Before building: the profile and the purpose
The ideal-customer profile, written: which industries, what size by revenue or headcount or capacity, which locations, what they must already do or use, and — the most useful filter — what signal suggests they need you now: a new plant, a tender, a hiring pattern, a certification, an expansion, a change of supplier. The purpose of the list: outbound calling, an email sequence, an exhibition invitation, account-based marketing — because the fields and the volume differ. And the volume: how many accounts a salesperson or setter can work properly in a quarter, which is fewer than most owners think — a few hundred, not thousands.
Decide who owns the list: one person, in one place, the CRM, with a rule that nothing is worked from a private spreadsheet.
Define the ICP, the account filters and the decision-maker roles
Turn the profile into filters you can apply: industry codes or plain descriptions, size bands, districts or cities, and the signals. Score fit on two or three levels — must-have, good-to-have — so the list can be worked in priority order. Then the roles: for each kind of account, who decides and who influences — the owner in a small firm; the plant head, the purchase head and the quality head in a mid-sized manufacturer; the administrator and the department head in a hospital. Name the roles before the research, because a list of companies with one “info@” address per company is not a prospect list.
Two or three contacts per account is the target: the decision-maker, and the person who feels the problem, who is usually easier to reach and often opens the door.
Research, verify, enrich and document the sources
Sources, used together because none is complete: industry association directories and exhibition exhibitor lists; government registrations — MSME, GST, factory licences — for existence and size; IndiaMART, TradeIndia and JustDial for the long tail; LinkedIn for people and roles; company websites for what they do and who runs them; news and job postings for the signals; and your own CRM and invoices for past customers and lost prospects who fit. Each account gets a line of evidence for why it fits: the source, the signal, the date.
Verify before it is worked: the company still exists at that address, the person is still in that role — a call to the switchboard settles both in a minute — and the number and email work. Enrich with what the first call will need: what they make, roughly how big, who they buy from if known, the signal. Document the source of every field, so that when a contact is wrong you know which source to stop trusting.
Freshness, compliance and sales feedback
A list decays: people move, companies close, numbers change — a meaningful share every year. Refresh the accounts being worked every quarter, and re-verify a contact before any campaign older than three months. Compliance: India’s data-protection law applies to personal data, including a named person’s work number and email; collect it from legitimate sources for a business purpose, record where it came from, honour any request to stop, and keep the list inside the company’s systems rather than on personal phones. Purchased lists of unknown origin are the risk to avoid.
Sales feedback is what makes the list better than its sources: every call outcome — wrong number, moved, not a fit, not now, interested — recorded in the CRM against the contact, so the list is corrected as it is worked and the filters are tuned. A list that has been worked for a quarter with feedback is worth more than any list you can buy.

Mistakes, measures, and what a good list produces
The mistakes: buying a list and calling it; company names without people; one generic email per account; no signal, so every account is equally cold; thousands of records nobody can work; no verification, so a third of the first calls are wrong numbers; and a list kept in a salesperson’s spreadsheet that leaves with them. A safeguard: before a campaign, call twenty records at random and count how many reach the named person.
Measure a list by reach rate — the share of records where the named person is reached — by conversation rate, and by the share of conversations that qualify. A good list produces conversations with the right people at a rate the team can plan around, and it improves every month it is used. How big should a prospect list be?
As many accounts as the people working it can contact properly in a quarter — a few hundred per person, worked in fit order. A list of five thousand is a database, not a prospect list.
Is buying a list a bad idea?
Bought lists are a starting point at best: unverified, often stale, and of unknown origin for compliance. Use them as one source to research from, never as the list you call.
How do we find the decision-maker’s name?
LinkedIn, the company website, the association directory, and a call to the switchboard asking who handles purchasing or the plant. The call is the most reliable and takes a minute.
