School transport operators · CRM

Keep every parent, seat and school on one record instead of in the driver's phone.

A CRM for a school transport operator is a single record of each school, each parent, each seat and each fee. GullySales works on setting up a record that suits a transport office and getting the office to keep it current.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What CRM means

A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

For school transport operators

Where it usually goes wrong, and what we would do.

  • “The driver's phone holds the customer list”

A parent's number, the stop and the fee status sit in a driver's contacts. When the driver leaves, so does the list. The business needs the record in its own hands, with drivers seeing only what their route requires.

  • “A seat is the unit, and it has a history”

Each seat has a child's route, a stop, a fee and a start date. A record by seat shows which routes run full, which carry empty places and which parents are late, which a list of phone numbers cannot.

  • “School contacts change quietly”

A new administrator, a new trust member or a new transport in-charge changes who you must talk to. A school record with the decision-maker and the last conversation avoids repeating an introduction to someone who has left.

  • “Parent data is personal data”

Names, addresses and children's details need care. Keep the record to what the service requires, share it with drivers only as far as the route needs and check the current data protection rules with your own adviser.

What we do

What we deliver for school transport operators.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A school record with decision-maker and history

Each school with its contact, contract status, renewal date and notes of the last visit.

Result: You know who to call, and when the contract is next up.

  2. A seat and route record

Every seat with the route, stop, start date and fee status.

Result: A view of which routes have space and which are full.

  3. A parent record with the questions asked

Each parent's contact, their stop, their messages and complaints in one place.

Result: Any member of the office can see what was said before.

  4. A fee tracker linked to the seat

Dues, payments and reminders in the same record, so a fee query is answered without a search.

Result: The office sees who has paid without asking the driver.

  5. Driver views limited to the route

A list for each driver showing only the stops and names needed.

Result: Drivers carry the information they need and no more.

  6. Training the office to keep it current

A short routine for updating the record after each call, each payment and each change.

Result: The record matches what happened this week.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the CRM work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Map the sales process

We record how a deal actually moves from enquiry to close in your business today.

  2. 2

    Configure stages and fields

The CRM's pipeline and fields are built to match that process exactly, not a generic template.

  3. 3

    Set up automations

Reminders, assignment rules and follow-up triggers are configured so routine steps happen without manual effort.

  4. 4

    Test with real deals

We run the configuration against actual current deals to catch gaps before the whole team relies on it.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales management. A target, a review routine and someone who owns the number.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3 · you are here

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Do we need special software?
Not at the start. A well-built sheet or a simple CRM tool in ordinary use in India is enough for a small fleet. The harder part is the habit of updating it, and we set that up with your office before suggesting anything larger.
Who should see parent details?
The office should see them in full, and each driver should see only the stops and names on their route. Keep addresses and phone numbers away from anyone who does not need them, and ask your adviser about the current rules.
Can the CRM remind us when a school contract ends?
Yes, if the date is entered. A renewal date on each school record, with a prompt to start the conversation well before it, turns a surprise into a routine. The reminder is only as good as the date you record.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
