Forex trading firms · CRM

Record what was actually said on the call, not just the outcome.

A CRM for a trading firm holds more than a pipeline. It records where each prospect came from, what they were told, what they agreed to receive, and where their course or subscription stands. GullySales sets up those fields and the habit that keeps them filled in.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What CRM means

A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

For forex trading firms

Where it usually goes wrong, and what we would do.

  • “The field that matters most is what was promised”

When a subscriber says months later that they were told they would make money, a one-line note written after the call is the only thing that answers it. Memory is not a record.

  • “Consent belongs beside the phone number”

Where the number came from, what the registrant ticked, and the date it was ticked should sit in the same row as the number. A form submission buried in an inbox is not something you can produce when asked.

  • “A course learner is not an advisory subscriber”

One has a cohort date and a completion status. The other has a renewal date and terms your compliance officer has already fixed. Pushing both down one pipeline hides the renewal that is about to lapse.

What we do

What we deliver for forex trading firms.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A field list built around the questions you may be asked later

Source, webinar attended, what was asked, what was said, consent and its date, all held in one record per person.

Result: You answer a complaint with a record rather than a recollection.

  2. Separate pipelines for courses, advisory and corporate hedging

Three sets of stages, because a cohort enrolment, a subscription renewal and a hedging consultation do not move through the same steps.

Result: A renewal stops hiding behind a course enrolment.

  3. One-line call notes written before the next call

A short note on what was asked, what was said and what happens next, entered while the call is still fresh.

Result: The next person to speak to this prospect knows what they were already told.

  4. Renewal and cohort dates on a view somebody opens

Subscription end dates and course start dates surfaced ahead of time, rather than discovered when access stops working.

Result: Nobody learns about a lapsed subscription from the accounts sheet.

  5. A consent and opt-out record the whole team shares

One place where an opt-out is entered, read by whoever is about to call, email or add somebody to a broadcast.

Result: One opt-out is honoured everywhere it needs to be.

  6. A short data-handling note agreed with your adviser

Who may export the list, where it may be sent, and what happens to a departing salesperson's access, written down rather than assumed.

Result: Your prospect list does not leave with the person who built it.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to record, and when

What a trading firm should record about every prospect, and whether it needs software yet.

Which service they asked about
Record whether the person asked about a training course, a registered advisory service, hedging for a business or a money-changer service. Each has a different rule on what you may say, so keep the pipelines apart.
What was said, in one line, before the next call
After each call write one line: what they asked and what you answered, in plain words. If a prospect later says they were promised something, this line is what you will be asked to show.
Risk and registration disclosures shared
Note that your standard risk disclosure and your registration details were sent, with the date. Use your adviser's wording, not your own paraphrase, and never describe returns as likely.
Consent and opt-out
Record what the person agreed to receive, on which channel and when, and whether they have asked you to stop. Check this field before every broadcast or call list is made.
Course cohort or renewal date
For a trainee or subscriber, write the cohort start, the end of the access period and the renewal date. A date held in a field the team opens beats one buried in a chat.
Do you need software yet?
A controlled sheet with named access is enough for a small team. Move to a CRM when several people call from one list and you need a log of who said what. Do not store identity documents in it.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the CRM work runs

  1. 1

    Map the sales process

We record how a deal actually moves from enquiry to close in your business today.

  2. 2

    Configure stages and fields

The CRM's pipeline and fields are built to match that process exactly, not a generic template.

  3. 3

    Set up automations

Reminders, assignment rules and follow-up triggers are configured so routine steps happen without manual effort.

  4. 4

    Test with real deals

We run the configuration against actual current deals to catch gaps before the whole team relies on it.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Will a CRM keep us compliant?
No. It keeps the evidence. Whether your process meets the rules you sit under is a question for your compliance officer, and their answer moves. What the CRM does is make sure the evidence exists on the day they ask for it.
Our sales team will not type notes. What is the minimum?
One line per call: what was asked, what was said, what happens next. That is enough to defend a conversation and enough for the next caller to pick it up. Ask for more and the notes stop being written at all.
Where do we record what a prospect was told about risk?
In the call note: the date, who spoke, and that the standard disclosure was shared, using the exact wording your adviser approved. Do not paraphrase it in your own words. The record is only as good as the wording that was actually used.
Prospects send KYC documents on WhatsApp. Should those go into the CRM?
No. Keep identity documents in the secure system your registration or adviser requires, with limited access. The CRM can hold a field saying whether documents were received. Delete copies from personal phones, and ask your adviser what you must retain.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
