Day care centres · Sales management

Know which enquiries are quietly going cold before the trial day is even booked.

Sales management for a day care centre means tracking every enquiry to a named staff member and an outcome. This shows where trial-day bookings are being lost and who on the front desk is following up well. GullySales builds the record and reports on trial days booked against enquiries received.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What sales management means

Sales management is the ongoing work of reviewing a sales team's pipeline, calls and targets, and stepping in on deals that are stuck. GullySales sets the review rhythm and the reports a sales manager needs to run this without relying on gut feel.

For day care centres

Where it usually goes wrong, and what we would do.

  • “A record separate from the admission register”

The admission register shows who enrolled, not who enquired and never returned, so a separate enquiry record is needed to see where families are dropping out before a trial day.

  • “Front desk accountability during peak season”

Enquiry volume is highest in April and June. The person answering the phone in those months needs to be judged on how many trial days they actually book, not just how many calls they answer.

  • “Corporate tie-up enquiries need a longer-term owner”

A corporate childcare negotiation moves over weeks with an HR contact, and needs one named person following it through rather than being handled by whoever happens to answer that day.

What we do

What we deliver for day care centres.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. An enquiry record separate from the admission register

A record that tracks every enquiry and its outcome, including the ones who never enrolled, not just the families who signed up.

Result: You see where families are lost, not just who joined.

  2. Named ownership for every open enquiry

Each enquiry assigned to a staff member responsible for its next step, visible on the shared record rather than left to memory.

Result: No enquiry goes cold because nobody was clearly responsible.

  3. A peak-season staffing and follow-up review

A look at who answers enquiries during April and June, and how many of their conversations actually became a trial-day booking.

Result: You know who is converting well when enquiries are heaviest.

  4. A dedicated corporate tie-up tracking view

A separate view for HR negotiations that move over weeks, with one named person following each through to a decision.

Result: A corporate discussion does not stall between whoever answered that day.

  5. A review of the enquiry record with you

A session going through the record together, checking conversion by staff member and by source.

Result: You have an honest look at how enquiries are being handled together.

How the result is measured

  • Target achievement
  • Pipeline coverage
  • Stuck deals resolved

Recorded as a baseline before work starts, so every later report has an honest comparison.

What the centre head reviews

Read these six things in the enquiry record before admission season gets busy.

Enquiries by the child's age group
Check that each enquiry notes the child's age group, infant, toddler or preschool, and the hours needed. An enquiry with no age cannot be offered the right room, so call back and fill it in.
Visits offered but not booked
List parents who were offered a centre visit or trial day and did not pick a slot. Call with a couple of concrete slots and the name of the caregiver they would meet.
Trial days held, admission not confirmed
Read the trial-day notes for each family who has not paid the admission fee. Ask what the parent raised that day, such as nap routine or food, and answer that first when you call.
Questions on safety and staff
Note every enquiry that asked about CCTV access, staff verification or the caregiver ratio. When many parents ask the same thing, put the answer in the first reply.
Corporate tie-up discussions
Check each HR conversation for the next step and the person who owns it: proposal sent, site visit, or the agreement draft. A tie-up with no dated next step is drifting.
Families who left or did not renew
Write the reason when a child leaves: moved house, fees, timings, or a concern about care. Read these with the caregivers, since a care concern needs action before it reaches a review site.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the sales management work runs

  1. 1

    Assess current management practice

We look at what cadence, if any, currently exists and where it breaks down.

  2. 2

    Set the rhythm

The touchpoints are agreed and scheduled in writing before the first review.

  3. 3

    Run or coach the cadence

We either run the reviews and one-on-ones directly, or coach your manager to run them.

  4. 4

    Address performance directly

Issues are raised as they appear, not left until a review period.

  5. 5

    Report to the owner

A summary keeps ownership informed without needing to sit in every review.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Do we need special software for this?
A shared spreadsheet works for a single centre with modest enquiry volume; a simple CRM helps once you run more than one branch or handle corporate tie-ups regularly.
How often should we review the numbers?
Monthly through most of the year, and weekly from February through June when admission enquiries rise quickly.
Should caregivers be part of the sales review, or only the front desk?
Bring the lead caregiver for the trial-day part. Parents decide on what they saw in the room, and the caregiver knows whether the child settled or the parent left worried. Keep fees and corporate discussions with the centre head and the front desk.
How do I set an admission target for the front desk without figures from other centres?
Count the seats free in each age group and work back from there. The target is the number of trial days needed to fill those seats, based on how many trial days became admissions in your own record last season. Adjust it once the season starts.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
