Forex trading firms · Follow up systems

Call the attendee who asked about stop-losses, not the whole list.

A follow-up system for a trading firm decides who is contacted after a free webinar, in what order, and what the message is allowed to say. Most sign-ups never hear from anybody again. GullySales builds the chase, gets the wording cleared with your compliance officer first, and writes down where it ends.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For forex trading firms

Where it usually goes wrong, and what we would do.

  • “The question typed in the chat is your ranking”

Somebody who asked about position sizing is worth a call. Somebody who registered and never opened the link is worth an email. Calling both the same way burns a day and annoys half of them.

  • “Every chaser you send is a document somebody may read back”

A follow-up written in a hurry can imply an outcome your registration does not allow you to promise. Wording approved before it is used keeps the chase quick without leaving a claim on record.

  • “A request to stop has to actually stop it”

Restrictions on unsolicited calls and financial promotion apply here and they change. An opt-out that removes somebody from one list while the WhatsApp broadcast continues is worse than none, so ask your compliance adviser how far the request has to travel.

What we do

What we deliver for forex trading firms.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A ranked call list after every webinar

Attendees sorted by what they actually did: asked a question, stayed to the end, joined late, or registered and never appeared.

Result: Your team calls the interested people first instead of working down a spreadsheet.

  2. Approved wording for the call, the email and the chaser

A call opening, a WhatsApp message and an email written so your compliance officer can read and approve them before anybody uses them.

Result: The chase goes out fast because the words were cleared first.

  3. A written stop rule and one opt-out record

How many attempts a quiet registrant gets, and a single place to record an opt-out so it applies across calls, email and WhatsApp.

Result: Somebody who asked not to be contacted stops being contacted.

  4. A reminder before the session, not only after it

A short reminder to people who registered for a webinar or booked a demo slot, sent close enough to the session to change whether they attend.

Result: More of the people who registered actually turn up.

  5. A revival step for a lapsed trial or subscription

A named person, a written reason to call, and an honest offer for somebody whose trial or advisory subscription has run out.

Result: A lapsed subscriber is asked once, properly, instead of drifting away.

  6. Every attempt logged against the prospect

Date, channel and outcome recorded for each attempt, visible to whoever picks up the prospect next.

Result: Nobody gets called twice in a day by two different people.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Follow-up routine for this trade

Here is what the team does next after each kind of contact with a prospect.

Registered for the webinar, did not attend
Send the recording link and the slides, with a one-line note on what was covered. Record whether the link was opened if your system tracks it.
Attended, asked a question in chat
Reply to the question using wording your compliance officer has cleared. Offer a call and record the answer and the consent given.
Demo account opened, not used
Ask in the approved message whether he needs help with the platform. Do not discuss returns or suggest trades, and log the contact.
Trial or subscription lapsed
Ask what he found useful and what he did not. Record the reason and ask whether he wants to hear about changes to the service.
Prospect says not interested
Record the refusal and add the number to the do-not-contact list at once. Do not call again unless the prospect asks you to.
Complaint raised on a call or message
Pass it straight to the person who handles complaints in your firm, and record the date and what was said. Do not try to resolve it in a sales chat.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the follow up systems work runs

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Are we allowed to cold call a webinar list?
That depends on how the number reached you, what the registrant agreed to, and the rules your registration sits under. Restrictions on unsolicited calls do apply and the detail changes. Put it to your compliance adviser before the list is built, not after the complaint.
How long should we keep chasing somebody who went quiet?
Pick a number of attempts and write it down. What matters more is that every attempt is recorded and the last message leaves the door open. A prospect who returns a year later, after a bad experience somewhere else, is common in this business.
Who should own the follow-up, the sales team or the compliance officer?
Sales owns the contact, and the compliance officer owns the wording and the do-not-contact record. Agree in writing which messages are cleared and who updates the opt-out list. Rules for this trade depend on your registration and regulator and change, so check with your own advisers.
What do we do with a prospect who says he is not interested?
Record the refusal, mark the contact as closed and stop all further calls and messages to that number unless he asks for more. Keep the opt-out in one place that every caller checks, because one more call to a person who refused can cause a complaint.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
