Video conferencing solution providers · Follow up systems

Follow up the quote with something useful, not a reminder to decide.

A follow-up system for a video conferencing provider is the set of steps that keeps a room quote moving between the survey and the order. GullySales writes the messages and sets the reminders so no quote is forgotten and no buyer is nagged.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For video conferencing solution providers

Where it usually goes wrong, and what we would do.

  • “The quote goes quiet while the budget is argued”

After the survey, the buyer takes the quote to a director who may wait for the next budget. A follow-up that asks only whether they have decided gets no reply. One that adds something useful keeps the quote alive.

  • “A drawing or demo clip answers the next doubt”

The doubt is about how it will look and sound. Sending a clip of a similar fitted room, or a drawing showing where the camera sits, answers that without a meeting.

  • “The installed room needs a check call”

A client who has had the room for a while may have unresolved faults they have not raised. A planned check call finds them and shows you care before the next room is considered.

  • “Support contract renewals slip without a reminder”

A support arrangement that lapses unnoticed leaves the client unsupported on the day a call fails. A reminder with the room list attached brings the conversation back.

What we do

What we deliver for video conferencing solution providers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A quote follow-up sequence

A set of messages sent after the quote, each carrying something useful such as a clip, a drawing or a checklist.

Result: Each follow-up gives the buyer a reason to reply.

  2. Reminder rules in the tracker

Rules that flag a quote with no contact since the last step, and show the owner.

    Result: No quote sits unnoticed.

  3. A post-installation check call

A short call script for asking how the room is working and noting any faults.

Result: Problems reach you before they become complaints.

  4. Support renewal reminders

A reminder tied to each support contract with the room list and a plain renewal message.

Result: Lapses are caught before a failure.

  5. Wording for lost quotes

A polite closing message asking what decided the matter and leaving the door open.

Result: You learn why quotes are lost and keep the relationship.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

Send and note these after a room quote goes out.

Quote with floor-plan sketch
A message with the quote and a sketch of camera and microphone positions, so the buyer can show the plan to the person who approves.
Demo clip of the same room type
A short recording of a similar fitted room on a call, sent when the buyer's doubt is about sound or picture quality.
Contractor coordination note
A message to the fit-out contractor with power, cable and wall points, copied to the buyer, so the installation date does not slip.
Post-installation check call
A call after the room is in use, noting any fault and who used it, which tells you whether the staff are comfortable.
Support renewal reminder
A note ahead of the cover's end date listing the rooms covered and what renewal includes, sent to the person who signed.

Who it is for

This is written for these video conferencing solution providers.

  • Corporate boardrooms and meeting rooms
  • Schools, colleges and coaching institutes with hybrid classrooms
  • Hospitals using video for case discussions and training
  • Government and public sector conference halls
  • Hotels and convention venues
  • Law, audit and consulting firms with client calls
  • Manufacturing and multi-site companies linking plants
  • Auditoriums and training centres

Not for

It is not the right fit if.

  • You do not record who the decision maker is, so a follow-up would go to the wrong person again.
  • Your engineers cannot take a check call within their schedule, and a promised call that never happens harms trust.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From your recent enquiries, we set the time each arrived against its first reply, using the call log, chats, form entries and portal panel. We also count the follow-ups each one got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Write the templates and first-call questions

The first reply, the quote follow-up and the last attempt are written in your voice and loaded as quick replies. The first-call questions are agreed with your best salesperson.

  4. 4

    Set ownership, tasks and alerts

Named owners, cover for leave and CRM or sheet tasks go live. App alerts, such as IndiaMART's, are switched on for the right phones.

  5. 5

    Track and adjust

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept. How often you are reported to is agreed in writing.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

What gap should we leave between messages?
Set the rhythm with your sales head from how your buyers actually respond. GullySales drafts the steps and you decide the gaps, since a boardroom quote and a classroom quote move at different paces.
What if the buyer goes silent?
Send one message that gives something useful and asks a plain question. If there is still no reply, mark the quote as paused with a date to revisit, not as lost.
What if the buyer says the budget has been cut?
Ask which rooms matter most and offer a phased plan, such as the boardroom now and the training room later. A cut budget rarely cancels the need, so a smaller scope kept on record brings the work back when funds return.
Should follow-up reach the end users or only the buyer?
Reach the buyer first, and ask for the host of the room as a second contact. The people who run the meetings tell you whether the room works, and their view decides whether the client calls again for another room.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
