminder
A reminder to the owner before the service date, quoting the machine and the contract. Service reminders are a second sale for the dealer.

Who it is for

This is written for these fitness equipment dealers.

  • Home fitness equipment dealers
  • Commercial gym equipment suppliers
  • Multi-brand fitness stores
  • Importers and distributors of fitness machines
  • Second-hand and refurbished equipment dealers
  • Suppliers for hotels, societies and institutions

Not for

It is not the right fit if.

  • No one in the team owns the quotes, so a message would go out with no person ready to answer the reply
  • You would send the same chase to a home buyer and a gym owner, who need different reasons to reply
  • The dealer cannot confirm a delivery or installation date, and a message promising one would be broken

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From your recent enquiries, we set the time each arrived against its first reply, using the call log, chats, form entries and portal panel. We also count the follow-ups each one got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Write the templates and first-call questions

The first reply, the quote follow-up and the last attempt are written in your voice and loaded as quick replies. The first-call questions are agreed with your best salesperson.

  4. 4

    Set ownership, tasks and alerts

Named owners, cover for leave and CRM or sheet tasks go live. App alerts, such as IndiaMART's, are switched on for the right phones.

  5. 5

    Track and adjust

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept. How often you are reported to is agreed in writing.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How often should we chase a quote?
Enough to be remembered, never enough to annoy. We set a rhythm for each quote type with you and stop when the buyer says no.
Can messages be automated?
Some can, such as confirmations and reminders. Quote chasing works better with a person, so we automate only the routine parts and keep the human reply.
What if the buyer chose someone else?
Ask why, politely, and record the answer. It teaches you where price, stock or service lost the order, and it keeps the door open for service and accessories.
What if a gym owner says they chose another dealer?
Thank them, ask what decided it, and note the reason against the quote. The answer shows whether price, layout help or service was the gap. Stay in touch lightly, because a gym that bought elsewhere may need service, a second branch or an extra machine later.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
