Financial planning firms · Follow up systems

Follow up so a quiet family does not become a lost one.

A follow-up system for a planning firm is the set of messages and reminders that carry a family from first enquiry to meeting, from meeting to signed engagement and from plan to review. GullySales drafts the messages and sets the order for the planner to send.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For financial planning firms

Where it usually goes wrong, and what we would do.

  • “The gap after the first meeting is where plans stall”

A family leaves a good meeting with homework and a busy week. If nothing arrives after the meeting, the engagement drifts, and nobody has said no.

  • “A follow-up must sound like the planner”

A chasing message that sounds like a brochure harms trust. Short notes that recall something the family said read as care, and that is what a planner is selling.

  • “Silence after the plan is delivered”

A client handed a plan and then left alone stops replying. A set check-in after the plan is handed over keeps the relationship active until the first review.

  • “Rules apply to unsolicited messages”

Sending messages to people who did not ask for them is limited by messaging rules, and a registered adviser faces promotion limits too. The system should follow up only on a family that has already been in touch.

What we do

What we deliver for financial planning firms.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Enquiry-to-meeting sequence

Draft replies that confirm the enquiry, invite both partners and say what to bring.

Result: Every enquiry gets a reply from the same set of messages.

  2. Post-meeting summary note

A template that records what the family said, what the planner will do and what the family will bring.

Result: The family leaves with a written summary.

  3. Decision-pending nudges

Short messages for a family that has not signed, each offering help and not pressure.

Result: A pending family has a polite route back.

  4. Plan-delivery and review reminders

Messages around handing over the plan and the date of the first review.

Result: Each client knows when they will hear next.

  5. Stop and consent rules

A rule that ends follow-up when the family asks, and that records the consent obtained.

Result: The team knows when it must stop.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Will automated messages feel cold?
They can, if the wording is stiff. We write drafts in the planner's voice and leave room to add a personal line. Anything that goes to a client is reviewed by the planner.
What is the right number of follow-ups?
Set it by the stage and by how the family has responded. A family that said not now deserves a longer gap than one that asked for a plan. We agree the rule with you and do not promise a result.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
