Managed IT service providers · WhatsApp marketing

Answer the office manager's WhatsApp like the support desk you are asking them to trust.

WhatsApp marketing for a managed IT service provider covers the Business profile, the saved replies and the broadcast lists that carry enquiries, assessments and renewal notes. GullySales sets up the account and writes the messages, with the consent and opt-out handling a business list needs.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For managed IT service providers

Where it usually goes wrong, and what we would do.

  • “The first message tests your support before you are hired”

An office manager sends a short query to a vendor's number and watches the reply. A slow or careless answer tells them how a ticket will be handled, long before any proposal.

  • “Clients already message the engineer's personal number”

Requests arrive on a resident engineer's phone, outside the ticket system. Work goes unrecorded, scope creeps, and when the engineer leaves the history goes with them.

  • “A broadcast to every contact reads as spam”

An office head who gave a number for a support case did not agree to marketing. Lists need a purpose, a consent record and an easy way to opt out. Check the platform's current rules.

  • “Documents travel badly on chat”

A proposal sent as a forwarded image or a long message loses its formatting and its scope sheet. A buyer needs the document itself, with a short message that says what to read first.

What we do

What we deliver for managed IT service providers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. WhatsApp Business profile

Catalogue entries, hours, address and a description that states who you support and how a support request is raised.

Result: A new contact sees what you do before sending the first message.

  2. Saved replies for enquiries

Short answers for pricing questions, assessment booking and out-of-hours messages, each pointing to the right next step.

Result: Every enquiry gets a consistent reply from whoever is on duty.

  3. Ticket handover rule

A written rule that support requests arriving on chat are logged in the ticket tool, with a reply telling the client where it was recorded.

Result: No request lives only on an engineer's phone.

  4. Consent and list setup

A form or message to record permission, a list for each purpose and an opt-out line in every broadcast.

Result: You can show who agreed to hear from you and about what.

  5. Renewal and notice templates

Messages for contract-end notes, licence expiry and planned maintenance, which link to the full document.

Result: Clients get notices in a form they can open and file.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to send

Each WhatsApp message should do the work of a support desk.

Reply to a first enquiry
A message that names the person who will call, confirms the question the founder asked and offers a time for a short call.
Assessment visit confirmation
The engineer's name, the arrival time and what the office should have ready, such as the router login and a device list.
Ticket handover note
A message that moves a technical question from the sales thread to the support desk, so the client is not asked twice.
Planned maintenance notice
A short note to the office manager naming the system, the time it will be down and who to call if something looks wrong.
Renewal notice
A message to the signer reminding them of the agreement end, with a link to the summary of work done.

Who it is for

This is written for these managed IT service providers.

  • Per-user support for growing offices without an IT team
  • Resident engineer and IT facility management providers
  • Microsoft 365 and Google Workspace managed service partners
  • Co-managed IT for companies with one in-house IT person
  • MSPs serving CA firms, clinics and other compliance-heavy offices
  • Backup and endpoint management specialists
  • IT support firms for factories and export units
  • Remote-first providers serving offices in several cities

Not for

It is not the right fit if.

  • Your engineers use personal numbers and the history leaves with them, and you have not set up a shared business account.
  • You hold client contacts without a record of consent to receive anything beyond support messages.
  • Your clients need audit trails and formal notices, which belong in email and the ticket system.

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

Read the chats you already have

We read how customers write to you, which questions repeat and where a chat goes quiet. The repeated questions decide what gets automated first.

  2. 2

Sort the list and the permission

Contacts who asked to hear from you are separated from numbers that only sit in a phone book. We agree the wording new contacts will see before they say yes.

  3. 3

Choose the app or the API

One phone and a small team can stay on the ordinary app. Several people on one number, templates or a CRM link need the API through a provider, which is its own piece of setup work.

  4. 4

Write the replies and the plan

The greeting, away message, saved replies and handover rule are written in your words and approved by you. The message plan and its templates follow.

  5. 5

    Connect the record and test

Each link carries its source line and each chat lands in the CRM. We test on real phones, including a customer who asks for a person.

  6. 6

    Read the unanswered questions

A question the first reply could not answer becomes a new saved reply or a fixed handover. Stop requests are watched too, with the number's quality rating where the API is used, since both show a message plan that has gone too far.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Is it professional to sell managed IT over WhatsApp?
Yes for first contact, quick questions and reminders, since office heads already use it. Keep proposals, scope and agreements as documents, and use chat to say they are on the way.
Should engineers use their own numbers with clients?
Give them company numbers or a shared business account. A personal number takes the history with the engineer when they move on, and it blurs the line between a favour and a billable job.
Can we message every client about a new service?
Message only those who agreed to hear about it, and keep a record of the consent. Support notices and marketing are different purposes. Check the platform's current rules and your own legal adviser's view before sending.
Should passwords or logins ever be sent on WhatsApp?
No. Credentials sent on a chat stay in the history and on the devices. Use a password manager or an agreed secure channel, and tell clients plainly that you will never ask for a login in a message. This protects both the client and your own engineers.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
