In one paragraph

Repeat purchase reminders are messages sent to a customer when a refill, service or occasion is due, using a date they gave you with consent. Job tags record why they hired you. This page covers capturing dates, tagging customers and building a reminder schedule.

A pest control firm in Pune fumigates a flat for a family. The technician asks, almost in passing: when would you like us back? The customer says before Diwali and again after the rains. The technician writes both in the job card and the office adds a reminder to a shared calendar.

Two months later a message arrives on the family's phone, a week before the date they named. They book. Nobody had to be sold anything. The firm asked, noted the answer and kept its word.

The account owner or the office manager runs the schedule, and the technician or rep collects the date at the point of sale. It replaces the guess that customers will remember you.

The repeat and reorder page in the sales process covers asking for the next order. This page covers the data behind it: the date, the consent, and the reason for the job.

The work

What this is actually like.

  • “The date has to come from the customer”

Guessing a replenishment date from a product's shelf life gets you a reminder that is too early or too late. Ask the customer when they will need it again and for whom, and write down their answer in their words.

  • “Consent is a separate field”

A reminder is a message the customer did not ask for today. Record that they agreed, how they want to be contacted and when not to. Check the current rules on business messaging with your own adviser, and keep an opt-out list.

  • “The job explains the offer”

Someone who hires a plumber for a one-off repair is not interested in an annual plan. Someone who buys a premium water purifier wants upgrades. Label every customer with the reason they came to you, which keeps the wrong offer from reaching them.

  • “Festivals are free calendar dates”

Diwali, Ugadi, Onam, Eid, the start of school, the first rains. Customers already plan around these. Attach reminders to the date the customer cares about, not to your own sales calendar.

What we do

What you end up with.

The documents this topic produces, what each one is for, and how you know it is finished.

  1. The capture line

A field on the job card or invoice: next need, approximate date, for whom, and a tick for consent to remind them by WhatsApp or call.

Result: Finished when a rep cannot close the job card without filling it or writing declined.

  2. The job tag list

Three to five plain tags describing why customers hire you, such as always newest, long life, do-it-yourself and occasion buyer, adapted to your trade. Every customer record carries one.

Result: Finished when a new staff member can tag a customer from the invoice alone.

  3. The reminder schedule

A table of trigger, tag, days before the date, channel and message. Start with two triggers rather than ten.

Result: Finished when the first reminder goes out on the right day with the right name on it.

  4. The consent and opt-out log

A sheet or CRM field that records the date and channel of consent and any request to stop.

Result: Finished when no reminder can be sent to a name on the opt-out list.

  5. The wrong-offer audit

Pull ten reminders sent and check that the tag matches the offer.

Result: Finished when you can show that no customer received an offer meant for another tag.

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Do we need permission to send reminders?
Get it and record it. Rules on messaging and personal data differ and change, so check with your own lawyer or adviser. Asking at the point of sale is the easiest moment to get a clear yes or no.
What if the customer does not know the date?
Offer a default they can change, such as in six months, and note that it is a default. A sensible reminder that lands near the right time still helps.
How is this different from the reorder page?
That page covers the conversation about the next order. This one covers the record: the date, the consent and the tag that decide who gets which reminder.
Which channel should reminders use?
The one the customer chose. For a household that is WhatsApp, and for businesses it may be a call. Never switch channels without asking.
What should we do with customers who never reply?
Send the reminder once more, then move them to a longer-gap list. Repeated messages to silent customers raise opt-outs without raising sales.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts. For sales work it is mostly our time, with production only where scripts, decks or CRM setup need it.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time and follow-up are the quickest to show, because the enquiries already exist. Process, CRM and training changes show as the team uses them. Each one is tracked against the baseline.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
To start, last month's enquiries in any format and time with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM.
