Architecture firms · Follow up systems

Chase the proposal that went quiet without sounding like you need the work.

A follow-up system for an architecture practice settles what happens when a fee proposal gets no reply: who rings, what is said, and when the practice stops. Most enquiries here go quiet for reasons that have nothing to do with your design. GullySales writes those steps with your principals and puts a date against each one.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For architecture firms

Where it usually goes wrong, and what we would do.

  • “Silence after a fee proposal is rarely a no”

The client is waiting on a loan, a brother's share, or a father who wants to meet you first. A call asking what is holding it up gets an honest answer far more than an email asking whether they had a chance to review.

  • “The person who should chase is not the principal”

A principal ringing feels like pressure. A project coordinator ringing to ask whether the survey drawing has arrived feels like work. Give the follow-up to someone whose call carries a reason of its own.

  • “A written stop rule protects the relationship”

After an agreed number of unanswered attempts the enquiry moves to a list that hears from you once a year, or when a house of that type completes nearby. Nobody has to decide each time whether ringing again is rude.

What we do

What we deliver for architecture firms.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A follow-up ladder for the fee proposal

What is said on the first call back, what is sent after it, and what the last attempt looks like, written out so anyone in the studio can make the call.

Result: The chase no longer depends on who is in that day.

  2. Reasons to call that are not a chase

A photograph of a finished house on a similar plot, a note on an approval rule that changed, a drawing of a comparable layout, kept ready so each contact carries something.

Result: The client takes the call.

  3. The missed call routine

Enquiries that ring while the studio is on site get a return call the same working day from a named person, with the plot question asked straight away.

Result: No enquiry waits for somebody to notice a missed call.

  4. A stop rule, and the list that follows it

When the practice stops chasing, what the client is told at that point, and where the enquiry is moved instead.

Result: Old enquiries are neither pestered nor forgotten.

  5. A next date on every live proposal

Each fee proposal leaves the studio with the next contact date already set against it, visible to whoever is in.

Result: A proposal cannot go quiet unnoticed.

  6. A record of the real reason

Loan, family, plot title or a cheaper quote, written down as the client said it rather than as the studio assumed it.

Result: You learn which of those you can actually do something about.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. 01 · First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. 02 · After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. 03 · Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. 04 · After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. 05 · As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. 06 · At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for architecture firms

  1. 1

    Assess

We look at how your portfolio is organised, how follow-up is handled through a long sales cycle, and how visible your approval experience is.

  2. 2

    Fix the follow-up

A tracking system for a multi-month decision, so no serious enquiry goes quiet while a client is still deciding.

  3. 3

    Build the portfolio

Project pages organised by type, each with a written narrative on the brief, the site challenge and the design solution.

  4. 4

    Bring enquiries in

Search visibility by project type, tender and RFP tracking, and referral relationships with builders and interior designers.

  5. 5

    Convert

A clear proposal process, approval experience shown where relevant, and client reference calls arranged for a serious prospect.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How many times should we follow up a fee proposal before we stop?
Pick a number and write it down, because the argument about it is what stops people following up at all. Four contacts that each carry something beat ten that ask for an update. When you do stop, say so plainly and leave the door open for the client to come back when the loan clears.
A client went quiet a year ago. Is it worth calling?
Yes, and it is the cheapest call the practice makes. Plots get cleared, loans come through and families agree eventually. Ring with a reason, such as a house you finished on a similar site, rather than asking whether they are still planning to build.
How soon would we see more enquiries?
Fixing follow-up discipline is mostly a habit change, so it can start helping as soon as your team follows the new process. Ranking for project-type searches and building referral relationships takes sustained work over a longer stretch.
Do we need to respond to every tender?
No, only the ones matching your team's real capacity and experience, since a mismatched proposal wastes effort on both sides.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 90 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the review meetings.
