Online education and EdTech companies · Follow up systems

Call the learner who attended the demo class, not just the one who filled the form.

A follow-up system for an EdTech company means a fixed routine for every learner who enquired, booked a demo, attended or went quiet, with a named person and a record at each step. Most paid students decide after the demo. GullySales builds the routine, the scripts and the record that keeps it running.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For online education and EdTech companies

Where it usually goes wrong, and what we would do.

  • “The demo is the end of the funnel in practice”

Counsellors call fresh forms and drop the learner who attended a demo and said they would think. That learner is closest to paying.

  • “A parent says they will ask the family”

A fee decision may need an uncle's opinion or an EMI approval. A single call does not cover it.

  • “Nobody follows up the enrolled but silent”

A learner who paid and never logged in will ask for a refund within the window. A welcome call and a first-week check prevent most of it.

What we do

What we deliver for online education and EdTech companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A follow-up map for each stage

A written routine for the unanswered enquiry, the booked demo, the attended demo, the quote and the silent enrolment.

Result: Every learner has a next step and an owner.

  2. Call and WhatsApp wording for each case

Short scripts for the first call, the reminder, the post-demo call and the reply to a family still deciding.

Result: A counsellor does not start from a blank screen.

  3. A due-today list for counsellors

A list of calls due that day, drawn from the enquiry record, so no follow-up depends on memory.

Result: No promised callback is missed.

  4. A welcome routine after payment

A call or message at enrolment and when the learner first logs in, with a check on who has not started.

Result: A silent learner is reached before they ask for a refund.

  5. A rule for when to stop

A number of tries after which a learner is moved to a gentle list, with a reason recorded.

Result: Counsellors spend time on people still deciding.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Follow-up routine for this trade

Decide who follows up each situation, on which channel, and what gets written down.

The timing shown is advice for your own routine. Adjust it to your batch dates and your counsellors' hours.

Form filled, nobody has called
The assigned counsellor calls first, then sends a WhatsApp message with the course page. Record the time of the first attempt and the reply, so the next review shows how long enquiries waited.
Demo booked, not yet attended
A WhatsApp reminder with the joining link the evening before, and a call to the learner who has not joined five minutes in. Record attended or no-show for every booking.
Attended the demo, did not enrol
The counsellor who knows the batch calls the same day. Ask what the learner liked and what held them back, and write the answer in the record. Send the fee and instalment note after the call.
Fee quote sent, no reply
Send a short WhatsApp message that restates the batch start date and asks a single question. If the family is waiting on an EMI decision, record the date to call again.
I will ask my parents
Offer a short call with the parents and the learner together. Send a one-page summary they can show the family, and note the date the family said they would decide.
Enrolled but never logged in
The onboarding person calls and helps with the first login. Record the date of the first class attended. A learner who skips the first week is the likeliest to ask for a refund.

Who it is for

This is written for these online education and EdTech companies.

  • Test-prep and exam coaching platforms (JEE, NEET, UPSC, banking, CA)
  • K-12 live tutoring and doubt-solving apps
  • Upskilling and job-oriented course providers
  • Coding and data bootcamps
  • Spoken English and language-learning apps
  • Corporate training and L&D providers
  • Skill and vocational course platforms
  • Learning management system and school software vendors
  • Hybrid providers with both online batches and a learning centre

Not for

It is not the right fit if.

  • You have fewer enquiries than one counsellor can already call back, so a system would only add a screen to a short list.
  • No one has settled who owns a lead after the demo class, so reminders would go to the wrong person.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From your recent enquiries, we set the time each arrived against its first reply, using the call log, chats, form entries and portal panel. We also count the follow-ups each one got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Write the templates and first-call questions

The first reply, the quote follow-up and the last attempt are written in your voice and loaded as quick replies. The first-call questions are agreed with your best salesperson.

  4. 4

    Set ownership, tasks and alerts

Named owners, cover for leave and CRM or sheet tasks go live. App alerts, such as IndiaMART's, are switched on for the right phones.

  5. 5

    Track and adjust

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept. How often you are reported to is agreed in writing.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Will too many follow-ups annoy parents?
Calls that add something, such as the batch start date or a sample worksheet, are welcome. Repeating the same pitch is what annoys. Fix a limit on tries, record the reply and stop when asked.
Who should own the follow-up, sales or the teachers?
A counsellor owns the enquiry and its follow-up. A teacher joins when the learner has a subject doubt. One person owning the record prevents two people calling the same family with different answers.
Is WhatsApp better than calling for follow-up?
Use both. A call builds trust for the first conversation, and WhatsApp carries the fee note, the link and the reminders. Message only people who agreed to it, and let them reply in their own language.
What do we do with a learner who says no?
Record the reason in a fixed list, such as fee, timing or chose another provider, and thank them. Add them to a list to contact only when a new batch opens, and only if they agreed to hear from you.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
