Chauffeur-driven car rentals · CRM

Keep every guest, company and duty in one place the whole team can read.

A CRM for a chauffeur-driven car rental company is the record of every enquiry, booker, company, trip and driver, kept where you can search it. GullySales sets up a simple system that fits how your booking desk works and teaches the team to use it.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What CRM means

A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

For chauffeur-driven car rentals

Where it usually goes wrong, and what we would do.

  • “The booking lives in the owner's phone”

Quotes sit in WhatsApp chats, regular guests in a notebook, and corporate contacts in the memory of whoever picked up. When that person is on leave the account goes quiet. A shared record lets any member of staff answer a repeat caller properly.

  • “A repeat guest should not be a stranger”

The guest who asked for a particular driver last year deserves a message that mentions it. Without a record of driver, car and trip, you greet them the same way as a first-time caller. Record the driver and the trip, and open the greeting with them.

  • “Corporate accounts need a history”

The admin who calls about a disputed slip expects you to see the duties, the rate agreed and the last complaint. A desk working from memory looks disorganised at the moment it matters most. Keep rates, slips and complaints on one screen for each company.

  • “A heavy tool nobody opens is worse than a sheet”

A large system the desk staff avoid leaves gaps. A simple one that takes a minute to fill after each call gets used, and the record stays complete. Choose the tool the desk will really open each day, and start from there.

What we do

What we deliver for chauffeur-driven car rentals.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A record for each guest and company

Name, number, trip taken, car, driver, rate and notes, with corporate accounts linked to their contacts.

Result: You can open any caller's history in a few clicks.

  2. A pipeline for open quotes

Stages from enquiry to quote sent, confirmed, completed and reviewed, so every open request is visible.

Result: No quote is sitting unnoticed.

  3. Driver and vehicle fields

Which driver and car did which duty, with languages and routes known, so guests can ask for the same driver.

Result: Repeat requests are matched to the right driver.

  4. Simple tools picked for your size

A spreadsheet, or a CRM such as Zoho or HubSpot, chosen after looking at the volume of bookings you handle and who needs access.

Result: The system matches the desk, not a sales brochure.

  5. Entry rules the desk can follow

A short checklist of what to record after a call and what to record after a trip.

Result: Records are filled the same way by every person.

  6. A tidy-up of what you already have

Past chats, slips and contacts gathered into the first version of the system, with duplicates removed.

Result: You start with history, not an empty screen.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the CRM work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Map the sales process

We record how a deal actually moves from enquiry to close in your business today.

  2. 2

    Configure stages and fields

The CRM's pipeline and fields are built to match that process exactly, not a generic template.

  3. 3

    Set up automations

Reminders, assignment rules and follow-up triggers are configured so routine steps happen without manual effort.

  4. 4

    Test with real deals

We run the configuration against actual current deals to catch gaps before the whole team relies on it.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales management. A target, a review routine and someone who owns the number.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3 · you are here

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Is a CRM worth it for a small fleet?
If you are losing quotes or forgetting regular guests, yes, even in a spreadsheet. GullySales starts with the lightest tool that keeps the record straight and moves to a CRM only when volume needs it.
Who sees the guest data?
Only people in your team who need it, with access you control. Collect only what the booking needs, keep it secure and follow your obligations under the data protection rules, which your adviser can explain.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
