IT services and networking companies · Follow up systems

Make every quote and every emergency visit end with a next step.

A follow-up system for an IT services and networking company is the set of agreed next steps after a survey, a quote or a call-out, with an owner and a date against each. GullySales works on writing those steps and the messages inside them, and on the list that shows what is overdue.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For IT services and networking companies

Where it usually goes wrong, and what we would do.

  • “A quote goes quiet because someone else must decide”

The admin head took your quote to a director who has not opened it. Chasing the admin head achieves nothing. A follow-up offering a call with the decision maker, or a one-page summary that can be forwarded, moves the quote on.

  • “The morning after a repair is the moment to sell”

The client has just lost a day to a crashed server and remembers every hour. A note that day, saying what failed and offering an AMC that covers it, lands. The same note sent after the memory has faded reads as a pitch.

  • “Renewals need a start before the expiry”

A reminder sent as the contract ends is a notice, not a follow-up. The renewal conversation covers what was done, what changed on site and what the client now needs, so it has to begin while the term is still running.

  • “A site survey has no obvious next step”

After a survey the engineer leaves and the client waits for a quote. If the quote slips, the client asks another vendor. Agreeing the date for the quote during the survey, and writing it down, makes the follow-up part of the visit.

What we do

What we deliver for IT services and networking companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A next-step rule for each event

For every survey, quote, call-out and renewal, a written next action with an owner and a date.

Result: No open deal sits without a next step.

  2. A set of messages for each moment

Written notes for after a survey, a quote, a repair, a renewal and a lost deal, each adding something the client can use.

Result: Follow-up carries information, not just a nudge.

  3. A decision-maker handover note

A one-page summary the admin head can forward to the director, covering the problem, the solution and the cost items.

Result: The person who decides sees the case in your words.

  4. An overdue list grouped by owner

A list of quotes and renewals with no recorded next step, shown against the person responsible.

Result: The team sees what has slipped.

  5. A question for clients who chose another vendor

A courteous request for the reason, with the answers recorded against the quote.

Result: Lost deals teach the next quote.

  6. A note for quiet clients

A message to clients with no contact since the last project, offering a network check.

Result: Dormant accounts get a reason to reply.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

The moments after a survey, quote or call-out that need a next step.

After a site survey
Send a one-page summary of what you found and the quote date you named. Record who at the client will see it and who decides.
Quote sent, no reply
Offer a short call with the decision maker present. Record whether the quote was forwarded, since that tells you who to speak to next.
After a midnight call-out
Send a plain note of the fault, the fix and one line on how an AMC would have changed the night. Record the client's reaction.
AMC ending soon
Send the visit history and a renewal quote ahead of the end date. Record the date sent so a lapse is never silent.
Project handover done
Send the as-built document and ask who should hold the support number. Record the answer in the client file.

Who it is for

This is written for these IT services and networking companies.

  • Managed IT service providers for small offices
  • Structured cabling and LAN and Wi-Fi installers
  • Network security and firewall specialists
  • Server, storage and backup solution providers
  • Microsoft 365 and Google Workspace partners
  • IT hardware system integrators
  • Data centre and server room fit-out companies
  • IT firms serving schools, hospitals and factories

Not for

It is not the right fit if.

  • No one has the authority to decide on a discount, so follow-ups would only repeat the same question to the client.
  • Your quotes go out without a named contact on the client side, so there would be no person to follow up with.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From your recent enquiries, we set the time each arrived against its first reply, using the call log, chats, form entries and portal panel. We also count the follow-ups each one got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Write the templates and first-call questions

The first reply, the quote follow-up and the last attempt are written in your voice and loaded as quick replies. The first-call questions are agreed with your best salesperson.

  4. 4

    Set ownership, tasks and alerts

Named owners, cover for leave and CRM or sheet tasks go live. App alerts, such as IndiaMART's, are switched on for the right phones.

  5. 5

    Track and adjust

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept. How often you are reported to is agreed in writing.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How many follow-ups before we stop?
Stop when the client says no, or when a set of attempts with different content has gone unanswered. Each attempt should add something, such as a summary, a question or a case note. A message that only asks for an update adds nothing.
Should engineers do the follow-up?
The engineer opens the door and the person who quotes continues. Let the engineer send the first note on site because the client knows them, then hand over through the CRM so a named person owns the next step.
Is it pushy to chase a quote?
A quote with no reply is a decision still unmade. A message that helps the client decide, such as a clearer comparison or a call with the director, is service. Repeated pressure with nothing new in it is what clients dislike.
What do we do when the quote went to a distributor's price comparison?
Reply with what the other price leaves out. A box-only price omits configuration, installation and support, so list those lines against the comparison in one table. Send it as a short message the admin head can pass upward.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
