Yoga and pilates studios · Buyer journey

Your January trial slots fill, and by March many of those students have gone quiet.

Your studio fills with trial bookings in January and empties by March. GullySales maps each step a student takes, from the resolution or the doctor's advice to the trial class and on to a renewed membership, and marks where she goes quiet.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What buyer journey means

For a studio or wellness practice the journey starts with a trigger such as a resolution, a stiff back or a doctor's advice, and runs through a first class or visit to the decision to stay. GullySales draws it from your own booking and attendance records, and checks that someone reaches out at each step where people tend to go quiet.

For yoga and pilates studios

Where it usually goes wrong, and what we would do.

  • “January fills the trial slots and nobody replies in time”

For example, a studio with a handful of Saturday 7 am trial slots gets forty messages on 2 January, and the teacher who holds the phone is in class until noon. Decide in advance who replies, on which day, and what is sent, or the slots go to the studio down the road.

  • “They book a trial and never come to the second class”

A first-timer walks into a full room, nobody asks about her back, and she leaves with no word on what to do next. Have the teacher ask about injuries at the door, show her where to keep her bag, and name the next beginner class before she goes. Send one WhatsApp message that evening with that class's day and time.

  • “Members just stop coming and we find out at renewal”

Nobody says she is leaving. She skips two weeks, the plan runs out, and the studio hears only when she does not pay. Mark the attendance sheet when a member misses her usual days, and let one person write to her that week, asking kindly whether the timing still suits, before the plan runs out.

What we do

What we deliver for yoga and pilates studios.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Search-to-renewal journey map

A documented path from the first search through trial, membership and renewal, with a note of where students have gone quiet in your own records.

Result: You can see at which step students go quiet.

  2. Trial-day welcome sequence

A defined set of steps for greeting and guiding a first-time student from booking through to arrival at their trial class.

Result: Every new student gets the same confident welcome, whoever is on duty.

  3. Attendance-drop outreach rule

A rule that flags a member for a personal message once their class attendance falls off their usual pattern.

Result: A quietly lapsing member hears from the studio before they decide to leave.

  4. Referral moment built into the journey

A defined point, such as after a milestone class, when an existing member is asked to bring a friend.

Result: Referrals happen as a habit instead of by accident.

  5. Separate corporate enquiry path

A distinct route for an HR contact enquiring about workplace sessions, tracked apart from individual trial bookings.

Result: A workplace enquiry gets a proposal instead of a standard trial link.

How the result is measured

  • Drop-off rate by step
  • Time from first contact to sale
  • Steps with no content

Recorded as a baseline before work starts, so every later report has an honest comparison.

Stages of the student's journey

From a resolution or a doctor's advice to a renewed membership, what a student needs at each step.

The trigger
A New Year resolution, a doctor's advice, a stiff back or a friend's recommendation starts it. State on the page which class suits a beginner and what to wear and bring.
Search and comparison
The person compares nearby studios, class types, teachers and reviews. Put teacher profiles, class descriptions and the timetable on the page.
Trial booking
A form that works at an odd hour can win the trial. Let the student pick a class and time online, and confirm on WhatsApp with the address and what to bring.
The trial class
The first class decides it. Greet the student, ask about injuries and goals, show where to keep belongings, and keep the instructions simple.
Membership decision
After the trial the student chooses between pay per class and a plan. Set the options out in writing with what each includes, and ask which timings suit them.
Attendance and renewal
A student who misses classes drifts away before the plan ends. Note attendance, write kindly after a gap, and talk about renewal before the plan runs out.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the buyer journey work runs

  1. 1

Read the attendance sheets and the trial chats

We start from what the studio already keeps: the attendance sheet, the WhatsApp thread where trial requests land and the list of who paid. From those we mark where each student first went quiet.

  2. 2

Write the journey as one row per student

Each student who messaged gets a row: the trigger she mentioned, the class she asked about, the date of her trial and the date of her first plan. A blank cell shows where she dropped out.

  3. 3

Name an owner for every step

Beside each step on the map we write one person from your team: who replies to the January message, who greets the first-timer, who writes after a missed week. A step with no name beside it is where students are being lost.

  4. 4

Mark the gaps on the sheet

A member who misses two of her usual days is marked on the attendance sheet, and one person owns the personal message that goes to her that week.

  5. 5

    Compare trials with first memberships

At the review we set trial bookings beside first memberships by class type and by trigger, so the studio sees which class or follow-up loses students. How often we meet is agreed in writing.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

What do we do about the January resolution crowd?
Expect many to book a trial and few to stay. Reply to every January enquiry the same day, put a beginner class on the page, and write once to anyone who has not returned by the second week. Then note who became a member, so next January you know how many trial slots to open.
We only use WhatsApp and Instagram. Do we still need a journey map?
Yes, and it can live in a shared sheet. List each person who messages, the class they asked about, whether they came for a trial and whether they joined. A chat thread forgets the person who went quiet, and a row in a sheet does not.
Who else is involved in a yoga membership decision?
A spouse who minds the children while the student attends, a physiotherapist or doctor who advised yoga, or an employer paying for a workplace plan. Ask at the trial who suggested it, and share timings and fees in a form that can be forwarded.
Is a journey map worth it for a studio with ten members?
Not yet. With ten members you know each name, so a map adds paper, not insight. It starts to pay when trial bookings come from several places, or when there is no booking record and you cannot say who tried a class and who joined.
A trial student never came back. What do we look at first?
Check the trial: was the class right for a beginner, did the teacher speak to them and was the next step explained? Then message once with the next suitable class. Your records of trials against first memberships show whether the problem is the class, the follow-up or the price.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
