How to convert IndiaMART leads into orders

IndiaMART leads convert when you reply within minutes, qualify with one question, send a real quotation and follow up for weeks. How to handle enquiries, buy leads and the lead manager.

IndiaMART leads convert into orders when you reply within minutes and qualify each buyer with one question on the first call. After that, send a proper quotation the same day and follow up for weeks, not once. Most suppliers who say IndiaMART leads are poor are losing them to speed. The buyer sent the same requirement to several suppliers and shortlisted the first two who called. Good IndiaMART lead management is a routine your team follows every day, not a better package.

Why IndiaMART leads do not convert

The complaint is familiar. The package was renewed, enquiries came in, and orders did not follow. When we look at the enquiries themselves, the causes are usually the same few:

  • The reply came hours or days later. The buyer had already spoken to three suppliers.
  • Nobody asked a question. The salesperson sent a price list and waited.
  • The quotation was a line of text on WhatsApp, with no specification, lead time, taxes or payment terms.
  • There was one follow-up, or none. Buyers collecting quotations often decide weeks later.
  • Nobody recorded what happened, so the owner cannot tell a bad lead from a lost one.

Every one of these is fixable without spending more on the platform.

Enquiries, IndiaMART buy leads and calls are three different things

IndiaMART sends you business in more than one form, and each needs different handling.

Lead typeWhat it isHow to handle it
Direct enquiryA buyer contacted you from your catalogue or product pageCall within minutes; they chose you, so the conversion chance is highest
IndiaMART buy leadsA buyer posted a requirement; paid suppliers pick it from a shared poolPick only exact matches; call immediately, since other suppliers can see it too
Phone callA buyer rang the number shown on your listingAnswer live; a missed call here is a lost buyer, not a lead to return later

A common mistake is picking every buy lead in the category because the quota allows it. Pick the ones that match your product, quantity and delivery area, and pick them only when someone is free to call now.

Reply in minutes, and ask one question

Speed matters more on IndiaMART than anywhere else, because the buyer has sent the requirement to several suppliers at once. Our note on how quickly to respond to a new lead explains why the first reply sets the terms of the comparison.

The first call has one job: find out whether this is a buyer, and what they need. One question does most of it. "Is this for a one-time requirement or a regular one, and by when do you need delivery?" A student hangs up. A trader asks only for price. A real buyer tells you the quantity, the application and the date, and you now have a qualified lead.

Then send a WhatsApp message in your name, with your number and a line about what you will send and by when.

Send a quotation that can be compared

Industrial and trade buyers compare quotations line by line. Make yours the easiest to compare and the easiest to approve internally. A good quotation states the product and specification, quantity, unit price, taxes, freight, delivery time, payment terms, validity and a named contact. Send it as a PDF on your letterhead, then call to confirm it arrived and ask what else the buyer needs.

IndiaMART lead management: the daily routine

IndiaMART lead management is a set of habits, with one owner.

  1. Import every enquiry into your CRM or a shared sheet automatically, so nothing lives only in the app or on one phone.
  2. Assign each lead to a person within five minutes of arrival.
  3. Record the first call, the qualifying answer and the next step with a date.
  4. Follow a written sequence: quotation on day one, a check call on day three, proof of a similar job on day seven, a direct question on day fourteen.
  5. Close the file politely when the buyer has decided, and record the reason in their words.
  6. Review weekly: leads received, reply time, quotations sent, orders won, reasons lost.

This is the standard B2B follow-up sequence, compressed for products that are bought within weeks rather than months. Our IndiaMART and marketplace lead management work sets up this routine and the reporting behind it.

An example: a packaging manufacturer in Peenya

For example, imagine a corrugated box manufacturer in Peenya, Bengaluru, on a paid IndiaMART package, receiving around 150 enquiries and buy leads a month. The details and figures below are illustrative. Two salespeople handle them in the IndiaMART app on their phones. The owner renews the package every year without knowing how many orders it produced.

The firm connects IndiaMART to its CRM so every lead arrives with a timestamp and an owner. Direct enquiries are now called within ten minutes during working hours. The team picks only buy leads for its own box sizes and for delivery within Karnataka. Quotations go out as a one-page PDF with freight and GST shown. Every lead gets the day one, three, seven and fourteen sequence.

After three months, for example, the owner can see the numbers side by side: leads by type, reply time, quotations sent and orders won. If the package cost is ₹60,000 a year and the orders it produced carry a margin several times that, the renewal is an easy decision. If not, the same report shows whether the problem was the leads or the follow-up.

What to do next

Take your last fifty IndiaMART leads and note, for each one, how long the first reply took and how many times it was followed up. If the median reply is over an hour or most leads had one contact, the platform is not your problem. The free audit looks at exactly this across every enquiry source, and the monthly report after it counts orders by source, IndiaMART included.

Questions

Questions owners ask.

Why are most IndiaMART leads not genuine?
Many are genuine but early: students, traders comparing prices, buyers collecting quotations for a requirement months away. Some are resellers or competitors. A qualifying question on the first call sorts them in two minutes, which is cheaper than treating every lead as either real or fake.
Should we buy IndiaMART buy leads?
Only the ones that match your product, quantity range and delivery area, and only if someone can call within minutes. The same requirement is usually visible to several suppliers, so a buy lead consumed and called the next day is mostly wasted.
Can IndiaMART leads come into our CRM automatically?
Yes. IndiaMART offers a way to pull leads into a CRM, and most CRMs used by Indian SMEs can receive them. Automatic import removes copying by hand and lets you measure reply time and conversion by source.
Is a paid IndiaMART package worth it?
It depends on your product and your follow-up. A package brings enquiries; it does not answer them. Measure orders and margin from IndiaMART against the package cost after a full cycle before renewing, and compare with what the same spend would do on your own website.
