Chauffeur-driven car rentals · Follow up systems

Chase the quote that went quiet before another operator wins the trip.

A follow-up system for a chauffeur-driven car rental company is the set of reminders and messages that move a quote to a confirmed booking, and a past guest to the next trip. GullySales designs the sequence, writes the messages and sets who sends them.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For chauffeur-driven car rentals

Where it usually goes wrong, and what we would do.

  • “A quote dies from silence, not refusal”

The family got the rate, the group chat debated, and nobody replied. A polite message that restates the car, the date and the next step finds the buyer still undecided, waiting for a nudge that never came.

  • “The date is the clock”

A trip for next Saturday needs a different follow-up from a wedding in three months. Reminders tied to the travel date, not to the day you sent the quote, ask at the right moment. Set the reminders from the trip date, so each one lands at a useful moment.

  • “Corporate follow-up is about the next duty”

After a company's first duty the admin wants to know you will repeat it. A short note afterwards, a check on the next booking and a review of any complaint tell them you are managing the account.

  • “After the trip is when the next trip starts”

A guest home from Tirupati is still full of the experience. A message thanking them, naming the driver and asking for a review catches that moment. A message a year later does not. Name the driver in that thank-you, because guests remember the person.

What we do

What we deliver for chauffeur-driven car rentals.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A quote follow-up sequence

A short run of messages with set gaps, each adding one useful detail: car photograph, inclusions or driver name.

Result: Every quote gets a defined next step.

  2. Reminders tied to the travel date

Prompts the day before pickup to confirm time, address and driver, and after the trip to ask for feedback.

Result: Guests receive confirmation without staff remembering.

  3. A lost-quote reason list

When a buyer says no, the reason is recorded: price, date, car, another vendor or unclear.

Result: You see the pattern behind the quotes that fail.

  4. A corporate account routine

A note after each duty, a prepared renewal conversation for rate contracts and a log of complaints and fixes.

Result: An account never lapses unnoticed.

  5. A past guest reminder before the season

A message ahead of holidays and festivals naming the last trip and the driver.

Result: Past guests hear from you before they search.

  6. Message scripts in your voice

Plain, polite templates for staff to adapt, not pasted unchanged.

Result: Every follow-up sounds like your company.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How many times should we follow up?
Enough to show you are keen, and not so much that you irritate the buyer. GullySales sets the sequence with you and stops it when the buyer says no or books. Respect any request to stop messaging.
Can this run automatically?
Parts can, such as confirmation and review requests. The first reply to a corporate admin or a family with special needs works better from a person. We decide with you which messages are automated.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
