Day care centres · Sales process

Turn a trial-day visit into a signed admission within one clear conversation.

A sales process for a day care centre is the fixed set of steps from a first enquiry to a signed admission. It covers how the trial day is booked, what questions are answered on the visit, and how a hesitant parent is followed up afterwards. GullySales writes this with your front desk and gives you the record to see where families drop out.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What sales process means

A sales process is the fixed sequence of steps, such as enquiry, site visit, quote and order, that every deal is expected to pass through in the same order. GullySales writes this sequence down for your business and checks that every salesperson actually follows it.

For day care centres

Where it usually goes wrong, and what we would do.

  • “The trial day needs a checklist, not an open house”

A parent visiting expects to see the specific room for their child's age group, meet the caregiver, and hear the meal, nap and pickup routine explained clearly. A checklist keeps this consistent across every visit.

  • “A parent who visits and does not enrol needs a follow-up date”

A family that visited but went quiet is often still comparing centres. Without a follow-up call within a few days, the enquiry is quietly lost to whichever centre called back first.

  • “The admission form is completed at the visit, not left for later”

A parent who leaves without starting the admission paperwork is far more likely to enrol elsewhere. The process moves every serious visit towards at least a provisional booking on the spot.

What we do

What we deliver for day care centres.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A written trial-day visit checklist

A step-by-step checklist for the room tour, meeting the caregiver and explaining the meal, nap and pickup routine, used for every visit.

Result: Every family gets the same thorough, reassuring visit.

  2. A fixed follow-up date for undecided visitors

A rule that every trial-day visit gets a scheduled follow-up call if the family goes quiet afterwards.

Result: A hesitant family hears from you again before choosing elsewhere.

  3. An on-the-spot provisional admission step

A short prompt built into the visit for starting the admission paperwork before the family leaves, even provisionally.

Result: Fewer families leave undecided and enrol somewhere else instead.

  4. A recorded reason for every unconverted visit

A required note on the record for why a visit did not lead to admission, whether fees, location or timing.

Result: You can see the most common reason families choose elsewhere.

  5. A process document your front desk can run

The whole enquiry-to-admission process written as a short, usable document for existing staff, without needing new hires.

Result: The process keeps running the same way whoever is on duty.

How the result is measured

  • Deals following the process
  • Time spent at each step
  • Drop-off rate by step

Recorded as a baseline before work starts, so every later report has an honest comparison.

Steps of a sale

Take a parent from the first WhatsApp message to a confirmed seat in the same order every time.

First call or WhatsApp enquiry
Ask the child's age, the hours needed, the start date and any food or health needs. Record the room the child would join and which parent is making the decision.
Booking the visit
Offer a visit slot when the room is running normally, not during nap time, and invite both parents if they can come. Note the slot and the caregiver they will meet.
Trial day pickup
At pickup, tell the parent what the child ate, how long they slept and how they settled. Write those notes on the enquiry, since the parent will repeat them at home.
Fees and admission papers
Explain the fee, what it covers, the deposit and the notice period for leaving, with the admission form in hand. Record any question the parent could not get answered on the spot.
Settling-in plan
Agree shorter hours for the first days and who calls the parent if the child is upset. Keep the plan in the child's file, since this is when a family decides whether to stay.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the sales process work runs

  1. 1

    Study current deal flow

We trace how deals actually move today, comparing across reps and outcomes.

  2. 2

    Define the stages

Clear stages and criteria are designed to match how deals genuinely progress and close.

  3. 3

    Configure the CRM

The process is built into your CRM so it is enforced structurally, not just documented.

  4. 4

    Train the team

Reps are trained on the new process and why each stage exists.

  5. 5

    Review adoption

We check after rollout whether the process is being followed and adjust where it is not.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can our current staff run this without extra hiring?
Yes, when the process is written as a short checklist for the trial day and the follow-up, and staff are trained to use it consistently.
What happens to visits that do not convert?
They stay in the record with a reason noted, whether that is fees, location or timing, so you can see the most common cause and address it directly.
A parent says the centre down the road is cheaper. What do we say?
Ask what that centre includes: meals, hours, the caregiver ratio, CCTV access. Then lay out yours on the same lines. Do not cut the fee on the spot. Note the centre named and the gap in price, because the same comparison will come up again.
Should the centre head or the front desk show a family around?
The front desk can book the visit and handle the paperwork, but the centre head or the room's lead caregiver should run the tour. Parents want to meet the person responsible for their child. Record who gave each tour, so you can see whose visits turn into admissions.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
