Architecture firms · Customer retention

The second project is the extension, the farmhouse and the son's flat.

Retention for an architecture practice is not a repeat purchase in the ordinary sense. It is the extension five years on, the shop interiors, the farmhouse and the office fit-out, all of which go to whoever the client still remembers. GullySales keeps the record of past clients and gives the practice a reason to be in touch.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What customer retention means

Customer retention is keeping an existing customer buying again rather than losing them to a competitor after the first purchase, usually cheaper than winning a new customer. GullySales sets a routine of check-ins and renewal reminders aimed at customers before they show signs of leaving.

For architecture firms

Where it usually goes wrong, and what we would do.

  • “A client you never contact again forgets your name”

They remember the site engineer and the contractor, because those people rang every week during construction. When the extension is planned they ring the contractor, who names an architect, and it is rarely you.

  • “The defect call is the retention moment nobody uses”

A door swelling in the monsoon is a small thing, and the practice that comes and looks at it is the one the family recommends at the next wedding. Treat post-handover calls as a nuisance and you lose the next project without ever knowing.

  • “A loyalty scheme makes no sense here, a client list does”

Nobody collects points for building a house. What works is a list of every handover with the year, the project type and a line about the family, read before Ugadi and before a plot nearby starts moving.

What we do

What we deliver for architecture firms.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A past client list that outlives the staff

Every handover recorded with the year, the project type, the locality and who in the family decided, held by the practice rather than in one principal's phone.

Result: The list survives a project architect leaving.

  2. A post-handover visit fixed into the process

A visit after the first monsoon, booked at handover, to look at what has moved, cracked or leaked.

Result: The family sees the practice come back without being chased.

  3. Contact that is not a sales call

A photograph of the finished house when it is published, a note when an approval rule changes for their type of plot, a line when a project nearby completes.

Result: Your name stays in front of the client between projects.

  4. The second-project services written down

Interiors, extensions, farmhouses, commercial fit-outs and drawings needed for a resale, set out so a past client knows you do them.

Result: Clients stop assuming you only design new houses.

  5. A note of what each client might build next

The vacant plot, the parents' house, the shop, written down at handover while the family is still talking about it.

Result: The next call has a subject.

  6. A complaint route, in writing

Where a defect call goes, who answers it, and what the client is told about who pays for what.

Result: A leak does not turn into a lost reference.

How the result is measured

  • Retention rate
  • Repeat purchase rate
  • Customers won back

Recorded as a baseline before work starts, so every later report has an honest comparison.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. 01 · First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. 02 · After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. 03 · Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. 04 · After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. 05 · As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. 06 · At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for architecture firms

  1. 1

    Assess

We look at how your portfolio is organised, how follow-up is handled through a long sales cycle, and how visible your approval experience is.

  2. 2

    Fix the follow-up

A tracking system for a multi-month decision, so no serious enquiry goes quiet while a client is still deciding.

  3. 3

    Build the portfolio

Project pages organised by type, each with a written narrative on the brief, the site challenge and the design solution.

  4. 4

    Bring enquiries in

Search visibility by project type, tender and RFP tracking, and referral relationships with builders and interior designers.

  5. 5

    Convert

A clear proposal process, approval experience shown where relevant, and client reference calls arranged for a serious prospect.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Is a loyalty programme worth running for an architecture practice?
No. A client builds once in a decade, and points or discounts mean nothing at that interval. Put the same effort into a past client list and a post-handover visit, which is what actually brings the extension and the referral.
What do we do about clients who owe us the final payment?
Settle it before handover, because your position weakens the moment the keys change hands. Tie the last stage payment to the issue of a named set of drawings or the completion documents. A practice chasing money for a year rarely gets the second project either.
How soon would we see more enquiries?
Fixing follow-up discipline is mostly a habit change, so it can start helping as soon as your team follows the new process. Ranking for project-type searches and building referral relationships takes sustained work over a longer stretch.
Do we need to respond to every tender?
No, only the ones matching your team's real capacity and experience, since a mismatched proposal wastes effort on both sides.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 90 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the review meetings.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
